For what projects/services did your company hire Roth Automation?

We hired Roth Automation to streamline our AP process by extracting data from invoices for matching against a Purchase Order.

SOLUTION

How did you select this vendor and what were the deciding factors?

We selected Roth Automation because of their expertise in the field and the platform that they were using to develop our solution.

Describe the project in detail and walk through the stages of the project.

The project was originally for data extraction (OCR) but quickly changed into a full blown AP automation solution when we realized the capabilities of the platform. The platform included dynamic workflow capabilities which allowed us to move away from the inflexible workflow tool we had been using for years. The expressed goal of the project was to streamline AP processing in our Shared Services environment. The deliverables were to bring 6 of our largest business units, or sectors, onto the solution.

How many resources from the vendor's team worked with you, and what were their positions?

We worked with 4 of the Roth Automation team members which included a Project Manager and three developers.

RESULTS & FEEDBACK

Can you share any outcomes from the project that demonstrate progress or success?

The results were outstanding. We successfully brought on all sectors and realized substantial efficiencies in the process, including a straight through processing rate of approximately 60%. Invoices are automatically ingested into the solution, relevant data is extracted from each invoice, line-item detail is matched to the Purchase Order and Receipt Table to ensure that everything on the invoice is correct and the goods had been received.

How effective was the workflow between your team and theirs?

Although they work with both the Agile and Waterfall project management methodologies, we used the waterfall method for this project. All communication was through weekly status meetings, email and the Roth Automation CRM for opening and tracking project tickets.

What did you find most impressive or unique about this company?

The most impressive things about Roth Automation is their extensive experience in the field of automation, specifically document and data automation. They have been working with Intelligent Document Processing for years and have implemented similar solutions in some of the largest global organizations. Their professionalism throughout the project was outstanding, and their knowledge of the platform was impressive.

Are there any areas for improvement or something they could have done differently?

There is nothing we would have done differently.

At S&P Global, we focus on powering the markets of the future. My position was VP of Mergers & Acquistions but I assisted wioth the implementation of Oracle cloud and the Kpofax soltion for the Global A/P.

For what projects/services did your company hire Roth Automation, and what were your goals?

We were updating our financial systems to Oracle on the cloud and needed to enhance out front end of the Accounts Payable system.

SOLUTION

How did you select this firm and what were the deciding factors?

Ww did a request for proposal among several vendors and selected Roth Automation based on their proposal, the use of Kofax and the price of implementation.

Describe the engagement and overall scope of work in detail, including the stages of the partnership and any software or documents used.

We met with them to review our goals and objectives. They demonstrated the Kofax solution. S&P had been using Kofax for the past 10 years for the imaging portion of the A/P process. During that time Kofax has expanded their processes so that the system could be adjusted to meet the companies' individual needs.

Describe their billing or cost structure.

They provided a contact with payments due based on the completion of the project at various steps along the way.

How many resources from the firm's team worked with you, and what were their positions?

We had one person that we dealt with on a daily basis. There was a team of 5 individuals in total that supported the installation including Jon Roth the CEO of the company.

RESULTS & FEEDBACK

Can you share any measurable outcomes of the engagement or general feedback about the services?

We were able to go live with the Kofax solution several months ahead of rolling out the new Oracle system. This allowed us time to train our users on the systems and make sure it was operating as intended. Since this was a global roll out, we needed the time to make sure everyone was trained.

Describe their project management style, including communication tools and timeliness.

This project was done during Covid. This limited the amount of time that we could meet in person. Most discussions were completed on  Zoom calls, but we did have several in person meetings to ensure the project was completed on time.

What did you find most impressive or unique about this company?

I was very impressed by their tenacity to come up with solutions to very difficult challenges. Their customer service was superior compared to other vendors we had used for similar projects.

Are there any areas for improvement or something they could have done differently?

We were extremely satisfied with the service they provided. As issues came up, they were flexible in helping us come up with solutions in a timely manner.
