Describe the scope of work in detail. Please include a summary of key deliverables.
The agency was engaged as our technology and product partner to build the foundation of a modern RSVP and guest management platform purpose-built for large-format Indian weddings and complex events.
The objective was to translate a domain-led vision into a scalable SaaS product — enabling a non-technical founding team to launch quickly, validate real planner workflows, and build infrastructure capable of supporting future expansion into additional event categories and integrations.
The engagement combined product strategy, architecture design, and hands-on development to take our platform from concept to a live, operational platform.
1. Product Discovery & Workflow Mapping:
- Deep-dive sessions to understand Indian wedding planning workflows and pain points
Translation of manual processes (Excel tracking, WhatsApp follow-ups, fragmented RSVPs) into structured digital journeys - Definition of MVP aligned to real planner execution needs, not just theoretical features
- Phased roadmap for scaling into travel, stay, communication, and analytics layers
2. Platform Architecture Design:
- Design of a modular SaaS architecture capable of handling multi-event, multi-day weddings
- Data models for hierarchical guest structures (families, plus-ones, group allocations)
- Backend structure built to support future CPaaS integrations, automation, and reporting
- Scalable database and API framework to enable future mobile apps and third-party integrations
3. Core RSVP & Guest Management System (0 → 1 Build):
- Development of the web platform including:
- Guest list creation, import, and segmentation
- Personalized RSVP tracking and status validation
- Function-level attendance management
- Custom questions for logistics, preferences, and documentation
- Real-time dashboards to replace manual coordination and scattered communication
4. Communication-Ready Infrastructure:
- System structured to support WhatsApp-led workflows and campaign-based messaging
- Data architecture aligned for bulk communication, reminders, and RSVP-driven targeting
- Foundations laid for CPaaS integrations without needing future re-engineering
5. Travel, Stay & Operational Extensions:
- Framework to capture guest travel details, arrivals/departures, and logistics inputs
- Ability to extend into room allocation, transport coordination, and execution dashboards
- Product designed as an operational control layer for planners, not just an RSVP tool
6. Future-Ready Engineering Approach:
- Clean, extensible codebase designed to support:
- Corporate events and MICE use cases
- International weddings and NRI audiences
- Additional modules such as vendor management and workflow automation
- Architecture intentionally built for scale to avoid rebuilds as our platform grows
7. Strategic Product & CTO-Level Guidance:
- Active involvement of senior leadership in shaping product direction
- Translation of founder-led market insights into executable technical decisions
- Continuous alignment between business model, GTM strategy, and platform capabilities
8. Deployment & Operational Readiness:
- Environment setup, hosting, and production deployment
- Testing cycles aligned with live event scenarios
- Documentation and knowledge transfer to support internal team onboarding
RESULTS & FEEDBACK
What were the measurable outcomes from the project that demonstrate progress or success?
Measurable Outcomes Demonstrating Progress & Success:
0 → 1 Product Launch:
- Successfully launched a fully functional RSVP and guest management platform from concept to live product.
- Reduced time-to-market significantly by executing MVP with clear scope and phased roadmap.
Operational Efficiency Gains:
- Enabled planners to upload and structure 500–600+ guest lists in minutes instead of days using spreadsheets.
- Reduced manual follow-ups through centralized RSVP tracking and filter-based reminder workflows.
- Shifted a large portion of RSVPs from phone-based/manual tracking to structured link-based responses.
Structured Guest Data Capture:
- Standardized collection of attendance status, function-wise confirmations, custom questions (food preferences, travel details, IDs).
- Created real-time dashboards replacing fragmented Excel + WhatsApp coordination.
Scalable Architecture:
- Built a modular backend capable of handling multi-day, multi-function weddings.
- Designed data structures supporting hierarchical guest management (families, plus-ones, groups).
- Established technical foundation for future CPaaS, automation, and mobile app integrations without re-architecture.
Founder Enablement:
- Empowered a non-technical founder to make informed product decisions through structured documentation and roadmap clarity.
- Preserved equity while accessing CTO-level strategic guidance.
Market Validation:
- Platform deployed in real event environments, validating workflows under live operational conditions.
- Demonstrated product-market alignment in high-complexity Indian wedding use cases.
Describe their project management. Did they deliver items on time? How did they respond to your needs?
Project Management & Responsiveness:
The agency demonstrated structured and disciplined project management throughout the engagement. From the outset, they helped break down a broad vision into clearly defined milestones, phased releases, and prioritized feature sets — which was critical for moving from concept to execution efficiently.
Timelines & Delivery:
- Core MVP milestones were delivered in line with agreed timelines.
- Features were released in structured phases rather than attempting an over-scoped launch.
- When trade-offs were required, they were proactively communicated with clear reasoning and alternative solutions.
Communication & Responsiveness:
- The founders and senior team were directly accessible and actively involved in decision-making.
- They responded quickly to feedback, especially when workflows needed to be refined based on real planner usage.
- Iterations were handled collaboratively — feedback was not just implemented mechanically, but often improved upon with better product thinking.
Adaptability to Needs:
- As a non-technical founder, I required clarity on trade-offs, scalability, and long-term implications — they consistently translated technical complexity into business-aligned decisions.
- When priorities shifted based on market validation, they adjusted scope without losing structural integrity of the platform.
- They balanced speed with architectural foresight, ensuring that quick wins did not compromise future scalability.
Overall, the engagement felt like working with a true product and technology partner rather than a transactional development vendor. Their structured approach, responsiveness, and senior-level involvement were key contributors to the success of the project.
What was your primary form of communication with Iterator?
In-Person Meeting
What did you find most impressive or unique about this company?
What impressed me most about this company was that they didn’t behave like a typical development agency — they operated like true co-builders. From day one, the founders were personally involved, not just overseeing delivery but actively shaping the product vision alongside me. As a non-technical founder, that level of strategic partnership made a significant difference. They didn’t just ask what to build; they challenged assumptions, refined workflows, and helped translate real-world operational chaos into structured product decisions.
Another unique aspect was their CTO’s forward-thinking mindset. While we were focused on launching the MVP, the underlying architecture was already being designed for scale — future integrations, automation layers, and product expansion were considered early. That balance between speed and long-term thinking is rare. They moved fast without cutting corners, and every decision felt intentional rather than reactive.
Most importantly, they helped me go from idea to live product without losing momentum, clarity, or equity — which for a non-technical founder is incredibly valuable.
Are there any areas for improvement or something Iterator could have done differently?
Overall, the experience was very strong, but like any fast-moving 0→1 build, there are always areas that can be refined as the product matures. At times, given the speed of execution and the collaborative nature of working directly with senior leadership, more formalized documentation and handover structures could have been introduced earlier to support internal onboarding and reduce reliance on live discussions. As we transition from build phase to scale phase, additional process standardization around release cycles, documentation, and knowledge transfer would further strengthen continuity for a growing in-house team. That said, these are natural evolutions for a product moving from early-stage development into operational scale, and they do not take away from the overall quality, commitment, and strategic value the team delivered.
