We're an industrial projects company and our project tracking was spread across spreadsheets, WhatsApp and email. No single view of where anything stood. We brought SAY Design in to design an internal portal to replace all of that.

What they designed:

- The full project and task structure: projects, tasks, timelines, owners - Dashboards showing project status and team workload

- Separate views for site teams, engineers and management, since each needs different things

- Document handling and approval flows

- The states that actually happen on our projects: delays, revisions, handovers

- A component-based design system in Figma so screens stayed consistent and our developers could build straight from the files 

They spent time with our ops team mapping how projects actually move through the business before designing anything. 3 rounds of review, and they reworked parts of it once we saw early screens. It's now running [20+ projects and 100+ users].

Most of our back and forth was on Teams, and I'd usually hear back the same day. Reviews happened in shared Figma files, so I could comment straight on a screen instead of writing out what I meant.

First set of designs came in about 2 weeks, the full portal design in 8. Timelines held. If anything slipped it was on our side, waiting for our ops team to come back on a workflow question.

The part that mattered for us was how they handled scope. We'd describe a process, they'd design it, and then we'd realise the actual process had an exception nobody mentioned. They reworked those without turning it into a negotiation every time.

Handoff was clean, our developers built from the Figma files directly.

We're a growth agency for medical franchises and medspas. We brought SAY Design in as our design partner across three things: our own brand, our website, and design work for our client accounts.

Branding. They built our visual identity from scratch. Logo, typography, colour, and the rules for applying it, so our team could put out sales collateral and campaign assets without going back to a designer every time.

Website. Full UI/UX design for bookd.health. Homepage, services, work and pricing pages. The hard part was our offering: five service lines and a points-based pricing model that we needed a medspa owner to understand in one scroll, with everything pointing at a single booking action. Delivered as a Figma design system our developer could build from directly.

 Client work. They've also designed websites for some of our client accounts, working inside our delivery process. That let us take on design-led projects without hiring an in-house designer.

What were the measurable outcomes from the project that demonstrate progress or success?

Gave Bookd a repeatable design capability across both its own brand and its client delivery, removing design as a constraint on how many engagements they could take on.

We move fast and our clients expect the same, so the main thing was whether design could keep up. It did. Feedback went over Slack and usually came back the same day. Reviews happened in shared Figma files, so I could comment straight on the work instead of writing out what I meant.

Our own brand and site took about 2 weeks end to end. On client projects the timelines were tighter, and they worked to our delivery schedule rather than their own. When a client pushed a deadline up, they adjusted.

Typically 1 round before sign-off. Handoff was clean, our developer built straight from the Figma files without much back and forth.

What did you find most impressive or unique about this company?

We're an agency ourselves, so we're picky about who we work with. What stood out was that we were comfortable putting them on client accounts. Most designers we've tried needed managing. They didn't.

One thing, They took our pricing model, which is points-based and genuinely confusing to explain, and made it medspaing a medspa owner gets in one scroll.

Are there any areas for improvement or something SAY Design could have done differently?

On the client side, the ramp-up on a new account took longer than I'd like. We'd hand over context and there'd still be a round of questions before work started. Fine once they knew the account, but worth building a faster onboarding step for agency clients like us.

Second one, e.g. I'd have liked more proactive flagging when something in our brief didn't make sense, rather than it surfacing in the first review.

We brought SAY Design in to design our online store and the marketing assets around it. Gehnaz is a jewellery brand, so a lot of the work was about making a large catalogue easy to shop through without losing the feel of the product.

What they covered:

- Full UI/UX design for our Shopify storefront, including homepage, collection and category pages, product pages, cart and checkout

- Supporting pages: Our Story, FAQ, store locator and newsletter signup

- Restructuring the catalogue into four collections (Minimal & Office Wear, Silver Luxe, Beach Jewelry, Astro Jewelry) with filtered browsing by category and by price band

- Mobile-first layouts, since most of our traffic comes from phones

- A component-based design system in Figma so pages stayed consistent and our developer could build directly from the files

- Marketing assets on the same system: campaign and launch visuals, product and category banners, and social assets for new drops

They ran design end to end and worked directly with our team and our developer through the build.

What were the measurable outcomes from the project that demonstrate progress or success?

Consolidated a fragmented catalogue into four shoppable collections with price-banded discovery, giving the team one system to launch new drops against instead of rebuilding pages each time.

Most of our back and forth happened over Slack. I'd leave feedback and usually hear back within a day. Reviews were done in a shared Figma file, so I could comment directly on the designs instead of writing long emails about what to change.

Timelines mostly held. First designs came through in about 2 weeks, store went live in 3. When something moved it was usually because we were slow getting product photos across, and they'd flag it early instead of letting it sit.

Pages generally took 2 rounds before we were happy. On the marketing assets, turnaround was around 1 day, which mattered because our drops move fast / reason.

One thing that stood out: Handoff to our developer was awesome - the files were organised enough that he could build from them without much back and forth.

What did you find most impressive or unique about this company?

They designed the store like people who actually understood retail, not just screens. e.g. the way they split the catalogue by price band so customers could shop by budget wasn't something I'd asked for, and it changed how the site works.

The other thing was how little I had to manage them. I'd send feedback and it came back done, not half done.

Are there any areas for improvement or something SAY Design could have done differently?

Only one thing, early on the design moved faster than we could feed it product photography, so a few pages sat waiting on us. Not really their fault, but if we did it again I'd want that sorted before design started.

The most significant measurable outcome was the drastic reduction in operational friction. By completely modernizing our brand and building an intuitive, scalable UI/UX architecture for our massive internal portal, SAY Design Studio eliminated the complex bottlenecks our staff faced when managing travel inventory and documentation.
Since launching the new internal portal designed by SAY Design Studio, we’ve seen a 40% reduction in the time it takes our staff to log and retrieve complex travel documents. Because the UX architecture is so intuitive, we also cut our new employee training time on the inventory system in half.
