UX Overhaul of a Healthcare Claim Management System
Our customer provides delivery of managed healthcare through modular cloud-based enterprise systems, mobile applications, predictive analytics, situational surveillance, and centralized real-time processing.
They needed a redesigned claims and encounters process to optimize workflows and simplify existing processes.
Through our systematic UX overhaul of their health claims and resolutions process, we were able to identify and efficiently resolve pain points identified during the journey mapping process.

Designing new Diagnostics Portal with Rapid Prototyping
Our clients required a new Customer Portal for Diagnostic Laboratories. It needed to be a cloud-based web application that’s responsive across platforms and meets user needs with ease.
Through rapid prototyping, we were able to explore and test multiple directions before going ahead with the one that was the most feasible for the customer.
By exploring solutions and assessing challenges in the design phase, our customer was able to reduce development costs dramatically with a UX-driven approach.

Elevating UX for a Patient Outreach Solutions Provider
A leading Patient Outreach solutions provider for multiple services like IT, revenue cycle management, patient experience, and home health sought a post-discharge communication platform.
They wanted to streamline their services to ensure that the patients get the right care after being discharged. Their goal was that the patients should be able to access preventive care when needed and better managed it through a patient-centric experience.
We conceptualized a new product for them through an iterative design process. The new product helped them successfully provide better post-discharge solutions that elevated care standards.

Integrated Telehealth Solution for EHR
The onset of the pandemic showed the healthcare industry what loopholes existed in the system.
Our client needed to add rapid new capabilities that were the need of the hour. While working with Koru’s dedicated design team, they were able to lead the market by launching, integrated telehealth solutions that fit into existing EHRs.
They also added additional capabilities to view and book vaccine slots, immunization details and reduced the risk of physician burnout. The case study for the design project bagged the iF Design Award 2021, A’Design Award 2021, and UXDA nomination 2021.

Design System Creation for a Healthcare Tech Solution Provider
A healthcare technology solutions provider required a unified, comprehensive platform to manage the needs of a healthcare payer.
They needed a more systematic solution and fix daily issues like inconsistent tooltips, confusing navigation, and competing button styles. Their resources were wasted on recreating the same UIs and correcting the previous versions.
After data-driven user research and UX/UI overhaul based on that, they optimized key journeys and launched a unified design system that resulted in productivity improvement by 12%, improved the SUS, and reduced development time tremendously.

Please describe your company and your position there.
Touchpoint Medical is a global manufacturer of secure storage, dispensing and mobile solutions for the healthcare medication management sector. In my role as Director of Software Engineering & IT, I'm responsible for both product-related as well as internal and marketing-related technology projects.
For what projects/services did your company hire Koru UX Design ?
Koru previously improved the UX for an important service tool used by our field technicians to repair 'smart' medication storage compartments, so when we decided to move a user-notification product to a mobile application we chose them to design the UX/UI as well as help add value to the utility with branding and other customer-friendly features.
What were your goals for this project?
The mobile app notifies users of our mobile computing carts when their patients come into and leave the hospital, and also as patients move from one department to another. We wanted to add other features that would encourage customers to download and use the app even if they were not specifically users of the mobile computing carts.
How did you select this vendor?
We've used Koru before and were happy with the results, so the decision to involve them in this project was an easy one. They are familiar with our products and the problem space we operate in which made the requirements discussions quite easy and efficient, and their analysts and designers were able to offer insightful suggestions on the best approach for laying out the UI and on how some of the extra features should work.
Describe the project in detail.
The basic notification features were already implemented for both iOS and Android, but the UI/UX was very rudimentary and there was very little value to the customer beyond the simple notifications. Koru worked with our marketing team, software architect, and one of our analysts to identify other value-added features such as the ability to submit a service ticket directly from the mobile app, and ability to customer support via the app. They also greatly streamlined the notification workflow and created a simple and consistent UX for navigating through and managing notifications.
What was the team composition?
Koru had a project lead, an analyst and a designer who interacted directly with us, as well as some back-room support. The main people involved on the Touchpoint side were an architect, analyst and a marketing manager.
Can you share any outcomes from the project that demonstrate progress or success?
We're still working on implementing some of the back-end functionality but everyone on the Touchpoint team who has seen the mobile app UX/UI has been impressed, and we're excited to wrap up development and get the app launched.
How effective was the workflow between your team and theirs?
Koru is quite easy to work with. Their online project tracking tool is well-known and simple to use. The team was quite flexible in accommodating our schedules which is especially noteworthy considering we had participants from all three poles (Americas, Asia, Europe).
What did you find most impressive about this company?
They are easy to work with, efficient and quite pragmatic. They're reliable and predictable in a business where that can be quite challenging.
Are there any areas for improvement?
We've done two projects with Koru and will do more in the future, we haven't seen any areas of concern.

Please describe your company and your position there.
I am a Project Management Head at a healthcare practice management solutions company.
For what projects/services did your company hire Koru UX Design ?
We were looking to upgrade our existing EHR system to a cloud platform.
What were your goals for this project?
We were looking to combine public health and patient engagement into a unified user experience which would function across devices and platforms.
How did you select this vendor?
We've had a long-term collaboration with Koru UX Design which has always generated exemplary results for us. It was therefore a natural association for this project as well.
Describe the project in detail.
We were looking to expand the reach and accessibility of our system to allow physicians, staff, and patients to collaborate more effectively and to achieve better care coordination. The system had to be HIPAA-compliant and feature a high-level encryption system to safeguard the sensitive data. We also had to reduce the constant need for manual updates and save operational costs.
What was the team composition?
I appreciate their system of assigning a project POC. This ensured that the communication was thorough both ways and ensured hassle-free communication. I am not sure about the team structure from their side.
Can you share any outcomes from the project that demonstrate progress or success?
We had a trial run of the new web-based system and were satisfied with the outcome. With the increased accessibility, doctors and their patients found it easier to connect. Doctors and nurses were able to make better use of their available time as the web application was available across devices, 24/7. Data security was enhanced, which was a top priority as per the law.
How effective was the workflow between your team and theirs?
Quite like our previous encounters, this project was also considerably free-flowing. They have managed to establish a sorted system of communication by using the best project management tools. What also helped that we'd worked with them before, our teams were well in sync with each other's style of functioning.
What did you find most impressive about this company?
Their level of commitment is commendable. I admit, there were a lot of bumps and disagreements along the way, which is to be expected during design and development projects, but these were handled very well all throughout.
Are there any areas for improvement?
It was great to collaborate with Koru UX Design. They're a team of energetic professionals, would like to see them continue the good work.

I am the founder of Incubyte, a development agency that builds high quality software solutions for our clients. We work in close collaboration with our customers to design software, the required team, as well as the organizational strategy required to successfully release products.
For what projects/services did your company hire Koru UX Design?
We partnered with Koru UX Design to create the UX & UI designs of a finance services solution for a customer. We needed a design team that was well versed with financial applications, had the creativity to come up with innovative solutions, and could work fast on an interactive scale.
Our goals with this project was to create a solution for our customers that served their users’ every need. The solution had to be smart enough to accommodate and optimize existing processes while preserving the scope to include new features to improve the user experience. The implication of manual errors in financial applications are huge, so our goal was to create a tool that automated processes and facilitated smarter ways of accomplishing tasks.
How did you select this vendor?
We have worked extensively with Koru in our past professional lives. Their expertise around designing solutions for web and mobile enterprise applications was ideally suited. At Incubyte, we had also worked on a POC to create an enterprise app for an IOT company.
Describe the project in detail and walk through the stages of the project.
The customer needed a custom workflow solution that enabled agents to collect on loans, facilitate data visibility, and give tracking options for ongoing communication. Koru UX Design was responsible for collaborating with the Incubyte team to understand requirements and build necessary concepts for the solution. Based on the approved concepts they created the UI UX designs and HTMLs which were used to get fast feedback from the client.
How many resources from the vendor's team worked with you, and what were their positions?
Depending on the scale of work, we interacted with a Project Manager, two interaction designers, and two front-end developers.
Can you share any outcomes from the project that demonstrate progress or success?
The solution is in production at the client site and we continue to add features to it. The early designs and concepts received positive feedback from the stakeholders and Koru created elegant UX and UI designs that have been very well received by the end users.
How effective was the workflow between your team and theirs?
Koru’s team was able to match the fast pace of the project. Their communication channels were always open and the team was always in sync with the latest requirement from the project or the feedback received.
What did you find most impressive or unique about this company?
Koru’s ability to generate new ideas and concepts based on evolving briefs is commendable. Their unique ability to generate incrementally fine ideas was impressive as well as fundamentally fine ideas.
Are there any areas for improvement or something they could have done differently?

Please describe your company and your position there.
I am a Project Manager at a software development company offering a spectrum of solutions under digitization. We aid our clients with maximizing productive digitalization.
For what projects/services did your company hire Koru UX Design?
Our team was working on developing an appointment scheduling module for an existing EHR application. We sought the expertise of Koru UX Design and commissioned a UX audit to assess the usability of the module.
What were your goals for this project?
Considering that the appointment module was to be a part of the existing EHR, we had to ensure that the interactions we’d created and the overall look and feel were up to the mark. We were looking to get a holistic third-party evaluation of our module before the release.
How did you select Koru UX Design?
We were looking to partner with an experienced design company that held a good track record of working on healthcare products. Having gone through Koru’s healthcare case studies online, we decided to initiate discussions with them.
We were, in fact, delighted to discover that the company specializes in UX Audits and delivers detailed reports of actionable items. What ultimately tipped the scales in their favor was their prior experience with complex healthcare products and a solid service offering of UX audit.
Describe the project in detail.
The appointment module was added to the existing EHR as mandated by patient needs during the pandemic to use the app to book appointments safely for virtual interactions. In short, there was limited time, resources, and avenues to research and test our solutions.
Koru’s comprehensive heuristic evaluation report highlighted specific areas that needed improvement. These were in lieu of the needs of the business and the users, which made them reliable.
What was the team composition?
We were assigned a Project Manager who led us through the whole process and directly dealt with our requirements. From our team, we had the Project Manager and Lead Developer interacting with the Koru team.
Can you share any outcomes from the project that demonstrate progress or success?
As part of the UX audit, the team at Koru also shared a Roadmap of recommendations & top action items. These included specific pointers like highlighting time zone differences in the scheduler, updating availability of the provider in realtime, and more. These incorporated recommendations were highly appreciated by the client team.
How effective was the workflow between your team and theirs?
What impressed me was their absolute attention to detail, which is crucial while conducting an audit. They’re very good at communicating and sticking to committed schedules.
What did you find most impressive about this company?
The people at Koru know what they’re doing. They have an exceptional command over UX and UI best practices. That added to their healthcare expertise was a win-win for us.
Are there any areas for improvement?
We did not encounter any.

Describe the project in detail.
Our digital marketing campaign planner is used by different users to add new campaigns, assign them to different teams, keep a track of their status, and maintain archives of the previous campaign.
The team had to update the status manually on excel files shared across the drive. The previous platform had limited functionality and needed to be improved to include more modules. We wanted a modern look that was easy to use.

Please describe your company and your position there.
I am the VP of Software Development at a US- based healthcare software company.
For what projects/services did your company hire Koru UX Design?
We required a UX design specialist for a long-term engagement. Our company had a wide range of requirements including UX Research, UI Overhaul, UX Overhaul of Legacy Application, Mobile App Design, Front-end Development (HTML/CSS, Angular) to Design Thinking workshops for our product team. We didn’t have internal UX expertise. Our company had engaged another UX Design agency for a project but needed to move in a different direction to cover a variety of requirements. That is when Koru UX Design stepped in, they understood our needs, matched our velocity, and met the range of requirements we had on the UI/UX front.
What were your goals for this project?
Our engagement with Koru consists of multiple projects with different goals based on current requirements. For our existing web products, we needed to improve the implementation cycle and improve the user-friendliness of the platform. Being a product company, speed and innovation are our prime focus. For new products, we needed our ideas turned into quality design solutions, prototyped, and tested at a rapid speed. With our mobile products, we wanted to ensure every aspect of patient care is designed to make the process easily manageable and highly efficient for practitioners as well as patients.
How did you select this vendor?
The organization was in the process of transitioning to another vendor. During this period Koru UX Design reached out to us and impressed us by doing a POC. Different stakeholders, including the C-level executives, were involved in the initial POC and the vetting process. We were looking for a reliable partner who could understand our vision, require minimum handholding, and deliver high-quality designs on time. Koru UX Design was able to convince different stakeholders on all these factors through their subject matter expertise and innovative solutions to our challenges. Their CEO, Bansi Mehta, had showcased the exact drive and reliability we were looking for. Shortly after their first delivery, we were certain that we had made the right selection.
Describe the project in detail.
Our company provides ambulatory clinical software systems. We offer electronic record systems for patient flow management, record access, telemedicine, electronic communication, and clinical data processing. Koru has collaborated with us on multiple projects. Over the last eight years, they contributed end-to- end, beginning from user research to a seamless front-end implementation hand-off for our multiple EMRs and Patient Engagement Portals, digital kiosks, multiple web applications, and mobile apps. One of our initial works included an application design where we migrated a 20-year-old legacy application from VB to a web platform. We further developed it into mobile apps for iOS and Android platforms. They helped us design a highly intuitive and practitioner-friendly UX for our EMR which is used by primary care providers as well as for specialized medical treatments in dermatology, dental, vision, anesthesiology, and vascular treatments, among many others. Our patient portal offers versatile features like Appointment Scheduling, Lab Tests, Immunization Details, Progress Notes, Medications & Allergies Details, based on the patient’s age and primary needs from healthcare. Koru partnered on our vision and created a UX design that truly translated into user-centric experiences for all ages. They facilitated data-driven decision making for us with comprehensive dashboards of analytics that enabled us to facilitate programs for better patient care. Koru UX Design helped us succeed at each stage of the product life cycle for multiple products that needed to be highly efficient and iterative.
What was the team composition?
We primarily interface with their UX Design Lead and UXPM, discuss the requirements, and review the designs. They internally manage each requirement amongst Usability Analysts, UX/UI Designers, Front-end Developer, and other resources as required. During the last many years, their key resources working on our engagement have essentially remained the same and have developed deep domain knowledge which has led to a relationship between the teams that is symbiotic and highly efficient.
Can you share any outcomes from the project that demonstrate progress or success?
Our telemedicine application was designed before the pandemic and saw an outburst in the demand due to current times. The fact that the product is so easy to use and scalable, we could meet the surge in demand with almost no modifications. Presently, our telemedicine solution is being used for 1.5 million minutes/day across hospitals and healthcare practitioners. To add to it, our EHR and EMR applications are being used by more than 80,000 facilities encompassing 130,000+ physicians, and 850,000+ healthcare professionals in the United States. Additionally, our various EHR mobile applications have been downloaded more than 100,000+ times on App Store and Play Store and have an average rating of 4.0 stars. Through strategic UX design, Koru has helped us in meeting our vision by being a reliable partner for more than half a decade. The medical practitioners using our applications have given great reviews to the platform for making their lives easier. The stakeholders, on the other hand, have continued a retaining relationship due to Koru’s expertise and a high degree of reliability.
How effective was the workflow between your team and theirs?
We have multiple product teams in-house, ranging from 5 to 40 in size, with diverse UX requirements within the organization due to the wide scope of work being done at each moment. They all directly interact with Koru for any UX/UI requirements. Koru’s UX Design Lead and UXPM efficiently handled all requirements. They understood the requirements and assigned the appropriate team or individuals depending on the requirement and scheduled the work without much supervision from our end. Their team is structured in a way that they could sustain and deliver constant and multiple requirements from our side. The fact that we are on the same page allows our teams to be relaxed because we know that Koru will deliver on time.
What did you find most impressive about this company?
Koru’s ability to handle miscellaneous requirements from different initiators has to be their most impressive quality! They have always been perceptive of the priorities, they are trustworthy and absolutely accountable. It is their commitment to elevating enterprise design standards and their promise of timely-delivery that makes them a reliable partner.
Are there any areas for improvement?
Koru has always been keen on taking feedback. They follow-up and successfully align their services to meet our needs. Given our long-term engagement, they have come a long way and grown into our reliable vendors.

Please describe your company and your position there.
I am the VP of Specialist IT Projects at a financial services organization.
For what projects/services did your company hire Koru UX Design?
Our client base is spread wide – from companies, financial institutions, to high net worth individuals. While dealing with newer clients, our service agents have to access multiple applications, databases, and spreadsheets, to make basic recommendations. We were looking to consolidate the entire operations and come up with a solution to avoid queries from moving offline.
What were your goals for this project?
We were looking for some advice or a direction to lead this process of consolidation.
How did you select this vendor?
Koru UX was recommended through a vendor of ours who had worked with them previously. before finalizing Koru. They were able to convince us of their capability through the PoC.
Describe the project in detail.
Our aim was to help our service agents reduce the time taken to come up with accurate responses to customer queries over a phone call or a chat. Since the information they need to do this is spread over several apps, we had to find a comprehensive solution to speed up the query resolution process. What we needed from Koru was an audit of our current process and suggestions for appropriate improvements.
What was the team composition?
We mostly engaged with a Project Manager and Senior UX Strategist directly on review and check-in calls. We were also connected with the designers and engineers via Jira and Basecamp for design reviews.
Can you share any outcomes from the project that demonstrate progress or success?
We do have a small in-house team of designers and developers, but a project of this breadth and scale required more able hands. The team at Koru was cooperative and prompt in their responses, which made for smooth communication. Their comprehensive user interviews helped compile data on which they mapped the user journeys. Based on these, their team was able to draw a detailed set of recommendations for us.
How effective was the workflow between your team and theirs?
We monitored the whole project on Jira where the status of each activity was thoroughly maintained by the Project Manager. The team was highly responsive and took our feedback well.
What did you find most impressive about this company?
What worked for Koru to get on board with our project was their prior experience in working with finance companies on B2B applications. This made for easier conversations and a nuanced understanding of our needs. This helped both the teams quickly get in sync.
Are there any areas for improvement?
There are no areas for improvement as such. It worked perfectly for us to have access to an external domain expert who had a look at our challenges with fresh eyes and came up with fantastic recommendations.

Please describe your company and your position there.
Allen Technologies is a leader in Patient Engagement systems that provide education, medical information, entertainment and communication mechanism to in-hospital patients and mobile users.
For what projects/services did your company hire Koru UX Design ?
After much research and analysis I hired Koru because they had a solid track record and strong case studies showing success. Early conversations showed their ability to manage projects on time and within budget. Their team was also responsive and communicated well, which is often a challenge with off-shore development companies.
What were your goals for this project?
Deliver a user experience that made a sub-component of our system very easy to use, while also being modern and giving the user a pleasant and valuable experience.
How did you select this vendor?
Had multiple conversations and research with similar firms. Pruned down the list. Ultimately ran a proof of concept project with Koru. Liked the results. Went into a bigger project. Plan on doing more with them.
Describe the project in detail.
The basic scope of this project was to take an already existing (and somewhat dated) component of an Allen solution and bring it up to date and make it easier to use. The requirement was to deliver a usable html framework (referencing local json data) that our US team could then integrate to make api calls Allen's back-end systems. There was also a requirement to make the framework support a responsive browser experience.
What was the team composition?
On Allen's side there was a development manager, front-end developer and a product manager. On Koru's side there was an account manager, lead designer, html developers, product manager and a number of other personnel for certain items that came up along the way.
Can you share any outcomes from the project that demonstrate progress or success?
The outcome was very positive for a first-round project of this size. There are nuances of our environments that are different because our products run on some non-standard devices such as TV's, etc. However, those were to be expected up front.
How effective was the workflow between your team and theirs?
The workflows were solid. We communicated by regular meetings using web meeting tools and the team utilized web-based collaboration tools that allowed us to communicate 24x7.
What did you find most impressive about this company?
Koru is attentive and communicates well. Their design team is solid, and their people are courteous and friendly. Their pricing is competitive. Delivery was on time. I enjoy working with them.
Are there any areas for improvement?
Due to the non-standard browsers and use cases (viewing TV content from 15 feet away), it took a few rounds to get things sized correctly. We are still improving that piece. It's a challenge for a number of reasons and I feel like Koru understands this well at this point.
Some of the html framework delivered needs to get cleaned up so that CSS styling, etc. are easy to integrate within Allen's master schema. This is something that will just take definition on the Allen side and then work with Koru to implement.
In future projects we will also get them directly integrated into our development processes with more clearly defined inputs/outputs. This project was run a bit outside of Allen's standard process. That is not Koru's fault. It was just how we had to run this one to move quickly.
Koru UX Design 's efforts were met with positive acclaim. The team is easy to work with, programmatic, and are experts in their field. Customers can expect a flexible team that goes the extra mile.
