What challenge were you trying to address with ZILLTECH?

We needed ZILLTECH to integrate our EMR system with our CRM system.

What was the scope of their involvement?

ZILLTECH has created a new patient module within Zoho and brought over all current patient data. The team has also built workflows to import any future patient data. ZILLTECH has created workflows to carry any patient demographics and visit notes into the patient's profile within the CRM. The team has also ensured that any changes made to the patient profile or appointment details are reflected in the CRM. ZILLTECH consistently updates and maintains the systems as needed.

I found ZILLTECH through the Zoho certified partners page. The team had good reviews and was Zoho certified.

What is the status of this engagement?

We started working with ZILLTECH in December 2023, and the engagement is ongoing.

What evidence can you share that demonstrates the impact of the engagement?

ZILLTECH physically shows me progress along the way. The team has shown me the actual build-out of the module and how the workflow rules function. This is a dynamic project, so I need to see each step and offer my input before they can move forward.

How did ZILLTECH perform from a project management standpoint?

ZILLTECH has six months to build everything out. The team has hit the deadline and continues to upkeep the work they did. We primarily communicate via Skype and email.

What did you find most impressive about them?

ZILLTECH is specifically trained to work with Zoho, so they really know our systems.

First step was to rebuild the CRM to better fit the business needs of their organization - Foundation - Reconfigured Modules for aspects of the process - Leads, Realtors, Property, Potentials, Borrower, Application, Homebuyer, Vendor - Secure “Upload to Workdrive” folders for users - Continuous training on newly built CRM - Lead process - Reports/Dashboards/Custom Views - Streamline/Automate Tasks from data in CRM - Integrate Algorithm Calculator with Zoho CRM to run algorithm through CRM - Document Generation throughout application, closing and post-closing process using data entered into CRM records - Auto-Assignment of Tasks - Auto-Assignment of Leads - Configure org-wide reports, dashboards, and custom views for better visibility to data

What were the measurable outcomes from the project that demonstrate progress or success?

New system gave more depth knowledge of business, fully functional and accurate sale cycle was implemeted, they were able to leverage all the features of zoho system

The ZILLTECH team is very professional. They deliver quality work within the teams. For project management, we used a task tracking tool, and except for a few things, all the tasks were smooth.

FAST & Quality delivery in reasonable money.

Beyond Academy reached out to ZillTech to make their current setup in zoho crm more dynamic, robust, scalable and flexible. We implemented webhooks using zoho flow and wrote script in deluge language. Added some new workflows, layout rules and client script. Which in result increased efficiency and accuracy.

The new CRM is more flexible and robust, providing increased automation with reduced complexity.

Be able to understand in greater detail the use cases in relation to our specific business so that more personalized suggestions would be possible, which I am sure they will be able to do if we work on a few more projects together.

Always on time or even before time, only few occasions we had relevant roadblocks and they had to wait for some clearances to complete their work.
