Our company has been in business since 2001 manufacturing model trains. I am the service dept. manager, and we are a small company of about 13 employees state-side. We service thousands of customers with a slim profit margin and limited resources, so efficiency is essential to our operations here in the service dept.

For what projects/services did your company hire Capital Numbers?
Our original service dept. program that was used to check in models for repair, set up parts orders, send auto-response Emails to notify customers throughout the process of having their model repaired, and do warranty registration was actually created almost 10 years ago as a "class project" for an employee that was going to school for programming. It was written in a version of PHP that is no longer supported, and when he left the company the program was functional - but many features were half done and there were still plenty of bugs we had to work around and deal with.
The way we answered Emails and processed parts and repairs was woefully inefficient, with several redundancies regarding the manual input of data and the like. We needed Capital Numbers to completely re-write and build everything from scratch, keeping what we liked about our personalized program, doing away with the things we didn't, and adding features to improve upon it.
What were your goals for this project?
Our goal was to scrap the old system which was on the intranet, create a new one that was on the internet (this way we could have customer data integrated into the new program automatically, and simultaneously add their data to QuickBooks for billing operations), and super charge the efficiency of our workflow and our daily tasks.
We also decreased phone calls and Emails by having Capital Numbers create a portal for customers to check the status of their repair in real time that was live updated.
SOLUTION
How did you select this vendor?
I performed a Google search for "off the shelf" products, but we were so highly specialized and personalized in how we operate and what we wanted to do - that was not an option. Started doing some research and Capital Numbers seemed to be able to handle the job and they just seemed perfect because I needed someone that could build a program that is integrated with WordPress and QuickBooks so that on the backend we could do our daily tasks and have it operate like an app, but on the front end it looks like part of our website. Also, they were able to migrate our data securely - and this was a big deal for us. They had a broad spectrum of services offered, and that's what we needed.
Describe the project and the services they provided in detail.
Capital Numbers created the WordPress site as requested, integrated automatic data entry to the website from a customer with QuickBooks, and simultaneously added it to the customer database within the program. The program was written by Debajyoti and he was EXTREMELY competent, helpful, courteous, and he went above and beyond to make this thing a reality. I wanted a lot of features that did not exist, and he delivered every time in a very fast/efficient/competent manner. There were no issues of miscommunication to speak of, it just flowed.
On the front end, we got what we wanted - a warranty registration page that would add customer data to two places at once, a Technical Support page that would send an Email to us with the customers' problem, but also allowed them to bypass filling out an entire form if they had already registered a product with us or had an existing customer record, a Parts Request page that worked very similarly to the Tech Support page - except that it was for parts requests only and that Email went to our parts dept., and a status page customers could use to get information on their own.
On the backend, everything was delivered as promised: Our Parts personnel uses the program to look up customer information and create parts order for them - including different statuses such as "Placed" "Picked" "Ready To Ship" and "Shipped". When the order was marked as "Shipped" and saved, the program gives an Email to the customer with tracking information and the date it was shipped.
You can also click "Email Parts Order", and all relevant information is Emailed to the customer with one click. Our Technical Support personnel uses the program to create Return Authorization numbers, and within that scope there are several things that are written into the program such as automatic Emails that are sent to the customer when a model is received, repaired, and shipped.
Also, the text in those Emails change based on whether we take a model in for Repair, Exchange, or an Expedited Repair. In both the parts order and return authorization, you can type in the item number of a model and all detailed information about the model is automatically filled out. We are able to search by Parts Order number, Return Authorization number, Customer Name and/or Email to quickly retrieve information on a phone call. The ability to print is there, the drop down calendar and other features like that are there as requested.
There is a calculator that will show what the estimated wait time on a repair is at any given moment and it is automatically updated and changes as we repair. There are probably some other things that it does to make our life easier and help customers faster and more efficiently that I'm not thinking of right now - but this program is an elegant beast for customer service.
What was the team composition?
I provided some screenshots of our existing program, a brief video of me using the old program, and some notes via Email and phone conversations with a gentleman named Indrajit. He formulated a team and a proposal, and I could tell right away by the questions he was asking that this was legitimate, and this was going to work out. Indrajit introduced me to Arghadip, who is the project manager.
He quickly set up a workspace in ProofHub whereby all team members were able to communicate easily, and documents could be uploaded/downloaded/proofed/etc... Again, Arghadip was very professional and competent and great to work with. He assigned the task to the perfect guy for the job, and kept me updated on progress regularly. Argha kept the ball rolling and managed things extremely well and smoothly - there was never any anxiety over when it would get done or if they could do it. Debajyoti is the man.
Plain and simple. He knows what he's doing and he is to be trusted. You know that someone is good at what they do when they make it look easy. Deb makes it look easy. If I said "I want this" or "I want it to be more like that" or "can we do this?" - he was always right on it and had it done so quickly. Look, coding is not as simple as "Go take a tire off that car and put this tire on it" - but that's how Deb makes it feel. I just can't say enough good things about my experience working with him.
Several times I got really excited about what we were working on and building. If anyone is reading this and wondering "Can they do it? Will I be left with a half-born project? Can they be trusted? Will they take forever and drag their feet? - those kinds of things, I'm telling you do not hesitate and just do it, you will not be disappointed.
RESULTS & FEEDBACK
Can you share any information that demonstrates the impact that this project has had on your business?
So, the way we used to do things was to have the customer fill out an online form, and that would generate an Email. Next, we would have to take the customer data and manually input or copy/paste each field into our service dept. program that resided on our intranet.
Then, if we needed to create a parts order or a return authorization number for the customer, we had to type in the item number of the model, then hit two different drop down menus and scroll through hundreds of options until we found the right one. This program eliminated all of that.
When you answer 60~70 Emails a day, and you are doing it 5 days a week (and that's just tech support - need to add parts orders on top of that), saving that 1~2 minutes per transaction really adds up. I can't tell you how impatient customers get and they call and Email over and over for status reports - now they can log in and get their own status report in real time.
We can also add new product to the database very quickly and easily, whereas before I had to go to PHPMyAdmin and manually fill out tables - big time suck solved there. What I set out to do when contacting Capital Numbers and where we are at now - they have exceeded expectations and the program is even better than I had imagined.
How was project management arranged and how effective was it?
The project was managed very well, utilizing Google Meet, Slack, Proofhub, Email, and phone calls. I am in America, and sometimes an accent makes phone communication difficult with several things needing to be repeated - I did t experience this with Argha, Deb, and Indra. Deadlines were met, expectations were met, if any was delayed it was probably due to me.
What did you find most impressive about this company?
I was really impressed with their level of communication, their patience with me, and their competence. What I wanted was not a simple thing - there are some complex elements and a lot of things that are intertwined. Capital Numbers handled it, and they are kind and really good at what they do. I don't know what else to say.
Are there any areas for improvement?
Honestly, trying to think of something that left a bad taste in my mouth or an issue that I just wish didn't happen, but I'm drawing a blank. I'd say on my side of things, I could have been a little more prepared to give them detail and exactly what we wanted.
When you are requesting something complex, you need to spend the time on your own to pretend like you've never heard of this thing before, and then ask yourself questions. Once you've got the answers, provide them in a way that is as clear as humanly possible such as video of your screen while you talk and explain, or screenshots - even use Photoshop or Paint to give a visual of how you want things to look and behave.
The more detail the better. I thought I was too wordy (can you tell by this review?) but the more you can provide, the better because it can cut down on the back-and-forth and questions, and that will speed things up for all parties involved.

Two main goals they met were ensuring the software showed ADA compliance and displaying nomination submissions. Another metric was being accessible for the project, which they succeeded in being.
How did Capital Numbers perform from a project management standpoint?
Their project management approach and communication were extremely good. If there were any potential or real delays, they let me know in advance instead of waiting until the last minute. They set the proper expectations as far as possible pain points. If we reached those points, we were able to communicate effectively in order to make sure the delivery date didn’t get delayed.
What did you find most impressive about them?
Their level of communication was what really made them stand out from others.
Are there any areas they could improve?
There’s nothing they could have done differently or better. Everything went very smoothly.

Make sure you give as much information upfront about the project. The more they know, the more effective their work will be.

Introduce your business and what you do there.
I’m the founder of. button company called Spinz. We developed the app and website that strives to facilitate connections between musicians, specifically producers and artists.

What challenge were you trying to address with Capital Numbers?
We didn’t know how to develop or create apps, so we needed someone to create our product for us.

What was the scope of their involvement?
We started with a different project manager and switched to Vikram in 2019. Both worked on the mobile application, and the newest project manager has worked on the website as well. Initially, the app had a whole different color scheme, functionality, but we revised the whole thing. They’ve been on the money and timely through the whole process.
The app has tons of features. We’re connected with Amazon web servers. It has uploading capabilities so there’s a shared phone network across all the users so you can see where they’re located. It also has music streaming capabilities, rankings, and networking features like DMs. They did wireframes and design as well, but not the logo.
What is the team composition?
I’ve only been in contact with the project managers, but I know they work with a team of developers. Both the project managers have done great work.
How did you come to work with Capital Numbers?
I know people who’d worked with them in the past, and they said great things. Their rates combined with the work they provide were the best for us.
How much have you invested with them?
The app has cost around $40,000 in total, and the website was between $5,000–$6,000.
What is the status of this engagement?
We’ve been working together since 2017. As we get new ideas, we hand them over to them and finalize a new model. We’re now in the last phase of development.

No, I don’t believe so. They’ve handled all the challenges they had, including their initial project manager having to leave for medical reasons. The hand-off was seamless. They both displayed exemplary work. There were no bumps in the road.

StudioSesh hired Capital Numbers to build their web platform. StudioSesh began as a funded mobile app, but as our business centered around a more crucial enterprise niche, we needed someone great at building web apps.
What were your goals for this project?
Our goals were to build something more than a mock-up or an MVP. We wanted to build a compelling web platform that matched our brand standards, was able to be immediately monetized upon completion, and was scalable. Capital Numbers executed and gave us more than we could imagine!
SOLUTION
How did you select this vendor?
We consulted with a few experts in offshore development and came down to a handful of vendors after some careful vetting and number crunching. Capital Numbers ended up being the greatest quality for the lowest price (essential for an early-stage startup) and we went with them.
Describe the project and the services they provided in detail.
Capital Numbers consulted with us and aligned themselves with our brand and vision so they could be on the exact same page as our executives. They drew up features and product architecture that added value to our platform that we didn’t even think about. They recommended technology that would be the most efficient and powerful for the type of product we were offering. The project consisted of a few sales calls for the brand alignment, a proposition and timeline, and daily emails between myself and a couple of Capital Numbers’ product managers, who led a small team of web developers and backend engineers. They build our entire platform end-to-end (design, front-end, back-end, server, payment processing, and third party integrations). They added features and software architecture as appropriate to solve a variety of edge cases.

The team was composed of 1 account manager, 2 product managers (1 I worked with directly, 1 on the project side), 1 web designer, 2 front end engineers, 2 back end engineers, and 1 QA engineer.

Can you share any information that demonstrates the impact that this project has had on your business?
This project has honestly put us 3 years ahead of the competition. The features and edge cases that were solved saved us the problems that would have been encountered in a production environment. My co-founder and I come from mobile engineering backgrounds so it would have taken us a while to build this on our own. Capital Numbers did it in 4 months with a minimal amount of capital. This project allowed us to scale and most likely with allow us to grow our business’ valuation as a result of being able to monetize without additional funding.
How was project management arranged and how effective was it?
Project management was arranged into a product manager and project manager that were aligned on the same page by the account manager, and then led the development team in 1 week sprints throughout the process. The product team and I tested the product at the end of each sprint so nothing had to be redone and everything worked as expected without any bugs whatsoever at the end. Highly effective.
What did you find most impressive about this company?
I was impressed at the speed, cost, and talent that they have at Capital Numbers. Their team is absolutely brilliant and they have a lot of high profile clients, including University of Colorado Boulder and Condé Nast Magazine.
Are there any areas for improvement?
To be honest, I would put something here about communication, speed, or execution, but Capital Numbers did all of it so well, so not much to say! I will say that the time difference between San Francisco and India is a little tough on the communication side, but it still worked out very well.

I’m the CIO of the IT department at Hudson Regional Hospital.

What challenge were you trying to address with Capital Numbers?
I was looking for someone who could customize our payment collection website and make changes to the portal so that we could collect additional information for patients. The portal isn’t that straightforward, and only a programmer can understand how the logic works.
We didn’t have in-house programmers or web developers; when we tried to do testing, we could see the fields there, but the fields did not flow through the payment collections dashboard. We needed those fields for patient data, such as patient name, account number, etc. Additionally, this isn’t a regular website that anyone can create; it is strictly for hospital purposes and needs to meet HIPAA standards.
SOLUTION
What was the scope of their involvement?
Capital Numbers did an updated customization of our payment portal. They added fields in the format required by the hospital. With some guidance from our payment collections vendor, the Capital Numbers programmer created the website and made some changes in the format we needed. They not only created those fields but also populated them in the patient’s payment collection dashboard.
Within a week of working with them, they’d created a draft portal. We reviewed the draft and then made some changes the following week. We’re going to publish the portal soon.

I looked on Clutch and found a few vendors. I reached out to 5–6 vendors, one of which was Capital Numbers. I explained our project request and what we were looking for. 1–2 of them said the project was too small for them, and some of them had pricing that was too high. We had a limited budget, but we also wanted to work with someone willing to work with us, even though it was a small request.
There were two companies I thought could work; however, one did not understand the requirements, and they didn’t seem to have experience in healthcare. Capital Numbers understood our business needs. It was just a step in the door, and I feel we will give them more business when the need arises.

What evidence can you share that demonstrates the impact of the engagement?
Things went very smoothly. Capital Numbers was easy to work with, and they were always available. Anytime we emailed them, they responded to us quickly, including on weekends. I was very surprised by that, as they’re offshore in India, and we’re on the East Coast. They did not even bill some hours.
How did Capital Numbers perform from a project management standpoint?
It was not a big project. In terms of requirement gathering and sending us updates and the test portal, everything was very smooth. They took our feedback and made changes accordingly, and then they sent us the revised version. Communication was good. We had a few calls for testing, and everything went well.
What did you find most impressive about them?
Their flexibility made them stand out. No company is too big to take on any project, but there were a few that said they were. I don’t think I would ever work with those types of companies.
Are there any areas they could improve?
No, there was nothing major that I can think of.
Do you have any advice for potential customers?
Provide as much information as you can to minimize back-and-forth. I gathered all of the business requirements, some guidance from our payment vendor, the steps to take, and what exactly needed to be done. Take some time to talk to the vendor to explain what the need is, and be available for them.
