OPPORTUNITY / CHALLENGE

What specific goals or objectives did you hire SoloWay Technologies to accomplish?

• A client building a platform for veterinary clinics contacted us for a complex, full-cycle development project. They needed to build their platform entirely from scratch, which included integrating a sophisticated voice AI agent to handle real-time pet insurance verifications with clinics. To make sure the technical side of the project was handled flawlessly, we brought in SoloWay Technologies to do the AI development work, because of their expertise in this field.

Describe the scope of work in detail. Please include a summary of key deliverables.

SoloWay Technologies developed a voice AI agent powered by Bland.AI that handled phone calls with veterinary clinics and processed their requests related to pet insurance policies in real time during the conversation. The conversational layer, including dialogue flow, speech recognition, and voice synthesis, was handled by Bland. AI. The SoloWay team built a Django and Django REST Framework backend that exposed a set of custom tools as HTTP endpoints. The agent could call these tools during the conversation to identify a clinic by its phone number, verify whether an insurance company existed in the system, retrieve a list of available insurance providers, and search for a policy by number while returning the relevant coverage details. Most of SoloWay's work focused on designing these tools specifically for a voice-based interaction. This included normalizing the data interpreted by the agent, such as converting policy numbers to uppercase and removing spaces or hyphens, as well as implementing fuzzy matching for insurance company names. They also introduced a consistent response format with an error flag, allowing the agent to handle “not found” cases correctly instead of failing during the call. In addition, SoloWay Technologies implemented a dedicated webhook through which Bland.AI sent the final call results. The integration was developed iteratively: the SoloWay team made test calls, reviewed the transcripts and the actual parameters passed by the agent to each tool, and then refined the tool schemas and normalization logic accordingly.

SoloWay Technologies developed a mobile app and a web portal that work together to help real estate inspectors take and upload hundreds of photos, fill in detailed property information, and automatically sync everything with the system. The web portal allows managers to view, edit, and organize all the data and photos received from the app. Additionally, the team created a lighter version of the app with limited features to meet specific business needs. What did you find most impressive or unique about this company?

The most impressive and unique aspect of SoloWay Technologies was their deep understanding of our industry-specific needs combined with their agility and flexibility in development.

Industry Expertise and Insight:

SoloWay Technologies demonstrated a remarkable understanding of the veterinary sector, especially the complexities of emergency shift scheduling and communication. Their proactive approach to identifying challenges specific to veterinary practices set them apart from other development companies.
They took the time to learn about our users’ pain points, which enabled them to design features that were not only functional but also highly intuitive and practical for our target audience.
Agility and Flexibility:

Their agile development methodology allowed us to make iterative changes throughout the project without disrupting the timeline or budget. This flexibility was crucial as it enabled us to adapt the software to evolving requirements and feedback from early users.

Are there any areas for improvement or something SoloWay Technologies could have done differently?

While SoloWay Technologies delivered exceptional results and demonstrated great expertise, there are a few areas where they could improve to enhance the overall experience:

More Detailed Initial Planning:

While the agile approach allowed for flexibility, a more detailed initial project scope and timeline could have helped manage expectations better.
There were a few instances where requirements evolved, impacting the timeline. A more thorough initial discovery phase might have helped anticipate some of these changes.
Enhanced Documentation:

Although the software was well-designed, the technical documentation provided could have been more comprehensive, especially for onboarding new team members and for long-term maintenance.
Providing detailed user manuals and training materials would have eased the transition for veterinary practices adopting the new platform.
Proactive Communication on Risks:

While communication was generally effective, there were a few moments where potential risks (like integration challenges with third-party systems) could have been communicated earlier.
A more proactive risk management strategy would enhance transparency and allow for contingency planning.
Post-Launch Support and Feedback Integration:

Post-launch support was reliable, but a more structured approach to collecting user feedback and planning subsequent updates could improve user satisfaction.
Implementing a feedback loop to prioritize feature enhancements based on user input would help continuously refine the product.
Scalability Considerations:

Although the platform was stable and efficient, a more detailed scalability strategy could be beneficial as user adoption grows.
Addressing performance optimization and scalability during the development phase would better support rapid growth and higher user volumes.
These areas for improvement are relatively minor compared to the overall success of the project. Implementing these suggestions could enhance SoloWay Technologies’ development process and further strengthen their client relationships.
