During the build, we realized we needed a way to handle state-specific tax forms, as the rules are different in every state. This was a curveball we hadn't fully planned for. We brought it to Maria, and instead of pushing back, her team scheduled a special workshop with our compliance officers. The most impressive thing was how much Probey felt like an extension of our own team. They took the time to truly learn what "HR" means, not just what "code" means. Before they designed anything, they sat in on calls with our HR experts and listened to the questions our clients asked.
This led to brilliant features we didn't know were possible. For example, they proposed a "Compliance Calendar" that automatically populates with deadlines for each client based on their company's size and location. It’s like a digital guardian angel for small business owners, helping them avoid costly fines. This showed us they were thinking about our clients' success on a deeper level.
Are there any areas for improvement or something Probey Services could have done differently?
This is a small thing, and it really only affected the very start of our project. In the first couple of weeks, the pace of their questions and the depth of their discovery process felt a little intense. We knew it was necessary, but it was a lot of information to absorb all at once.
It might have been helpful if they had given us a one-page "cheat sheet" at the very beginning that outlined what to expect in those first few weeks like, "In Week 1, we will be asking a lot of questions about your daily workflow." Just a simple guide to the onboarding process would have helped us prepare better. But this was a minor bump, and once we got past the first month, everything was smooth sailing.
