At the start of the project, the business analyst collect and refined all our requirements and split into developing tasks to the team. After each sprint, we got a feedback on the progress of the project. This new software architecture is really a big step away for our company: it will allow us a better flexibility, cost optimization and scalability.

Nowadays, micro-services developed by the team were fitting our specifications: work is documented, code is reviewed, implementation is tested (using manual, unit and integration tests) and deployment is automated.

I'm the founder and CEO of an IT consulting company based in Poland that focuses on the implementation of application lifecycle management (ALM) solutions. We're part of an American software company, so in addition to ALM solutions implementation, we also do custom software development, staff augmentation, and IT recruiting. Basically, we support everything related to IT consulting.

Vratislavia Software has supported the end-to-end placement of IT positions. The team has been in charge of the following:

Basically, they've been our partner throughout the whole recruitment process from beginning to end. Initially, I just gave them a brief on what qualifications we needed and which software the candidates would be dealing with.
In addition to the recruitment process, Vratislavia Software has helped us with training. I'm the founder, but I've never dove deep into the HR processes because I come from an IT background, not HR. Therefore, their team has guided me a lot throughout the process and trained me on how everything needs to be done. We've also navigated through the boundaries that might exist in Poland because they also have that knowledge.
Thus far, Vratislavia Software has helped me fill two positions. Currently, we're working on another project, on which they're helping me find another candidate for a higher position, as well as two other candidates for development positions.

I've mostly worked with Anna (Co-Founder) and another teammate from Vratislavia Software.
How did you come to work with Vratislavia Software Sp. z o.o.?
I found them through a recommendation from a friend who had worked with them in the past and was very happy with their services. He gave me Vratislavia Software's contact information, and I set up a first meeting with them, where I met Anna. We went over the issues of my job description. Through Anna's professional questions, I recognized that she was really trying to understand what I needed.
Throughout this process, I also worked with another recruitment company. When comparing both companies, I definitely saw a difference in quality. The other company wanted to get the job done fast and send me some candidates, whereas Vratislavia Software took the time to understand the culture of my company and make the candidate fit our needs.

We've spent around 20,000 Polish zloty (approximately $5,100 USD).
What is the status of this engagement?
We started working together around January 2024, and our engagement is ongoing. we hired the first candidate around April 2024.

What evidence can you share that demonstrates the impact of the engagement?
I'm very happy with Vratislavia Software, as the quality of their work is great. The main things I measure to assess the project's success are the time spent in finding good candidates, the number of candidates I can choose from, and the cost. Vratislavia Software has been very fast. They helped me close deals with the two candidates within one month, which was quick.
Moreover, they've found very good candidates, allowing me to choose from 10 great candidates with whom I had interviews. Initially, I just wanted to hire one consultant. However, the team was so good and sent me so many good candidates that I decided to hire two of them.
On top of that, the costs have been very competitive. Compared to other companies, Vratislavia Software's costs have been on the same level. However, considering the quality of the candidates I'm getting, I rather spend money on them. Other companies didn't provide good candidates; they just spammed us with a lot of bad candidates.
How did Vratislavia Software Sp. z o.o. perform from a project management standpoint?
Our communication with Vratislavia Software is very straightforward. Both of us are very small companies, so we don't have to stick to a formal process. We simply communicate via emails, phone calls, or in-person meetings.
Their project management has been like a black box for me. However, I always know that they're doing a lot of work even before they come back with any candidates because we have a lot of phone calls to analyze if the resources they're vetting can be a good fit or not.
Thanks to their approach, I only have to interview 10 candidates out of the tens of candidates Vratislavia Software has to talk to. Obviously, they have good management behind their candidate research work, but I don't know all the details. In fact, this is the approach I require because I don't want to be involved that deep into the process.
What did you find most impressive about them?
The best thing about Vratislavia Software is that they really try to understand the culture and the business of their clients. They're very helpful in providing candidates that aren't only a knowledge fit but also a good cultural fit, which is not easy to do. Having a candidate with a bad cultural fit within a small fit can mess everything up. Therefore, it's awesome that Vratislavia Software sends me candidates with good skills and the right mindset.
Are there any areas they could improve?
I can't think of anything Vratislavia Software could improve on. I'm very happy with their work, so I can't complain.
Do you have any advice for future clients of theirs?
Work with them! To get the most out of the engagement, take the time to talk with them because they need to understand your requirements. If you don't explain your requirements, they won't be able to know how to decide on the best candidates for you. Therefore, you need to explain not only the skills you need but also the culture and the soft skills you want to have so that they can find the perfect fit.
