Introduce your business and what you do there.
I’m a managing partner at Our Mind Works, a software development company.
What challenge were you trying to address with Exato Software?
We had an idea for a staffing solution to help companies daily. We wanted to save time by automating the process.
What was the scope of their involvement?
Exato Software is helping us build our project that will be done in three phases. There was an initial design, and when we presented our idea, they came up with a different approach and design that was more scalable. We adopted that in phase one.
We’re using Angular, .NET, and SQL server. Right now, the data is a manual process. We're asking end users of businesses to catch the data manually. For the next milestone, we plan to use an AI or a kind of API that can read the data itself. Someone can upload the document, and we should be able to read the document.
I’ll be able to upload a resume to one of the websites and be able to get 60-80% data in that prefill format. That’s going to save time rather than inputting the data from scratch. In phase two, we’re working on automating the process. In phase three, we’re going to include our timesheet process. It will be a time tracking application for staffing companies.
Currently, we’re completing the first phase and moving to phase two. We’ve received the final code and documentation and the technical design document from them.
What is the team composition?
I interact with the project manager. There’s a UX designer, a TechOps person, a database person, and four developers.
How did you come to work with Exato Software?
We liked the POC, timelines, and the approach they presented.
How much have you invested with them?
We’ve invested $25,000.
What is the status of this engagement?
Our engagement with Exato Software started in February 2020.
What evidence can you share that demonstrates the impact of the engagement?
Their team came up with a template design approach that I really like. They took interest in our solution, making suggestions. We released the beta to one of the companies, and they started using it. So far, they like it. After we complete phase two, we should be able to go into the market.
How did Exato Software perform from a project management standpoint?
Their project management style is good. They’re helpful with the small changes we request. We use Jira, and we gave them a draft. They put all of the user stories in Jira. Each week, we have a checkpoint meeting.
What did you find most impressive about them?
I like our partnership. When we gave them our initial requirements, their team came up with the design idea. They have a timely response. When I go through the demo and had questions for them before presenting it to customers, they helped out jumped on the call. They try to accommodate us.
Are there any areas they could improve?
The only thing is to not focus on too much documentation because it’s going to be multiple phases. I understand that because it’s a fixed budget project, they wanted to make sure any changes are documented so they can identify it later on. We were able to resolve that, and I’m completely satisfied with what they’ve done.
Do you have any advice for potential customers?
You should take their partnership. Clients will benefit by going with them. Be clear upfront on what your plan, goals, and timelines are.

Introduce your business and what you do there.
I am the CEO of a startup. We’re developing a marketing platform for restaurants using AI.
What challenge were you trying to address with Exato Software?
We completed our concept and USP (unique selling proposition) and are now raising funds, so we needed a new and better website. We needed to redo our website so we hired Exato Software.
What was the scope of their involvement?
We asked Exato Software to develop our new website in addition to fixing the analytics that weren't working. The new website was built from scratch — it is a one-page site built on WordPress. We also provided them with all the designs and graphics to implement into the site.
They fixed the different analytics on the site and ensured Google Analytics will work well. They made it so the different goals are being reported properly and we can use Hotjar for recording it, which wasn’t working before.
What is the team composition?
We only interfaced with the CEO. I know there were some developers, but I don’t know how many resources they put on the project.
How did you come to work with Exato Software?
They were referred to us by one of our shareholders. We had a limited budget and had asked for a few quotes and references, and their quote was much lower than the others. We decided to go with them because we felt they had the most cost-effective proposal.
How much have you invested in them?
We spent about $500 on the project.
What is the status of this engagement?
Our engagement with Exato Software ran from September–December 2020.
What evidence can you share that demonstrates the impact of the engagement?
The quality of the website is very good, and it is working fine. They delivered it on time and allowed more iterations than we anticipated due to changing our strategy during development. We had to make some adjustments, but they were extremely flexible in accepting those changes and delivered quality results in the end.
How did Exato Software perform from a project management standpoint?
It wasn’t a complex project, but we didn’t have any problems with their project management performance. We communicated mainly through email, Skype, and WhatsApp.
What did you find most impressive about them?
They were a very cost-effective and flexible team to work with. The best quote we had was 10 times higher than what we spent with them.
Are there any areas they could improve?
It wasn’t a major issue, but they could have been a bit more driven on some solutions. They were very flexible, but they could have shown a bit more leadership.
Do you have any advice for potential customers?
Be very prompt in giving them feedback and clear directions.
The teams are starting on the second phase of the project. After releasing the beta version, initial feedback has been positive. The team at Exato Software is timely, innovative, and accommodating. Customers can expect an effective partnership.
