""They’re quick, efficient, and extremely responsive and communicative on a personal level.""

**BACKGROUND**
Introduce your business and what you do there.

I’m the president, co-founder, and CEO of CapFront, a business funding brokerage firm.

**OPPORTUNITY / CHALLENGE**
What challenge were you trying to address with Cloudsquare?

We needed help with our marketing and customer relationship management efforts.

**SOLUTION**
What was the scope of their involvement?

Cloudsquare primarily provides support for our customer management system (CMS) and technology. They’ve handled our Salesforce deployment and provided us with an app called BrokerSuite, which they developed internally and is licensed on Salesforce as an app. It acts as a central hub for everything that we do and is customized for our industry.

Additionally, they’ve integrated related applications and software into our Salesforce CRM system — they’ve integrated DocuSign for easy e-signature solutions, Salesforce Pardot, which allowed us to automate our marketing efforts, and a bank statement reading technology for our sales representatives. Beyond that, they’ve also integrated Vonage, a smart call center solution for inbound and outbound contact, into our systems.

What is the team composition?

My main point of contact from Cloudsquare is Paul (Salesforce Consultant), but I’ve also worked with Dennis (Director of Sales) directly on the business development side. Most of my communications with Cloudsuare run through a third-party consulting company, so I don’t usually communicate directly with the team.

How did you come to work with Cloudsquare?

I was doing research and one of their clients, who is an acquaintance of mine, posted about their work with Cloudsquare. I gained interest in their work because of my respect for that person.

How much have you invested with them?

I’ve spent somewhere around $60,000 in total so far.

What is the status of this engagement?

We started working together in August 2020, and the engagement is ongoing.

**RESULTS & FEEDBACK**
What evidence can you share that demonstrates the impact of the engagement?

We brought Cloudsquare with the purpose of completely overhauling and preparing our business to go from an early-stage startup to a scalable post-revenue business. It’s hard to put a finger on the ever-changing metrics, but we’ve definitely seen drastic growth in our organization because of the changes that we’ve implemented with Cloudsquare. For one, we’ve been able to add a number of new sales representatives, business development officers, and support staff primarily because of the work that Cloudsquare has done.

We’ve also seen a lot of improvements in our workflow and sales processes because of the development and integration work that Cloudsquare has done. Their work has effectively streamlined our data-processing efforts, automated our outreach, data entry, and file analysis work, and maximized the productivity of our sales representatives and the efficiency of our management processes.

How did Cloudsquare perform from a project management standpoint?

Cloudsquare has performed exceptionally well in terms of project management — they’re efficient and extremely responsive and communicative on a personal level.

What did you find most impressive about them?

I’m really impressed with the fact that Cloudsquare is as efficient as larger companies whilst still being able to maintain the posture of smaller boutique firms.

Are there any areas they could improve?

I don’t think there’s anything Cloudsquare could improve on at the moment — I’ve been very happy with the work they’ve done so far.

Do you have any advice for potential customers?

Make sure that you have someone in your team who has a background in web development. Otherwise, it would be a good idea to bring in a third-party consultant to guide you throughout the process because the people at Cloudsquare are more on the technical side — they’re not necessarily equipped to hold your hand if you have no one on your team who knows what they’re talking about.

President, KenKar LLC
- Industry: Other industries

- Review Type: Phone Interview
- Verified

**The Review** — Feb 2, 2022

**Feedback Summary**: Cloudsquare’s solution resulted in massive time savings, making the client’s business growth sustainable. Their cost-effective work streamlined operations and allowed the company to invest in more productive ventures. They facilitated a smooth workflow through a detailed approach.
""Cloudsquare listened carefully and gave suggestions that improved our process.""

**BACKGROUND**
Introduce your business and what you do there.

I am the president of KenKar LLC, and we’re a master distributor for medical equipment manufacturers. We sell exclusively to Mexico; Central and South America; and the Caribbean through a network of independent distributors.

**OPPORTUNITY / CHALLENGE**
What challenge were you trying to address with Cloudsquare?

We had been using Salesforce since the company’s inception. I used to separate tasks with a partner, but his work fell on me when he left the company. We had numerous manual and repetitive processes specifically for generating orders, and they involved a lot of paperwork.

One single order took me 10–20 minutes, and it was just unsustainable. I needed help automating our order processing using Salesforce.

**SOLUTION**
What was the scope of their involvement?

First, I sent Cloudsquare information about how my current processes ran. They came back with ideas and suggestions for the project. From there, they developed an order processing program within Salesforce.

The tool generated documents digitally and took away the bulk of the work in our order fulfillment process. It also allowed us to track the salesman and enduser and generate other reports. Cloudsquare conducted a recorded training on how to use the solution.

What is the team composition?

I worked with their sales director, a project manager, a product manager, and a developer.

How much have you invested with them?

We spent around $30,000.

What is the status of this engagement?

We worked together from March–June 2020.

**RESULTS & FEEDBACK**
What evidence can you share that demonstrates the impact of the engagement?

Cloudsquare’s work resulted in 3–4 hours of time savings per day, making my business sustainable as it grew. They successfully automated manual tasks, and I could also easily view information and reports on the dashboards they generated.

They made our processes more efficient, and the information generated by the program was invaluable. I could run reports and pull out information quickly. Everything became quick to find.

In addition, Cloudsquare’s tool was cost-effective and resulted in savings. They allowed me to invest in other parts of my business that would generate a larger return. I also had more time for my personal life because of their solution.

How did Cloudsquare perform from a project management standpoint?

At the start of our partnership, Cloudsquare sent out a work statement. That document detailed the project’s purpose and our business challenges and objectives. It also laid out the solution with a time estimate of each part of the process. The file presented their committed schedule and our responsibilities as a client to keep the project on track.

Cloudsquare stayed on our timetable and budget. They were communicative and responsive. Additionally, they were very transparent on their billings. We collaborated through Microsoft Teams and had weekly meetings to update their progress.

What did you find most impressive about them?

I searched for a Salesforce integrator for three years, and no one called me back. Meanwhile, Cloudsquare responded immediately when I first reached out to them. We immediately set up a meeting, and things got going pretty quickly.

In addition, Cloudsquare listened carefully and gave suggestions that improved our process. They saw things that I didn’t see and ended up improving our overall operations. Although I gave them a general outline, they suggested better ways.

Are there any areas they could improve?

I can’t think of anything.

Do you have any advice for potential customers?

Think about your business processes and give Cloudsquare as much information as you can. If they understand your business, they are more likely to deliver something better than what you expected.

Their instruction packet could be in a language that everyone could understand, but other than that, I don’t think there’s anything they can improve on.

Let them know from the beginning your preferred communication methods.

**BACKGROUND**
Please describe your company and your position there.

I’m the COO of California Energy Contractors. We specialize in high-performance, energy-efficient products like windows, doors, paints and coatings, and roofs and insulation.

**OPPORTUNITY / CHALLENGE**
For what projects/services did your company hire Cloudsquare?

After doing our sales process on paper for the last 18 years, we finally decided to implement a CRM system.

What were your goals for this project?

We wanted our telemarketing department to integrate their dialing, scheduling, mapping, confirmation, and sale booking activities. We also hoped to track installations, crews, and accounting.

**SOLUTION**
How did you select this vendor?

We contacted five Salesforce partners and Cloudsquare proved to be the most experienced. They were fast learners, which made me confident that they would make my vision a reality.

Can you go into detail about the services they provided and the scope of the project?

We had a very complicated model with many moving parts, so Cloudsquare spent significant time talking through each process and getting everyone on the same page, from an execution standpoint. After designing the solution, they jumped immediately into development, sending out weekly status updates that included both hours worked and costs incurred. Prior to going live, they came onsite to teach us how to navigate Salesforce and show us some shortcuts.

What was the team composition?

We worked with a project manager and a project lead, but they had developers doing the heavy lifting in the background.

**RESULTS & FEEDBACK**
Can you share any information that demonstrates the impact that this project has had on your business?

We saw measurable improvement in numerous categories including leads generated per week (45%), time to generate each lead (almost 75%), appointment confirmations (70%), and monthly sales (24%). We also reduced the time administrators spent coordinating lead status between various teams, increased scheduling efficiency by region, and gained groundbreaking insight into our sales performance, gaps, and trends.

How was project management arranged and how effective was it?

They delivered ahead of schedule and under budget, so it was top-notch. We hit every milestone and date they set and were in constant contact with the same people, thanks to Slack and JIRA.

What did you find most impressive about this company?

Their ability to learn your business and truly understand what you need is exceptional. I’ve never dealt with anyone that was able to understand our needs so quickly and with such amazing accuracy.

Are there any areas where they can improve?

We couldn’t be happier, so there’s nothing to improve.

### Migration from a dated CRM to Salesforce
A wholesale migration to Salesforce presented a significant challenge. All internal sales efforts were being managed in the previous CRM, including lead scoring and assignment to the sales team, as well as deals submitted by partners.
With information being submitted from multiple sources (traditional lead generation efforts, partner relationships, etc.), Alpine was having difficulty attributing sales to their true lead source. Eventually, they tracked the cause of the problem to many duplicate records.
The volume of duplicate records and the general state of the data made hindered the ability of agents to move through the sales cycle efficiently. Alpine achieved a 76% increase in deals closed/won in the month following the migration.
Working closely with the Cloudsquare implementation team, Alpine was able to meticulously address three crucial aspects of the migration:

Migrate duplicate records: The team developed a complex algorithm capable of automatically identifying duplicate records based on status, status changes, and record type.
Migrate nearly five years of data: After successfully migrating its New York office, the Alpine team then completed the same process for its Las Vegas location months later.
Fix the attribution problem: Now that deals are assigned the correct status automatically, Alpine can better score leads with high potential versus those that should be eliminated.

Giving credit where credit is due goes a long way in the world of business. After moving on from a dated CRM to Salesforce, Alpine was finally able to overcome problems rooted in duplicate records and messy data. Not only did this lead to immediate and measurable productivity gains for sales agents, but consistent and accurate lead attribution strengthened the relationship between Alpine and its partners.

### Limited Time-framed Salesforce Implementation
After procuring some Salesforce licenses, ThoughtWorld needed to quickly implement Sales Cloud for their brand-new sales team was starting in 3 weeks' time. They lacked in-house Salesforce experts and were seeking a Salesforce minimal viable product (MVP) setup so that their sales team could start tracking pipeline activity. ThoughtWorld needed to work with a Salesforce partner who could architect the org for scalability and that would encompass the complete sales process. This project needed to get done within 2 weeks' time for it to be a success.
Cloudsquare's team configured a lead path with custom values that were meaningful to ThoughtWorld.
Roles, Profiles, Permission, Sharing Settings, and Field History Tracking were configured on two levels: BDR and Closer. The team also integrated Gmail with Salesforce to relate emails to appropriate records in Salesforce while assisting power users in configuring the sidebar. Following Power User Training, Cloudsquare's team then added additional custom fields, created list views, and adjusted the page layouts to eliminate all the clutter that comes with Salesforce out of the box, and automated some validation rules for selected fields or when a user added specific data.
Finally, they trained end users on what was built.

A Comprehensive sales process workflow designed for better business process decisions. Once the implementation was set in place, ThoughtWorld's team could track their leads and opportunities, pull up any record instantly, and start working on them immediately. They could now see the lead and opportunity sales process through a guided flow, input data, analyze it and make better business process decisions, like selecting which leads should become opportunities and which ones they need to leave behind. Additionally, having a list view with each stage of the lead or opportunity process allowed them to filter and better understand the open pipeline.

### Going Paperless with Salesforce Help
Leads were being taken down on paper, searched for through thousands of documents, and eventually, lost. Lead generation by a telemarketing staff was not consistent week over week. Limited visibility into historical appointments of an existing prospect. Excel price books were very difficult to update. Internal communication was done via post-it notes. Reporting was manually done by looking at every lead sheet and tallying KPIs for every marketer, lead source, and sales representative individually.
The Cloudsquare Solution

Migrated the entire marketing and sales departments from paper to a build-out of Sales Cloud Lightning with Chatter.
Integrated the Five9 Dialer inside of Salesforce configured with screen-pop and business intelligence.
Implemented a robust appointment tracking process for managers to reference the full history of any customer.
Created automation to deliver appointments to sales representatives faster with complete access to any required information on-demand.
Integrated company price book for easy pricing.
Integrated Geopointe to provide a 360-degree view of all customer locations while scheduling appointments.
Built new performance dashboards and reports.

Resulting in:

Increased in leads, sales, and efficiency.
45% increase in leads generated weekly
Reduced time spent to generate a lead from approx. eight minutes to under three minutes
Improved appointment confirmations by 70%, resulting in fewer no-shows
24% increase in the number of monthly sales
Reduced hours spent by administrators on coordinating the status of leads between the Sales Manager, sales representatives, and executives from ten hours to two hours weekly
Increased the efficiency of scheduling by region leading to an additional three scheduled appointments weekly per sales representative
Developed power users into internal champions, which led to a 100% successful user adoption

Groundbreaking insight into sales team performance, highlighting gaps and trends previously unknown.

### Optimizing Salesforce for a lending broker
For Berkman Financial not having a CRM in place represented a challenge knowing it would be difficult to compete with similar companies in the alternative business lending industry, adding also:

Limited visibility into the sales pipelines and understanding conversion metrics.
Inability to capture lead source attribution effectively or knowing how much is being spent on marketing campaigns.
Not being able to broker out deals to multiple funders simultaneously thus resulting in a slow submission process.
Limited support for the Renewals department and not knowing when merchants were eligible for renewals.
Limited data tracking and reporting on important key performance indicators (KPI’s).

Working closely with the Cloudsquare implementation team, Berkman was able to meticulously address aspects of the Salesforce implementation:

Build a custom package, BrokerSuite, for the alternative business lending that sits on top of Sales Cloud industry Enterprise Edition.
Configured standard and custom objects with custom fields, statuses, a page layout, and lead conversion mapping.
Created a dropdown on Lead, Account, and Opportunity relating records to a specific campaign.
Created a shopping wizard allowing processors to shop out deals to multiple funders with a few clicks.
Built a robust renewal engine to track renewal eligibility such as paid in percentages for renewal forecasting.
Configured custom reports and dashboards to track important KPIs

As the result of this implementation, Berkman saw noticeable results in a number of key areas:

20% increase in funded deals by having a competitive edge due to a streamlined workflow and faster submission process.
$2,000 monthly cost savings by knowing which leads and campaigns are providing the highest ROI.
Increased renewal conversions by 30% by knowing when to market to merchants.
Insight into company performance, highlighting gaps and trends previously unknown.

### Moving Underwriting team leads to efficiency
Although the rest of the company was already using Salesforce on a day-to-day basis, the underwriting team at EIN Capital was still using dated systems to secure funding and process deals. Because the underwriting team weren’t tracking processes around offers to merchants and cash flow information in Salesforce, instead keeping information in various emails and Excel spreadsheets, other teams such as sales and services lacked visibility into the most up-to-date customer information.
The solution was to mimic underwriting processes and functions, such as entering calculations and updating customer records, all using a clean and simple user interface built straight onto opportunity records within Salesforce. All of the underwriting was now plugged into the rest of company processes, with calculations refreshed automatically, giving the entire company new insights to previously siloed trends and helping inform future underwriting decisions.
Key stakeholders on the EIN Capital team worked closely with the Cloudsquare implementation team to make sure no detail went overlooked. As a result, all of the underwriting team’s existing processes, data, and records were successfully integrated into the Salesforce platform. The benefits were immediate, and extended beyond just the underwriting team:

100% user adoption after successfully onboarding entire underwriting staff.

Improved monthly processing speed versus the old manual system.

15% increase in deals closed/won.

Addition of 12 users since implementation.

Streamlined Communication, updated Customer Insights for the entire company.

With all communication now in Salesforce, the underwriting team was able to capture all their information in a single customer record available to every department in the company.

Immediate boon to interdepartmental communication and cooperation.

### Implementation of Service Cloud for improvements
EPSG was experiencing many bottlenecks with its latest technology stack and multiple systems. They had selected Salesforce to be the front-end system and required the platform to be able to manage partner prospecting, onboarding, relationships, partner program management. They required Salesforce to be able to manage the Merchants that have acquired credit card processing services through one of the processing companies, provide customer support, manage deployment of equipment to merchants, as well as integrate with outside systems. In addition, they were using FinancialForce as a tool, but it had not been optimized to cover EPSG’s needs, as it was implemented in Classic, rather than Lightning.
Cloudsquare’s team did a full Sandbox Code Review where they documented a summary of the automation’s functionality and organized the data in an easy to reference spreadsheet, then injected kill switches into all Apex triggers that reside in full sandbox to be able to enable and disable triggers easily.
Cloudsquare also installed and configured HelloSign, set the generation of the appropriate Sales Partner Package with the correspondent schedule, worked on the Partner management, and supported the client on configuring Jitterbit to sync specific data from Salesforce with the Data Warehouse, integrating Smart App with Salesforce, CMS with Data Warehouse and building a data migration strategy for migrating sales partners, referral partners, programs and programs details, contracts, payouts and mods.
Finally, Cloudsquare created a Global Console Lightning App with appropriate tabs, utility bar and layouts.
Cloudsquare worked on the partner support, giving the system the ability to identify types of partners, escalate cases after a certain amount of time, report on case turnaround time, and set flags on account to identify partners and VIP partners.

### How a tailored Salesforce solution helped an organization improve sales efficiency by 20%
In cooperation with the Cloudsquare implementation team, the Client performed an on-site business process review. Together, the team scoped out a new, Salesforce-based system capable of more efficiently tracking submissions throughout the entire sales cycle. After completing a comprehensive review, the team developed a tailored solution to address two key process and efficiency opportunities:

Custom email tool was built to automatically parse relevant data, partner information, and even attachments. The tool now automatically creates queues for unprocessed submissions or applications, prevents deal duplication, and properly attributes all submissions to the right lead source or partnership. Routing email submissions from partners directly to Salesforce now became seamless.
Streamlining stipulation management. Before funding a deal, the Client's team requires extensive information from merchants, including (but not limited to) any bankruptcy filings, repayment plans for outstanding debts, etc. The new system (and built-in user interface) now automatically triggers appropriate stipulation workflows, a process the underwriting team used to have to manage manually.

Salesforce now provides a more complete visibility into the status of all deals in the Client's Pipeline.
Management can now see where any deal stands and see how many are sitting in each stage.
The underwriting team, for their part, now have more complete information to inform their approach to deal applications, much of it automated before hand.
As a result of these and other efficiency gains created by the Salesforce integration, the Client has seen significant movement in a number of important KPIs:
A 20% increase in efficiency thanks to fewer records and no duplicated datalicated data
A 30% decrease in average contract offer, indicating more targeted, risk-averse decision making by the underwriting team

### How a Lender increased Closed Won Business
After years of using the same dated customer relationship management (CRM) software, Ascend was ready to make a change. Yet a wholesale migration to Salesforce presented a significant challenge. At the time, all internal sales efforts were being managed in the previous CRM. This included lead scoring and assignment to the sales team, as well as deals submitted by the company’s valued partners. It would be a hands-on project requiring an attentive and highly skilled team.
