Atomic Actions designed, developed, and implemented a centralized ClickUp-based operations hub for our procurement, production, inspection, payment, and shipment workflows. They configured a structured CRM environment in ClickUp with connected entities for Orders, Products, Order Products, Suppliers, Shipments, and Freight Forwarders, enabling our team to track every order from initial creation through validation, quotation, invoicing, payment, production, inspection, shipping, reworking, and completion.

The project included building automations that synchronize key order, SKU, quantity, payment, production, and shipment data between ClickUp and our Procurement File, including the Supply Chain Details, Shipment Split, and PF 3.0 tabs. Atomic Actions also automated the creation of Order and Shipment folders in OneDrive, generation and population of operational documents, creation of payment subtasks and reminders, supplier communication drafts, freight forwarder quote request drafts, Teams notifications, and status-based alerts for procurement, inspection, logistics, and finance teams.

In addition, the project included shipment workflow automation from production end date monitoring to shipment creation, freight forwarder selection, quote requests, supplier-forwarder introductions, shipment folder creation, ETA tracking, reporting, and final completion checks. Later improvements focused on increasing process flexibility, simplifying shipment creation, improving ClickUp filtering and reporting, adding ETA risk indicators, creating calendar views, supporting container reports, and refining notifications and payment logic. All automations were designed to reduce manual coordination, improve visibility across teams, keep ClickUp and internal spreadsheets aligned, and make our procurement and logistics operations more scalable, reliable, and easier to manage.

The only area for improvement would be the initial scope of work. At the start of the project, it was somewhat difficult to define every detail with 100% certainty. Refining the discovery phase or "sharpening" the project definition earlier on could help prevent minor adjustments later in the process.

This module creates a fully translated version of the article for each pre-selected language, publishing each one as a new, standalone post. This process effectively populates the blog with distinct articles in multiple languages, all without any manual intervention.

Atomic Actions delivered a solid WhatsApp–Twilio integration that significantly improved our user communication. We were able to reach thousands of users more directly through WhatsApp, increasing message delivery and visibility compared to email-only communication. It also reduced friction in key user journeys, such as receiving updates and participating in activities. Overall, it helped us move closer to real-time, accessible communication, especially for users with limited internet access.After implementing the WhatsApp–Twilio integration, we saw a significant improvement in communication performance. Message open/read rates increased to over 80–90%, compared to much lower engagement via email.

We avoided hiring a new teammate (~$1,200/month) by using an external service ($100/month). We also eliminated errors by automating the process; normally, there were 3–5 errors a month. Additionally, we created a clear, well-documented end-to-end workflow. It was easy to adjust and scale the process when needed.

Atomic Actions took a bit longer than expected, but it wasn’t caused by the team. The flow was more complicated than we described at the very beginning. Speaking of their management skills, the team did well. They communicated with the business team, not with our IT team, and managed to describe the whole process themselves. There was no effort from our side to make technical instructions, which was very comfortable. It’s normally difficult to speak the same language between business and technical teams.We communicated via virtual meetings, emails, and a messaging app.

What did you find most impressive about them?

We were surprised that Atomic Actions managed to integrate three really different systems. We were happy to save costs because our margin was quite low.
