We wanted to create a backend tool to maximize the effectiveness of our extensive catalog of content, specifically on the image end. Since Internet Modeler has been around for a very long time, much of the earlier content was created without any clear idea on metadata with regards to the various imagery used in articles. We wanted to have a way to analyze these images, add metadata tags to the image files, and create a comprehensive catalog that could then be used for future articles. 

To do this, they created scripts to scan both html files and linked image files, build a database of images based off of their respective usage links, and add the metadata to the images themselves. These were then cataloged in such a way as to be easily searchable by a variety of topical keywords, with the ability to generate an embeddable link for future articles so that the same image could be reused. Another key component was the ability to have this tool scan new domains as we expand our CMS structure to other sites, with the hopes that we can build out the internet's most comprehensive database of scale modeling articles.

Their team built up a couple of prototypes that they reviewed with us via Vercel with automated builds and previews, which allowed our team to keep pace with the development and provide rapid feedback.

A populated database with error handling to identify missing or unused images, an easy to use interface that could be used by a variety of user skill levels, an easy way to manipulate metadata to maximize SEO performance, and scalability to add additional domains.

Their project management was solid, with lean communication through Google Chat and shared Notion pages that kept things simple and fast. They provided very clear tasks and responsibilities with a high level of transparency. When a block occurred, they flagged in without sugarcoating and addressed it quickly, asking questions when needed for clarification. All the major deadlines were met, and when one of the migrations took a bit longer than anticipated, they communicated it clearly and adjusted downstream plans accordingly to keep the whole project on track. There never was any question as to where we were in the process, and their response times to questions was fast, despite the time zone differences.

  Before ZAGROZA joined, operations were fragmented. We could accept crypto payments through a provider, but everything around orders, statuses, and payouts required manual work. Reconciliation, payout tracking, and support investigations were happening in spreadsheets and ad-hoc tooling, which created delays and risk as volume grew. We needed a unified marketplace system where the full lifecycle is tracked end to end: user accounts, listings, orders, payment states, fees/commissions, seller balances, and withdrawals — all in one place, with clear logs for support and finance.

ZAGROZA proposed and implemented a headless platform built on Directus with custom extensions, where Directus acted as the core backend for users, listings, orders, transactions, payout requests, and event logs. For the parts that could not be treated as simple CRUD, they added custom endpoints and hooks so business logic lived in a controlled layer instead of being scattered across the UI.

Payments and payouts were not treated as “just integrate an API”. They built a service around the crypto payment provider that creates payment sessions, consumes callbacks/webhooks, syncs internal transaction records, and updates order/payment states based on real provider statuses. They also planned for provider instability by using retries and service statuses that allow operations to review and resolve ambiguous cases without breaking accounting.

Balance integrity and withdrawals were treated like a proper ledger. Any balance change is backed by a separate transaction record, and withdrawals go through validation and funds reservation before the final “paid out” state is applied after provider confirmation. This made disputes and support investigations much easier, because every change has a traceable reason and timestamp.

On the product side, they built the user-facing cabinet in React and TypeScript with order history, payment statuses, payout history, and filters. The UI works for both buyers and sellers: buyers can track purchases and delivery status, sellers can track paid orders, available balance, and withdrawals.

Operational control was also part of the deliverables. They configured Directus roles for support, finance, and admins with least-privilege permissions, plus admin views to inspect users, orders, transactions, approve/reject suspicious payout requests, and review critical action logs. That gave us control without requiring code changes for routine operational tasks.

Finally, they implemented monitoring and audit logging for financial and marketplace events with technical metadata such as user identifiers, IP, timestamps, and provider states. They also added basic anomaly indicators to spot suspicious patterns like repeated failed payments, rapid payout attempts, or unusual transaction sequences.

In short, we received a unified crypto marketplace system with a headless backend (Directus on Node.js, PostgreSQL), a React/TypeScript cabinet with dashboards, a payments and payouts integration service, role-based admin operations, and a foundation that can scale to additional clients later

  The biggest measurable shift for us was operational. We moved from manual reconciliation and fragmented tools to a single platform where accounts, listings, orders, crypto payments, and payouts are tracked consistently. Money movements became transparent because every accrual, fee, hold, and withdrawal is backed by a transaction record. Our support and finance teams now work through an admin panel instead of spreadsheets, which reduced investigation time and made payouts more predictable. This also unlocked predictable scaling because the backend was designed as a headless core with a stable API

They had a PM who left in the beginning of the project and it was very abrupt.  She told me she was leaving but I didn't hear it from the manager of the team.  I would recommend in those situations that the manager step in front of someone leaving the project and let their clients know first and as soon as possible instead of the person who's leaving informing the clients.  This will give the manager the chance to set the clients at ease that the company is committed to working past the small setback.

I would also recommend that they provide updates on a regular cadence as a procedure.  I would say no more than 3 days should go by without providing some type of status.  It helps to build confidence with the client.

The site was delivered fully functional with all tasks working exactly as described. Backend was user friendly. All 3rd party apps that have been integrated with our website are also functioning properly.
