Foursource is a B2B market network for the apparel industry. We connect buyers and manufacturers worldwide by offering them different search features and on-site messaging. I am leading the customer success department, so I care about our users' experience, engagement, and progress on the platform.

We wanted to create a call center that gets in touch with our users. The goal was to motivate and help them fill out their profiles and better understand our features. It also helps us better understand our members' needs by having a direct dialogue with them.

How did you select this vendor?

We were approached by ScaleMill via LinkedIn. I don't know details about the selection process.

Describe the project in detail.

Four people have been trained to call our members. They have a goal of raising awareness about the fact that users have to fill out their profile to be successful on our platform. The person performing the call has to be familiar with the platform as well as able to identify bugs and answer users' questions.

What was the team composition?

ScaleMill chose and trained the team. We have a mixture of men and women with excellent English skills who understand complex situations and adapt quickly. When we grew, ScaleMill provided us an additional team lead which makes it easier for us to manage the team.

RESULTS & FEEDBACK

Can you share any outcomes from the project that demonstrate progress or success?

We were able to increase our numbers immediately after setting up everything! Iterations are implemented quickly, which has allowed us to further improve our numbers throughout the process. 

We’ve saved time because questions are answered by the team lead. Now, we spend more time on business development topics. 

How effective was the workflow between your team and theirs?

ScaleMill is always super supportive, and they take the initiative to do things themselves. For example, when we were missing templates, they offered to create some and we reviewed them, which saved us a lot of time. Internal communication is easy, reliable, and friendly.

What did you find most impressive about this company?

We are impressed with their implementation and support. They did a great job of getting us up and running. The founders are very solution-oriented, and they often help us with decision making by sharing their experiences and industry insights.

They also have a great team spirit. I’m impressed by the team’s consistently good atmosphere. I feel like we’re all well-connected to the team even though we don’t do video calls (we’ve only talked with each other via phone except for a face-to-face sales meeting).

Are there any areas for improvement?

They could notify us quicker about bug issues. Sometimes we were notified weeks after the issue was found. If a call-agent has problems with the platform, this feedback is super important and should be shared as quickly as possible.

When new processes (iterations) are introduced, the team agrees and claims to understand it, but they still don’t adapt to the new tools entirely. I wish the team lead would offer more guidance in this aspect.

Also, regarding intercultural management, I would enjoy some feedback about how to handle the team better in terms of communication, feedback, and tracking.

We needed a team of 15 SDRs. Each SDR was tasked with scheduling 20 appointments per month with a 75% conversion rate. 

What was the team composition?

They had two teams with a focus on US and Europe, the Middle East, and Africa markets. The representatives working with US markets clearly and fluently spoke “American” English. In most cases, this is very hard to find.

They surpassed our expectations, and they always went the extra mile. They were able to achieve higher numbers and even better conversion rates than we anticipated.

The workflow was incredible—they seamlessly integrated into our company. ScaleMill opened a lot of channels and assured clear, seamless communication.

What did you find most impressive about this company?

It's clear that they treat their employees right. The culture of the company seems very positive. The employees are very happy, and their management is clearly experienced in their field.

We mainly work with the accounts manager who is responsible for recording donor information and the operations manager who is responsible for donor coordination.

Can you share any outcomes from the project that demonstrate progress or success?

With the help of ScaleMill, we’ve consistently been able to increase donations. We’ve also increased our stall number from one to three stalls. Now, we can serve almost 900 more patrons.

How effective was the workflow between your team and theirs?

We talk on a daily basis via Skype, and communication has been very smooth. Additionally, our founding members have a weekly call with their founding members to check progress.

What did you find most impressive about this company?

We enjoy open communication from sides, and that's why we’ve achieved a lot together. ScaleMill has a great company culture. The specialists are always willing to help one another. If a team member is absent, their tasks are never affected as they are excellent at keeping each other updated.

If they used a task checklist, tracking activities would be a lot easier.
