We were conducting a project for a client and needed to expand our development capacity.

What was the scope of their involvement?

Codexy Software has helped us with the development of a Ruby on Rails application. We hire them for task-based work on an ad hoc basis. When a client needs a feature or update to their system, I request that Codexy Software help us.

We worked with a development manager and a junior developer.

We started working together in October 2020, and it’s ongoing.

What evidence can you share that demonstrates the impact of the engagement? 

I’m thrilled with the quality of their work, and I’m satisfied with their turnaround time. I’m directly involved in the project and testing Codexy Software’s work, so I’ve done my own assessment of their work.

How did Codexy Software perform from a project management standpoint?

We use Jira for project management, and they do a good job. In terms of communication, we use Slack and calls. We used to meet every day, as well.

What did you find most impressive about them?

Codexy Software is very committed to getting the right solution to me — if I have a problem, I can rely on them to make sure it’s resolved.

Are there any areas they could improve?

Sometimes I find communication quite difficult with their junior developers because they don’t know what I’m asking for.

Do you have any advice for potential customers?

Be transparent with communication. Assess the developers working on your project and interview them yourself before engaging.

Time Auction is a charity based in Hong Kong with a mission to advocate volunteerism. We encourage volunteering with inspiring experiences, while connecting skilled-volunteers with NGOs. I'm the Co-founder & CEO at the organization.

For what projects/services did your company hire Codexy Software, and what were your goals?

Time Auction is a tech-enabled charity with much of the operations online. It was initially created by a junior developer as a side project, with a goal to host mentorship events that anyone can join by completing 10 hours of volunteer work at any nonprofit.

With a volunteer community of professionals, they started a pilot program in 2019 to help nonprofits recruit skilled volunteers, which has received great results. However the operations were done manually, which the process was tedious and time consuming with many emails and spreadsheets in various places.

Therefore, they needed to upgrade their website with new key features to automate and facilitate the volunteer-nonprofit matching process, in order to scale efficiently and effectively, providing their volunteer recruitment services to many more nonprofits that urgently need their service.

Our goal is to create a user-friendly and scalable website for both our volunteers and NGOs on our skilled-volunteer matching platform.

SOLUTION

How did you select Codexy Software and what were the deciding factors?

We found Codexy Software on Upwork. We reviewed their portfolio, hopped on a call to interview them, and gave them a small task to test their work quality. We selected them as they have communicated clearly and effectively throughout this process, and have done a great job in the small task despite some challenges on our website which was built years ago by a junior developer.

Describe the scope of work in detail, including the project steps, key deliverables, and technologies used.

We gave Codexy Software a UX workflow chart and UI design to work with. After that, we communicated and listed out all the features, estimated the time needed, and scoped them out in 3 phases according to our priority.

The website was built with Ruby on Rails, with our test site on Heroku. The features included but not limited to:

• 2 types of Account sign up process for Volunteer and Organization
• Organization Account to be able to post volunteer project with details
• Volunteers to be able to sign up to projects and provide relevant background and professional experience
• A platform showing all active projects
• 2 types of Dashboard for both Organization and Volunteers
• A system for Organization to send offer to Volunteers, and Volunteers to accept/reject the offers
• A linked email/subscription list with Mailchimp
• An internal dashboard for our employees to view and edit the data and records

Each phase was tested and deployed according to the timeline.

How many people from the vendor's team worked with you, and what were their positions?

About 4 people worked with us. Their position were Product Manager, Backend Developer and Frontend Developer.

RESULTS & FEEDBACK

Can you share any measurable outcomes of the project or general feedback about the deliverables?

The new platform was created and added to our website, enabling non-profit organizations to create accounts, post volunteer projects, and empowering volunteers to sign up easily to projects they’re interested in.The new platform also allows us to gain insights from the data gathered, and promote projects that are more relevant to the volunteers’ skill sets.

Since the platform launched, the volunteer matches we are able to make has increased at least sixfold in the first 3 months of operation. With a robust platform in place, we are equipped to create impact at scale and facilitate more pro bono talent into the social services sector.

Describe their project management style, including communication tools and timelines.

We have a slack channel with their staff members and our team. We also have spreadsheet, Trello and JIRA to track and note the tasks and progress. We also give them feedback on the bugs and fixes with Google Doc. Their communication is open and frequent, and gives constructive suggestions when it comes to tech-related problems our team isn't familiar with.

What did you find most impressive or unique about this company?

They're open to feedback and find constructive solutions with us. As a charity with limited budget, a moving timeline and a new platform, there are frequent changes and new features to be added. They are patient and understanding, and try their best to work well with us.

They are also fast to respond, despite the time difference as we are based in Hong Kong and they are in Ukraine.

Are there any areas for improvement or something they could have done differently?

When we first started working together, there are some discrepancies from our mockup with the features they developed on the test site. We shared our feedback with them and this problem has significantly decreased as we continued to work together.

OnePageCRM is the world's first action-based CRM. We built it to free salespeople from bloated software, help them focus on sales actions and change the very way they work. I work as Operations Lead, manage and run the day to day operations in Development and QA department.

We hired codexy to work for us on a couple of times. We were experimenting with a new app where they help us built and also upgrade our existing marketing page.

What were your goals for this project?

We wanted to revamp our marketing page and make it more attractive for our customers.

How did you select this vendor?

They were recommended initially by one of our remote dev's and after the first project, we continued on.

They developed, configured and help us launch the new marketing site. We started with design in pictures only, codexy helped us locate issues in the design so don't waste time from the beginning.

What was the team composition?

The team was more than 3 people but Mike was the main lead who managed the project, communications and kept everyone on track.

Can you share any information that demonstrates the impact that this project has had on your business?

We have more traffic on our site now and it looks very attractive

It is great we have daily and weekly meeting to keep track of the project to make sure we are on track.

What did you find most impressive about this company?

Communication is the key to make things right from the beginning. We were impressed by how everything is questioned, discussed and understood before taking action.

It is very little in relation to the size of the project but overall it is great.

Codexy Software is a unique software development company because of its velocity. By velocity is mean deployment capability of functional features vs. time spent. ROI is more 2-3x compared to the average Ukrainian outsourcing partner. They use a unique approach to utilize the programmer+mentor approach when you buy developers from them. I'm looking for a decade long co-operation with them. Happy to give you personally more information.
