I manage the education platform for the sales section at MegaGen, the European headquarters of a global dental implant manufacturing company. My role involves overseeing and developing our internal learning management system (LMS), which is used to train our sales teams.

We needed a new partner to support and further develop our internal education platform.

What was the scope of their involvement?

xfive is responsible for the development and maintenance of our internal learning platform. Their work includes managing the handover from our previous developer, addressing proprietary technologies, and implementing custom changes to the platform.

Although our site has several proprietary technologies, xfive has been able to get it into a working condition, implementing workarounds for the proprietary content. Our platform has a general library with a searchable catalog of the education modules and content for our sales teams.

The structured learning courses are the primary part of the site and contain tests and other features. If there's a company event our teams need to be aware of, they receive the information on the site, how to sign up, and management details.

The site runs using WordPress, and xfive has made custom PHP code changes. The team has also changed some plug-ins and developed versions of the proprietary elements we couldn't use. xfive has leveraged some LLM APIs, Google APIs for translation services, and some SMTP setup for email services. The team has also provided support for hosting and offered recommendations, but we manage the actual hosting.

What is the team composition?

We've worked with four people from xfive: two developers, one project manager who also handled QA tasks, and our main contact, who is the lead director of the company.

How did you come to work with xfive?

We were working with a bespoke web host developer and were having issues with them. We searched for other options available. We searched for European web development companies using standard search engines, reviewed top developer lists, and consulted AI chatbots. Per our review of the available information, xfive seemed like the best option. After evaluating several options, we selected xfive as the best fit for our needs.

How much have you invested with them?

We pay €2,125 monthly for our subscription, and after about 13 months, our total investment is approximately €27,000.

What is the status of this engagement?

Our partnership with xfive began in October 2024 and is ongoing.

What evidence can you share that demonstrates the impact of the engagement?

xfive has restored our site to a functional state within one to two months after the handover, despite the challenges with proprietary technologies. xfive put in extra time initially and was flexible with how they moved their time around our monthly hours to ensure the site was operational as soon as possible. xfive's UI changes are nice and have made the site more user-friendly, resulting in significantly improved engagement.

The biggest thing xfive has done is the search feature, which uses LLM functionality with SPIs. The team has invested much time into it and is still perfecting it. We expect this feature to influence user engagement the most because discoverability on the site is always a big issue.

How did xfive perform from a project management standpoint?

xfive has consistently met deadlines and stayed on budget, except for the search function, which is a complex project, and we've run into some issues. We initially used Trello for project management, but have switched to Jira. We communicate using a mixture of Jira, email, and monthly Google Meet calls.

What did you find most impressive about them?

xfive's general attitude as a company is impressive. They understand our situation, and having them as partners is easy. xfive isn't restricted by guidelines and is flexible, even creating a bespoke offer for our needs. Regarding budget and timelines, they've been flexible because we run on a budget.

xfive's communication has been better than that of our former provider, and we have direct communication with the development team instead of being restricted to only the project manager. We understand the situation more deeply, and they can explain everything more easily.

I can't think of any areas where xfive needs improvement.

To maximize your engagement with xfive, learn about the development process you'll have them do. The more you know, the more you can make accurate requests, instead of having a vague idea that might cost more hours than needed. Ensure you learn their process, and you'll streamline your requests.

Weekly goals were set prior to the project start, and virtual online meetings were conducted to review progress and where attention is needed. Every time we had some feedback that required program change or pivot from current direction were met with great enthusiasm.

What impressed me most about XFive is that they’re not a conveyor belt-style web development company. Honestly, their execution was flawless. The only area for potential improvement would be more exposure to innovative features or functionalities they’ve implemented on other projects. It would’ve been great to see examples of what's possible—things we might not have thought of ourselves. That kind of inspiration could have helped us explore even more creative directions for our own site. That said, I’m not sure it would’ve changed the final outcome, which we’re extremely happy with.

We worked with a team of developers from another company to build a MVP education platform that provides video coursework to customers. There were multiple issues with the build and so we brought xFive on to fix development issues throughout the site which included subscription flow issues, blog and survey errors that wouldn't save appropriately, user group bugs and more. We also asked them to build out new functionality that required third-party integration with our CRM and various APIs.

This project is still going, but success has been measured by demonstrating an effective and efficient customer journey that takes the user from sign up to completion of course material without error. Additionally we have integrated with a CRM which after xFive's development changes has allowed us to track business actions and their direct impact on our client's earnings.

Each member of the team has also been direct and on top of our needs. There hasn't been a task or project yet that I've given them that they haven't understood or been able to remedy. 1. General User Interface for Managing Antenna Systems. The primary deliverable was a Angular App, that interfaced with our RESTful API. 
2. Data Analytics Interface for monitoring system performance in production. The primary deliverable was an Angular App that integrated Plotly, RESTful API, and several Administration interfaces.

What were the measurable outcomes from the project that demonstrate progress or success?

We use an agile approach to development. Each sprint consisted of a feature or service that we could test in real time. xFive did a fantastic job of performing QA on all completed work. By the end of each sprint, anything that was delivered was also QA verified. This allowed us to move quickly and effectively though ever stage of development. Progress and success were clearly identified as whether a feature worked as expected, met QA standards for UI and QA standards for code quality.

xFive project management was excellent. We were provided with a world class PM named Magda. We used the typical tools: JIRA, git repo, dev, deployment server, MS Project for roadmapping, etc. xFive was able to plug into our existing systems seamlessly. 

Despite the timezone difference, we were always abreast of the deliverable, realistic capability of the team and blockers. Often times Magda was the one to push us to go faster in API development in order to meet schedule. She is world class! xFive is world class!

They could improve their ability to understand our wants and needs during the discovery phase, which can save some time. In addition, we're in different time zones, which is not too bad, but it's still a factor.
