After successfully implemented DWH and BI project with Alfatec in 2005 creating several Universes and numerous reports in Business Objects (now SAP BO) we started new project in 2014 with aim of implementing planning and forecasting tools alongside our reports. 
Alfatec was the IT partner for this project, and we successfully finished this project by introducing a custom-made SAP BPC model for planning and forecasting sales, margin, operational costs, and eventually profit per several business dimensions (product groups, customers, sales channels, business units).

It was overall very good collaboration. Maybe we did do it longer than anticipated but it's such type of project where you can not decide upfront on the full scope of the project.

The project scope included the following project activities needed to implement a Data Warehouse/Business Intelligence system that is aligned with the project goals:

• Business Analysis – interviews with key business users, management and IT.
• Installation and configuration of the software architecture (MS SQL Server database, SAP BusinessObjects BI platform, and reporting tools,…)
• Development of the Data Warehouse database model
• Development of the ETL procedures
• Development of SAP BusinessObjects semantic layer (Universe)
• Reports and analytics development
• Education of business users,  IT, and system administrators
• User Acceptance Testing (UAT)
• Development of the detailed technical documentation
   

The key deliverables from a technical perspective included the following: a dimensional data model, ETL (Extract, Transform, Load) procedures, SAP BusinessObjects Universes, reports and analytics, and comprehensive technical documentation.

From a business perspective, the key deliverables comprised numerous key performance indicators (KPIs), dimensions, and measures based on integrated data from all retail stores and companies owned by BOSO. Additionally, efforts were made to educate business users, management, and IT personnel. The primary goal was to empower them with the skills and knowledge necessary to independently conduct further data analysis, develop reports, create the semantic layer (Universe), and manage the system administration and basic maintenance of the entire implemented system.

The project centered on the development and deployment of an integrated Data Warehouse (DWH) and Business Intelligence (BI) solution designed to centralize data from multiple operational systems. Our objective was to create a single, reliable data platform that empowers data-driven decision-making and enhances overall business performance.

Key integrated data sources included:

•  Property Management System: For managing reservations, guest profiles, and occupancy data.
•  Food and Beverage System: Handling inventory control, orders, and consumption metrics.
•  Human Resources Management System: Covering employee attendance, work hours, and performance metrics.

Project Phases

1. Initial Assessment and Requirements Analysis
   The project commenced with an in-depth assessment of the hotel’s existing data infrastructure and specific business requirements. Through targeted workshops and stakeholder interviews, we identified essential reporting and analytics needs, establishing a clear vision of the business goals and data challenges the DWH/BI solution would address.
2. Dimensional Data Model Design
   With insights gathered, we crafted a scalable dimensional data model to support efficient querying and reporting. The model featured transaction-focused fact tables, such as reservations, food and beverage sales, and labor costs, complemented by dimension tables for time, customer, employee, and service categories, ensuring alignment with business objectives.
3. ETL Development
   Robust ETL (Extract, Transform, Load) procedures were built to pull, cleanse, and unify data from all systems into the warehouse. Rigorous data quality checks and validation processes were implemented to maintain high standards of consistency and accuracy.
4. Report and Dashboard Development
   Custom reports and dashboards were developed to provide the management team with critical insights. Key Performance Indicators (KPIs) included room occupancy rates, RevPAR (Revenue per Available Room), guest demographics, food and beverage profitability, and employee productivity metrics. These tools enable data-driven insights that support both operational and strategic decisions.
5. User Training
   Comprehensive training was provided for end-users, including management and department heads, to ensure effective adoption and utilization of BI tools for daily reporting and analysis, maximizing the system’s business value.
6. Documentation
   Detailed documentation was created to cover every project aspect, from requirements analysis to technical architecture, ETL workflows, and reporting specifications, providing a reliable reference for future system maintenance and enhancements.

The implementation of this Data Warehouse and BI system has vastly improved data accessibility and reporting accuracy across hotel operations.
