BACKGROUND
Please describe your company and your position there.
The University that embraces 12 faculties where over 20 000 students study enrolled in over 120 accredited study programs at all study levels (basic academic, master academic, integrated academic and doctoral studies, as well as two vocational study programs), in the following study fields: Natural Sciences, Technical and Technological Sciences, Medical Sciences, Social Sciences and Humanities and Arts. My position as an Experienced Project Manager within the Company, and it is only natural to be chosen to lead this project.

For what projects/services did your company hire WieQuee?
By realizing that international activities of the University will provide teachers and researchers with the most favourable research environment, and students opportunities to gain knowledge, skills and competences that will raise their competitiveness not only at a national level, but also at European and global labour market, and within the academic community at the same time.
We have hired WieQue company firstly for upgrading our management system for mutual cooperation among faculties within the University, their students, teachers, researchers and administrative staff and secondly for a better connection with Companies in and labour market.
What were your goals for this project?
We needed a management system because we didn't have one, and we wanted to have to one that incorporates all departments of the university. On the other hand, we also wanted a customer relationship management system for managing all company’s relationships and interactions with customers and potential customers.
SOLUTION
How did you select this vendor?
We were referred to them by our other business partner, but never the less they had the best offer for the job, and also we liked them from the start because in my book it is important to have good personal relationships which we had from the start with them.
Describe the project and the services they provided in detail.
We hire WieQuee so they can do all the work needed in terms of design, development and configuration of software. The project began with brainstorming sessions that led to a discovery workshop which finally let us reach an understanding of business challenges and goals and draft project.
Once we have approved that draft and begin the work the workflows, wireframes, and mockups, the actual production began in the form of 3-week sprints. Once we had a demo version, we have launched a new business management solution, firstly on three departments within the university.
After a month and a half, we had a functional version ready for all user testing and feedback, which let to a every two weeks feedback and customization based on them. Improvements were made during each sprint and also key suggestions were made from developers which helped a lot.
What was the team composition?
The project team was composed out of had twenty people, because of the scale of the project, but also certain individuals would come and go depending on the skills or inputs needed for the project. I was a project manager who was a direct and permanent point of contact with WieQuee company.
The WieQuee had all of their personnel at our disposal when we needed them and our business scenario was less getting to the goal together. We wanted to be included in every step of the way. We have reached an understanding to use an agile development approach, which would let us quickly build and test different versions of the desired solution.
RESULTS & FEEDBACK
Can you share any information that demonstrates the impact that this project has had on your business?
The solution developed and launched early on completely has transformed the way of doing day to day business too better. A project itself was a major achievement for our executive leadership, and we actually signed an extended service agreement with WieQuee company because of how well they performed.
The software and solution has already reduced weekly data entry errors by more than 50%. Employers now have more time each week, it also affected on the level of happiness inside our company, which is added value we respect a lot.
How was project management arranged and how effective was it?
Their project management was very impressive from the start and especially compared to other companies we have work with. Their team regularly gave progress reports and compiled with deadlines set on the beginning.
Also, it is important to add that they have always communicated delays well ahead of time. During the project, we dint have almost any unexpected turnover, and they have never been in a threat to stop project progress. We communicated with Skype, Zoom, Blue Jeans, we also used Jira, GitHub and Trello.
What did you find most impressive about this company?
The most impressive about this company is that clients have direct access to all of their team. Meaning that you have access to both project managers and all of the team this is one of the crucial thing needed to complete any project on time.
All of the technical things were explained in the beginning so you can track them and be included which is important, just like you are part of the company and part of their team. All lines of communication are completely open which prevents any issues arising, so you can deal with them on time.
Are there any areas for improvement?
For me personally their very little areas of improvement, mostly none. The only thing they now have to do is to keep working like this with every client and to make sure when they grow as a company to keep this small family company approach with client because it is their biggest plus.
