We operate a reimbursement program for CT farmers' markets that allow them to double purchases made with government SNAP benefits. Our program is expanding and we needed a customizable data-tracking system for our markets to use. Traditional services/apps were not meeting our needs so we decided to contract Weavers Web to build it for us.

SOLUTION

How did you select this vendor and what were the deciding factors?

We have been working with Weavers Web over the last year on a different project for one of our other programs, and they have been wonderful to work with. It was a no-brainer to also contract them for this project once they met with us and assured they could build what we were looking for.

Describe the project in detail and walk through the stages of the project.

After a couple discovery calls to discuss what we wanted and needed, Weavers Web got to work on basically recreating an existing program we had used before, but customized and simplified certain features. We went back and forth with them to make sure coding was correct and the system output was what we needed. Once the system was ready for demo and live testing, we tested everything out and reported feedback to Weavers Web for bug fixes until all issues were resolved.

In total, we had a team of 12 from Weavers Web working on the system at various points. I am unsure of everyone's position titles, but it was clear throughout our calls and the people I spoke with pertaining to certain areas of the site that multiple people with multiple roles/areas of expertise worked on our project!

Can you share any outcomes from the project that demonstrate progress or success?

We have not released our site to the farmers' market managers that will be using it yet, but from the intital set-up we've been doing to get everyone's profiles up to date, so far the system is much easier to work with than the one we had before, which is exactly what we needed.

How effective was the workflow between your team and theirs?

I was impressed with the response time when trying to reach the team, seeing as they are in India and we are in America with a large time difference between us. Their communication was always prompt and efficient to work through any questions or issues that came up through the project process. We needed this system done in a very short turnaround time and Weavers Web was aware of that and took every measure to ensure this project was finished quickly!

What did you find most impressive or unique about this company?

This company is very knowledgable and I am not - so I appreciated their ability to interpret my poor explanations of some things and somehow know how to turn them into exactly what we needed. They were also able to do some backend things through our hosting server that I had no idea how to do in order to connect our site to an email.

We needed help with mobile app development.

SOLUTION

What was the scope of their involvement?

Weavers Web built the MVP of a mobile application to help us raise investment. They used a WordPress template to create the app, which they built in native technology so it could work on Android and iOS. We designed the screens, and they built the wireframes.

The app was an on-demand service for car cleaning, and it had a worker side and a consumer side. The Weavers Web team integrated Google Maps and payment processing with Stripe. Users could order workers to clean their cars at their location, and payment would be divided between the cleaner and the app.

Additionally, Weavers Web used to do web development for us using WordPress. We handled the design, and they developed the sites; they created some of the websites from scratch, though they mostly worked with templates.

What is the team composition?

I worked with at least 20 people from Weavers Web. Krisanu (Solutions Architect) was our main point of contact, and we also worked with Tarun (CEO & Founder).

How did you come to work with Weavers Web Solutions Pvt Ltd?

I found them through Upwork. When Weavers Web sent me the wireframes, I could see how the app would work, and their pricing was really good.

How much have you invested with them?

The app cost around $8,000. For the web design, we spent $8,000–&10,000 a month with them for a little over two years.

What is the status of this engagement?

We worked together from January 2017–March 2020.

What evidence can you share that demonstrates the impact of the engagement? 

Weavers Web’s work was cost-effective, and it ultimately worked. They were always within budget and reasonably on time. That said, our engagement was a constant back and forth. The QA testing never came back as we wanted, and we had to have someone overseeing the process to make sure that every function worked.

How did Weavers Web Solutions Pvt Ltd perform from a project management standpoint?

We used Asana for project management and communicated via Skype.

What did you find most impressive about them?

From a business point of view, Weavers Web was very cost-effective. 

Are there any areas they could improve?

Not really. Since we mainly chose them based on pricing, we accepted their shortcomings. 

Do you have any advice for potential customers?

Be prepared to micromanage the whole process. They need to be project-managed; you can’t send them an idea and have them come back with what you want. You’ll need a project manager that understands the engagement and has patience. You’ll get the best results from Weavers Web if you have someone on your side who understands how an offshore workforce functions.

The app and website are up and running and are working well. We have signed up a large number of customers as a result and these are happy with the app and how it works so far.

We were looking for a new strategy of our online presence and hence required an elegant and functional website through which our audience could reach us easily. We had a very simple and non-functioning website before which didn’t appeal to our target audience. We needed an interactive website that could assist our sales and marketing teams and put our business model back on track by creating an engaging experience with our guest.

Weavers Web helped us to gain multiple audiences. They helped us think through an excellent software platform, which was robust and flexible, as well as easy-to-use. They've also helped us with Google Analytics. They created custom reports so that we could gain in-depth data about the popularity of the web pages within our website.

What was the scope of their involvement?

Weavers Web provides mobile app development services for our clients. Our role is as project managers; we work with our clients to help them assemble teams and then act as a middle person to manage the work process, soup to nuts. 

So far, they’ve developed three mobile apps with us. Our first project with Weavers Web was a delivery platform with elements of retail and e-commerce built into it. The second project was a recruitment platform for on-demand workers. For both of these projects, they used the React Native framework.

For the third project, they developed a communications platform similar to Zoom, but mainly for businesses that want to give their users a specific experience. For example, the app provides certain security features needed for an annual general meeting. Weavers Web incorporated certain features and functions that your typical communication platform doesn’t offer. 

What is the team composition?

Typically, we always have a team of 4–5 people. Each project has had different teammates, though a few people from previous projects have worked in subsequent projects. 

We’ve worked with teammates such as designers, developers, front- and back-end engineers, project managers, and team leads, all depending on the project. 

How did you come to work with Weavers Web Solutions Pvt Ltd?

We found them on Upwork, and then once we got to know them and trust them, we no longer needed the platform to be our buffer. We’ve had a relationship with them for years now. 

How much have you invested with them?

Across all three projects, we’ve spent around $25,000.

What is the status of this engagement?

We started working together in 2017, and our engagement is ongoing. 

Currently, we have one open engagement that is almost complete, and we’ll go back to them if we get another big project.

What evidence can you share that demonstrates the impact of the engagement? 

Overall, Weavers Web has done a good job on all three projects. They’ve delivered real value for money. For example, during the COVID-19 pandemic, they moved so quickly into remote work that it was unbelievable; our clients were impressed.

There are two key criteria for me to measure their success. Number one is whether the product is delivered within the timeframe that we all jointly agreed was feasible, and number two is whether the client has to do a bunch of testing. Weavers Web has delivered well on both criteria, which is why we continue working with them.

How did Weavers Web Solutions Pvt Ltd perform from a project management standpoint?

We use the agile Scrum framework to get work done consistently and give the Weavers Web team the confidence they need. Though we’re typically the project managers and provide that overlay, they’ve internally provided good project management as well.

We typically use Jira for project management, which is our preferred tool, though we’ve also used Azure DevOps for one of our projects together. Their communications skills and responsiveness are good.

In terms of budget, all of our projects are fixed price, so staying within budget has never been a problem. 

What did you find most impressive about them?

They’re like a big family, and that’s the key to working with a vendor. We feel like we don’t just have a contractual relationship, but more of a personal relationship with the Weavers Web team where we can speak our mind because we know they’re in it for the long term. 

Are there any areas they could improve?

They could improve on how quickly they inform us that things are done. If something is completed, our clients should know immediately so they can get the satisfaction every client needs. 

Additionally, they should improve their capacity to say no. Sometimes, clients will ask for additional work they’re unwilling to pay for, and the Weavers Web team needs to be prepared to kick back and say no. If they say yes to additional work they’re not being paid for, the quality of their work will eventually suffer, someone will have to do overtime, or someone will be overtired when they don’t have to be.

This issue also comes down to cultural differences, where there’s a willingness to please the client and meet their requirements that someone could take advantage of. I’ve been coaching them in this area, and I hope that they’ll take my advice on board for our next project.  

Do you have any advice for potential customers?

I always advise companies looking to work directly with developers to look out for good communication skills and good project management. In our case, we usually bring project management to the table, though you can work directly with a company like Weavers Web.

I would also recommend that clients hiring an offshore company take time zones and cultural differences into account. Also, I advise you not to ask for too much. As a client, you can forget that if you’re not paying for something, you cannot expect top-notch quality — it’s just not right. Be fair with your vendor, sincere in the relationship you’re trying to forge, and never demand too much.

Usually, I provide Weavers with a scope of work; sometimes it includes creative if we’re doing actual webpage development or mobile app development. After reviewing it with their team and ensuring that they understand it, I begin working with a team of developers.

Most of the work is custom — no templates. Weavers’ covers the whole gamut of popular platforms. I’m primarily a WordPress shop but they can do Magento, Shopify and many others.

Since I provide a constant stream of projects, they have a team of people with all the expertise I need, including designers, CSS programmers, PHP developers, WordPress developers, etc.

We’ve been working together for over 10 years. I’ve given them hundreds of projects and we’ve never had a bad experience.

Everybody has their own fears about working with overseas groups; there isn’t a lot of control if something goes sideways. I’ve never felt that way with Weavers, however. They always have my best interests in mind and are easy to work with thanks to their great communications sills. I don’t mean to be a cheerleader, as something can always go wrong, but the measure of a company is what they do in tough situations. Weavers doesn’t take the money and leave. They do the best they can under every circumstance.

We primarily use Basecamp. They’ve used Asana in the past, but I prefer Basecamp. We communicate strictly over Skype.

What did you find most impressive about them?

Weavers’ team is agreeable to changes and always ready with suggestions to do things in a new way. The size and varied expertise of their team allows them to leverage colleagues when they don’t have the answer. They’re always up to date on the latest tech.

I only work with people I like, and there are a lot of talented people in the industry who aren’t nice. Weavers’ team members are nice, professional, and polite.

When the pressure is on, Weaver will work in the middle of the night their time to get things done. If it’s an emergency, they will be right there with you.

Are there any areas they could improve?

There might be something I’m forgetting, but I don’t think so. The biggest factor is communication, and Weavers’ bas that on lock. They may not have every single expertise, but they don’t take on something they can’t handle.

Communicate via Skype, as it’s an easy and affordable platform for them. They’re in lockdown in India, so Skype is the best way to reach them.

Finally, be specific and detailed in your instructions. Provide sketches and wireframes and know your project in advance.
