I’m the chief operations officer for a startup that offers a messaging tool for small businesses, as well as call center agents, to represent them when they are unavailable.

What challenge were you trying to address with Chatbots.Studio?

One of our larger clients wanted a product that afforded them automated booking capabilities as well as omnichannel-type chat communications. We'd already established the necessary technology stack and requirements for some communication channels but not others. We needed resources to help develop the messaging tool, design a scalable platform, and enable the software to connect to various platforms.

What was the scope of their involvement?

On our side, we set up the technology stacks for phone, text, live chat, and Facebook messaging. However, as a Microsoft shop, we simply weren't as familiar with certain required technologies. Chatbots.Studio handled the other stacks, helping us develop a customizable platform that could easily integrate with messaging tools/software for different businesses.

We have a team of 6–7 engineers working full time. One of them acts as the project manager and handles the communication.

We began working together in May 2018 and the work is ongoing. Our first release was in April 2018, and we are currently working on improvements and additions for the next version.

What evidence can you share that demonstrates the impact of the engagement?

Chatbots.Studio created a functional product in a short period, which has given us an enormous amount of credibility with the client who requested the product. So far, we have received positive feedback. In the first month and a half of release alone, we onboarded 30–40 unique small businesses onto the platform.

We expect to see the messaging tool increase in popularity as our users become accustomed to the idea of informally messaging business to get information and book appointments.

How did Chatbots.Studio perform from a project management standpoint?

They’ve been on time with every release. Our common communication tools are email, Skype, and cross-team messaging. We also have daily calls with the entire team to keep updated on the project’s progress and preview upcoming deliverables.

What did you find most impressive about them?

I was continuously impressed with their passion towards the project—it’s what initially drew us to them. Even if other companies offered slightly more experience with the technology stack, we wanted to work with someone that would partner with us on the project and be devoted to its success.

Are there any areas they could improve?

No, nothing comes to mind. I don’t feel like there is anything they need to urgently change or address. They’re a wonderful company that offers a great value.

Our process went as smoothly as it did because we approached Chatbots.Studio with solid ideas and goals. I would recommend spending some time prior to the engagement developing your requirements documentation and making sure everything is in order. When working with any software engineering team, you have to give detailed descriptions of what you want to avoid unnecessary, and sometimes costly, back and forth.

What were your goals for this project?

Our goal was to respond to recent local competitor growth by increasing customer satisfaction and retaining private traders and dealers. We also decided to optimize the time needed for operations in order to provide the best customer experience. That included reducing client service time, expediting responses to internal issues, and improving service points and infrastructure needs, such as customs, car washes, car mechanics, hotels, restaurants, ads, and security issues. All of this we expected to be presented in a user-friendly interface.

How did you select this vendor?

Chatbots.Studio’s CEO was already engaged in AUTOPAPA’s online market software development, while another co-founder was handling our ERP and PACS systems. When they suggested ideas for service improvements, I chose them to implement the solution.

Describe the project in detail.

ChatBots.Studio created a bot that manages the architecture of automated business processes. It can assign subscriber roles that are related to their company position and include access to all relevant communication and information. This worked perfectly because everyone has messenger in their pockets while out on market territory. We redesigned our approach to task definitions, reports, and some existing business flows to improve their efficiency and matching with other messenger interfaces. The conversation flow was built on DialogFlow, while the business logic was developed on Corezoid, which included WEB API integrations to our back-office software. We used Telegram for the mobile user interface and Slack for interoffice communication.

What was the team composition?

We have a dedicated development team of three front and backend developers who provide ongoing support to the project’s PM and QA experts.

What outcomes or results can you share that demonstrate progress and/or success?

Customer satisfaction has doubled in the first three months. Staff satisfaction has improved by 60% and we have shortened the time for complex operations by 500%. We unexpectedly discovered that reports from the bots can help solve HR-related problems. Most importantly, we have created a roadmap for effective solutions to customer service issues.
