I'm fundraising co-ordinator in Belarus Red Cross. Our organisation is the biggest and oldest charity in Belarus which provides medical social and humanitarian assistance for more than 150 000 beneficiaries a year.

Our main goal was to develop IT infrastructure for fundraising system included online and offline campaigns, regular giving programme and lead generation activities.

SOLUTION

How did you select this vendor?

We shortlisted more than 20 companies which have an official Salesforce partnership and work operationally in Belarus. With each of them, we had a discovery meeting about the project.

Then, received a preliminary assessment, we launched an official tender-procedure. During the tender, we had a briefing for clarifying details of TOR. Next, we conducted an analysis of the final proposals with the involvement of external experts. Finally, Jet Bi proposal was selected as appropriate and most cost-effective.

Describe the project in detail.

The project included 3 main steps: data model settings, external integrations (donation pages, payment system) and automation of the processes. Jet Bi team helped to finalize TOR. During the project, we have had weekly standup call to inform about the status of the project or collect additional or clarifying requirements.

What was the team composition?

The team of Jet Bi included project manager, Salesforce developers, Salesforce architect, QA and web designer. During the project, other specialists also joined the work. The main communication was organised threw the project manager but in the case of specific issues specialized specialists joined the discussion.

RESULTS & FEEDBACK

Can you share any outcomes from the project that demonstrate progress or success?

Thanks to the developed infrastructure, it became possible to organize the first digital campaign. Today, the system collects data on all donors and leads, which allows us to interact with them, increasing the income of the organization. On the basis of the system, face-to-face regular giving campaign, which is unique to this market, is preparing to launch.

How effective was the workflow between your team and theirs?

The project manager provided regular communication on all issues. Weekly stand-up meetings, online and offline meetings to discuss individual functionality were held. We also received a weekly project status report. The progress of the project was reflected in Jira. Acceptance of the project took place in the office of our organization.

What did you find most impressive about this company?

We highly appreciate the expertise of the vendor and their involvement in the project. During the implementation of the project, the contractor was flexible and ready for unexpected tasks. In addition, the company showed involvement not only in the technical side of the project but also in the organization’s assistance activities.

Are there any areas for improvement?

The project is the first but the most important stage of development of the infrastructure. In the process of implementing the fundraising strategy, new requirements and challenges will arise. We plan to continue cooperation with Jet Bi to develop our system in future projects.

JetBi was the Salesforce Partner we chose to setup & customise the salesforce org and communitues to meet our very specific requirments. What were your goals for this project?

The project goals were to incorporate the functionality of 13 different applications and dozens of procedures into one cloud based CRM product. Migrate existing customer data into the new org, setup, develop and customise the Salesforce org, communitues and FSL mobile application in line with out current processes and procedures.

SOLUTION

How did you select this vendor?

Salesforce Sales team were very keen on us using the partner they put forward, based in London. Having worked mostly with offshore developers in the past I widened the net via a project bidding website. I shortlisted the best bid applications and arranged confenence calls with the best three. JetBi presented the best application and 'interview' and it was clear that they were very keen and excited about the project. They were equally clear on the ambitious time frame and budget implications and these were clearly laid out in multiple 'scope of work' documents before any agreement to proceed was reached. Based on their engagement, responsiveness and professionalism during the bidding process they won the work.

Investigation, understanding and documentation of our current systems, processes and procedures. Discussion, documentation and agreement of setup, developemnt and customsation required. Agreement on scope of work and estimated costs, invoicing and payments. Migration of existing data to new Salesforce CRM Setup, development, customosation and support of Salesforce, ServiceCloud, Communities, Filed Service Lightenting as well as intergration with 3rd party apps that plugin to the Salesforce Org (Stripe and Zapier)

The JetBi Project team was made up of a Project manager, 1-3 developers, Q&A, consultants when required.

Can you share any information that demonstrates the impact that this project has had on your business?

Having used the same CRM software for over 15 years I was always under no illusion as to how big a challenge it was going to be to change all of our systems and incorporate them into one cloudbased CRM. Working very closely with the dedicated team at JetBi we have managed to transition on to the new Salesforce Clouds with the minimum of disruption to our customer service staff, service technitians but most importantly customers.

How was project management arranged and how effective was it?

Almost all task, bugs, improvements and queries were managed and progressed through Jira. This meant that all parties could easily track the progress of each task knowing who was assigned to carry out the next stage of the task. The effective and efficient use of the Jira platform meant that it was easy to catch up on the project status at any time, even if my attention had been diverted elsewhere for a few days. Where urgent attention was required we have a Whatsapp group - which has been a useful add on.

What did you find most impressive about this company?

Dedicated, efficient and productive. Testiment to this is the fact that we carry on asking for further development and support from Jetbi. They are truely our Salesforce Partner.

Are there any areas for improvement?

Working with an offshore team does present both benefits and obstacles. On a whole - I prefer it. However I suspect most people would go with the partner Salesforce recommend as they tend to find a partner local to your business/decision makers. I personally did not like the idea of weekly face to face meetings around a conference room desk. The go-to-meeting conference calls with the project manager and development team was far more efficient than trekking in and out of Central London. However, for me, even a weekly go-to-meeting conference call seemed unessassary at times. I would prefer the confenence call meetings were arranged 'as required' when decisions needed to be made, discussed or demopnstrated, rather than as a weekly update process.

How did JET BI perform from a project management standpoint?

Their project management has been good thus far. They provide documentation and keep their timesheets up to date on a regular basis. Their managers conduct weekly meetings and daily emails. If a project needs more attention, they're responsive and will communicate with us more intensively.

What did you find most impressive about them?

They focus on delivering the most cost-effective strategies to optimize our success.

Are there any areas they could improve?

I feel like their team is too small at times. If their employees are not available, due to a holiday or to illness, their turnaround takes longer. 
However, overall, they make us feel like an important customer and are attentive to our needs.

What challenge were you trying to address with Jet BI?

We were working on a client project that involved enhancing a Salesforce CRM system. Specifically, we were implementing an opportunity checklist, a complete opportunity management module, and a contract subscription module.

What was the scope of their involvement?

Jet BI was onboarded as a Salesforce professional and was responsible for the implementation of the three modules. They also performed a lot of custom work for them. Their developer and solution architect worked closely together to input all the data. We used standard Salesforce Sales Cloud object Contract, custom APEX trigger and custom APEX Batch.

What is the team composition?

I knew every resource working on the project. There was a Salesforce developer, solution architect, QA engineer, and a project manager.

How much have you invested with them?

The initial cost was around $5,000. We’re working with them for an extra one-and-a-half month so the overall cost will be $6,000–$7,000.

What is the status of this engagement?

We started working with Jet BI in mid-February 2018. The work is ongoing and is expected to be complete by August.

What evidence can you share that demonstrates the impact of the engagement?

Their collaborative and professional approach has helped us in a positive way. Their responses are timely and they’ve stuck to the established budget. Whenever we exceed our timelines and budget, the project manager gets in touch to ask whether they should go ahead with the work or wait till the next iteration.

We’ve had videoconferences during which the developer shares his screen, showing us demos of the modules he’s implementing. He’s always eager to help me understand what the product does and how it’s built. I'm satisfied with the experience of working with Jet BI and might hire them again.

How did Jet BI perform from a project management standpoint?

All communication is open and they have solid management skills. I’m aware of every particular piece of work being done for the site. Since we’re working in different locations, it’s important to me as a customer to know what’s going on with development, and they’ve never hidden any information from me.

Overall, their project management is satisfactory, though they could incorporate some project management tools. When our project manager went on vacation and another stepped in, the workflow remained seamless. Most of the communication is done through email and GoToMeeting.

What did you find most impressive about them?

The quality they’ve delivered for this integration is the most remarkable aspect of this collaboration. I wouldn’t say it’s extraordinary, but it was done neatly.

Are there any areas they could improve?

I do recommend that they start providing more precise quotes so that we won’t have to review them again after surpassing the budget. I would appreciate having some buffers in place, but ultimately everything was coordinated with me. 

Do you have any advice for future clients of theirs?

Jet BI has professional people. I’ve had a good experience, and I would definitely recommend them to others.

We are a consulting company with 2 main divisions: business and IT consulting. I am a manager of the IT consulting team, and my responsibilities are around both consulting activities and project management.

What challenge were you trying to address with JET BI?

We were looking for a team to help us with our development load. We are a Salesforce Partner, and have many customers in our region, but we have limited development resources. We use subcontractors for additional workloads, and have worked with 3-5 vendors, one of them being JET BI.

SOLUTION

What was the scope of their involvement?

JET BI provided Salesforce development for multiple customers of ours. We initially needed their assistance for some functionalities on a more conventional project. We’ve worked on a few projects over time, and have 2 ongoing projects at the moment. They’ve advised us regarding different solutions based on Salesforce standards. They are currently working with us for the development of web services between Salesforce and third-party solutions owned by the customer. We’ve also had discussions regarding more complex tasks and projects. Aside from development, JET BI has also provided UI design.

We were assigned project managers, Apex developers, UI designers and quality assurance specialists. Overall, we’ve worked with around 10 different people from JET BI’s side, including 3 project managers. We’ve recently been working with a single manager, but we used more on previous projects. We’ve worked with around 4 or so development resources from their team.

In terms of the consultation provided by JET BI for the more complex tasks, we have worked with Andrey Bosak, who is a technical architect. He made very useful contributions to the customer’s decision and our understanding of the possible approaches to a project.

How did you come to work with JET BI?

We engage with our own customers but rely on subcontractors. I’m not sure what the initial project request for JET BI was, but it may not be relevant, given that our requests are different, depending on the customers we’re working for. Each client has different requests. We asked for work samples from a number of companies, included JET BI, in order to get an idea of how we could work with them, and if the process would be satisfactory.

How much have you invested with JET BI?

I don’t have an overview of all the projects on which we’ve worked with them. For the last 4 which I’ve managed, the work required from them was 100 man hours on average. It highly depends on the tasks we receive from our own customers, which vary greatly.

What is the status of this engagement?

We started working with JET BI in the beginning of 2017, or at the end of 2016. We’ve worked on at least 5-6 different projects in total, 4 of them for a single customer. One of my former colleagues also engaged with JET BI, so I’m not sure about the exact details. They're working on at least two client projects currently.

Could you share any evidence that would demonstrate the productivity, quality of work, or the impact of the engagement?

I cannot share such information because we don’t track metrics for the projects I manage. Customers split different tasks between different subcontractors, so, even we, as a consulting company, don’t have a full view of the organizational structure and number of users. We have heard very good feedback from the customers assigned to JET BI. As a result, we’ve given additional work from those customers to JET BI.

How did JET BI perform from a project management standpoint?

We’ve been very happy working with them, and have given the team more and more tasks. They are very detailed, and have given us good initial time-and-materials estimations. If they believe that there will be more hours required than the initial estimate, they will inform us, and allow us to communicate on time with our customers, which is valuable since working with a subcontractor is more complicated. We are okay with this, and it’s the main reason we’ve been working with JET BI continuously.

What did you find most impressive about JET BI?

They have very good knowledge and suggestions for different approaches around complex tasks. Every time we’ve had an issue for which we were unsure how best to proceed, we asked for the opinion of Andrey, the technical architect. Everything we’ve heard from him has been useful for us. We’re actually learning from JET BI, and we’re thankful for this.

Are there any areas JET BI could improve?

From time to time, the communication will take longer between their project managers and the developers. Because we lose time with meetings, we have asked JET BI to maintain a single point of communication with the development team, to ensure that there are no misunderstandings. We haven’t had any other issues when communicating directly with the development team so long as the project manager is aware.

Most of the miscommunication instances came up during the testing period. JET BI is the first party to test the software. We will test it ourselves, and provide the end-customer with the output as well. When the customer comes back with feedback, it will sometimes take more time than needed to come back to the client with a resolution. In these cases, we communicate directly with the developers, who have been responsive and reactive.

We documented the functionality of our IP and sent it to Jet BI. Their team performed a full-scale implementation, including UX [user experience] design, development, and QA testing.

How did you come to work with Jet BI?

We had known Jet BI for many years but hadn't actually worked together until recently. We liked the team's level of English compared to other firms we'd used in the past, and Jet BI seemed to fit in well in terms of cultural and temperament. They were open to new ideas and collaborations. Although we had no proof of their work, we made a note of Jet BI. We gave them a test project and had a positive overall experience.

We started working with Jet BI at the beginning of 2016. The workflow increased in the middle of that year. We prefer to have Jet BI's team handle certain types of work. Even though we're not as engaged, we have two ongoing projects at the moment.

Could you share any evidence that would demonstrate the productivity, quality of work, or the impact of the engagement?

I don't have any hard metrics at the moment, but I can say that Jet BI's overall quality of work is decent. I've used offshore firms for a long time, and when there's a misstep in these cases—on either party's side—there will be a reverberation. We may not notice that a missed requirement will turn into a big issue, but things can snowball into a disaster. This has happened with every one of our partners, including Jet BI. I've pinned this down to lack of communication from both parties. From a sound-engineering perspective, echoes and reverbs will degrade over time and distance. However, there are issues which do the opposite—they amplify as time goes on. If we're not 100% sure of expectations over the platform, the situation will get worse and worse as we progress until we address the issue.

If we're not clear, Jet BI will tend to not make educated guesses about where we should be. This is fair since they're a contractor, not a consultant. Whenever we have a lack of information, we tend to be more prescriptive in talking about business processes with customers. While we may expect the same thing from Jet BI, in reality, this is not the role they play. The team needs to have specs and know what to build. In general, Jet BI's team is very good in terms of communication. We've needed to coach them on update regularity and time logging since we noticed some discrepancies. We call issues out on a case by case basis.

How did Jet BI perform from a project management standpoint?

Jet BI hasn't been dead-on in terms of sticking to estimates; they've frequently made adjustments on deadlines. I would rather have Jet BI's team tell me what something will really take from the beginning. They are fairly decent in terms of budgets, getting work done within or under the hours allocated.

What did you find most impressive about Jet BI?

Jet BI’s team is very nimble and able to pick up projects quickly. I don't know how many other customers they have, but Jet BI is very responsive to us. The relationship is in good standing, in the sense that we treat each other like partners rather than as vendors and suppliers. Whenever we start a project with a mixed team, the work is managed by the project manager as if it was being done by one team. We give direct feedback to Jet BI's developers, treating the group as a source for staff augmentation.

Are there any areas Jet BI could improve?

Communication and improved timesheets justifying the work done are points of improvement. Since we're paying the bills, we want to know what we're paying for. Oftentimes, Jet BI's team will be less responsive and disappear without us knowing why. They've also missed meetings without notice. I was able to resolve this by contacting one of Jet BI's founders.

We would ask them to shift from project A to project B, with the understanding that’s going to delay project A but it’s at our direction. Our experience is that as long as we are giving Jet BI timely and accurate feedback, they will hit the deadlines.
