We’ve been growing incredibly quickly over the last couple of years, and it’s been a real challenge to stay on top of our website’s development requirements.

What was the scope of their involvement?

Our website is a homegrown solution; our CTO built it up over the last 15 years. It was written in an obscure programming language, which made it very difficult to find developers. Pixel came in and was very eager to get hands-on with it.

They took over from where we were in building the site, adding new capabilities that we’ve introduced as a business, including integrations from insurance providers. They’ve also worked on our API set up.

They’ve handled all the mock-ups for new features, including structure, layout, and more. Currently, they help us create new accounts, cache refreshes, and more.

What is the team composition?

We have a DevOps resource, a UX resource, and a few development resources. There are essentially three frontend developers in total, as well as a Scrum master.

How did you come to work with Pixel Solutions?

There were a couple of ways we could have approached this project. One was to hire resources here in Canada to do the work in-house, or we could have hired a third-party development team. Our call center is based in Romania, so it made sense to lean on our team in Romania to help us identify a development squad there that could help us. The cost-savings in the region were advantageous for us, in addition to its technical proficiency.

After interviews with a number of different groups, we realized that Pixel Solutions was a perfect culture fit for our business. We’re very keen on culture.

The cost is about $250,000 CAD (approximately $190,000 USD).

What is the status of this engagement?

We’ve been working together since August 2021.

What evidence can you share that demonstrates the impact of the engagement? 

It’s hard to say, as we’ve had a number of projects going on at the same time, but our conversion rate has certainly increased by around 15%-20%.

Dealing with businesses overseas is incredibly high maintenance, but Pixel Solution’s team has been a perfect fit for our culture. They understand where we’re coming from and put in the hours of work necessary.

How did Pixel Solutions perform from a project management standpoint?

Project management has been their responsibility throughout, coordinating all our resources. We’re in contact multiple times per day. We don’t have a language barrier, either.

Pixel Solutions’ ability to not only manage the project very effectively but also manage our expectations stands out. We’re quite high maintenance; everyone on our executive team has very strong opinions. Pixel Solutions stands out for their ability to ensure everyone on our side is clear on what we should be expecting in terms of delivery. Their proactivity and general communication make the work very fluid.

We were using Trello initially but it wasn’t effective enough, so they suggested ClickUp, which they’d used with other clients. They onboarded our entire organization to ClickUp, including our marketing team. All of our documentation is now living within ClickUp.

Zoom and Slack support our communication as well. We have a recurring standup every morning and then another in the afternoon. There’s also a weekly check-in, as well as other occasional meetings: sprint-planting meetings, ticket review meetings, etc. All of these meetings are done via Zoom.

What did you find most impressive about them?

We’ve been working together for a little more than a year now, and they’re literally part of our team now. Our platform is now an incredibly custom solution. they’ve been able to update our site very quickly and add tons of new features. We’re thrilled with them.

We launch our product tomorrow, and even though one of our resources was at the beach, they hung around their hotel room and grinded away with us to make sure everything was set for the start. I’ve hired quite a few people over the years, and Pixel Solution’s people are more dedicated and talented than anyone I’ve seen. This is why I’m so passionate about leaving them a review. They’re just so good.

Are there any areas they could improve?

Even though we’re working well across time zones, this situation does make things a bit more difficult. This isn’t something Pixel Solutions’ has control over, but they still accommodate us incredibly well. In an ideal world, they’d expand their team as well.

Communication and enthusiasm have been very effective tools in our relationship with Pixel Solutions.

Oftentimes, when companies work with third-party agencies, they tend to withhold information that would actually help move the project along and improve ideation. Therefore, transparency will help you a great deal. We share everything that’s going on with Pixel.

Since the project's first phase, they've been aware of our ultimate goal, so they know in what direction to take us and make a solution according to what we want to achieve. They've been delivering to our established milestones; overall, working with them is very pleasant because they're a knowledgeable team.

They're great with project management in terms of meeting deadlines and communicating with us, and whenever we have a problem, they let us know upfront.

Regarding tools, we use Slack.

We started with a series of onboarding meetings where the Pixel Solutions team interviewed us in order to get a better idea of what they're creating. After that we received sketches and early design drafts of the future website. After a final feedback meeting in which our managing partners agreed on the design the Pixel development team started building the website.

They finished it very quickly, with sufficient time before our deadline, as we really needed it for a tradeshow we were attending. The website is built with a wordpress backend and custom code as far as I know.

I interacted with a UI/UX designer from the team, Claudiu and 2 developers. Alex, one of the developers managed the entire project and we had meeting and calls with him. He also helped and supported us after they handed the website off.

Can you share any measurable outcomes of the project or general feedback about the deliverables?

The new website was the perfect start for our online image. We finally have an "online catalog" of our work and several clients compliemented the website and have since asked about the agency that helped us with it.

The guys were very active in communication. We had frequent telephone updates from Alex that walked us through the development process step-by-step. Everything seemed well organized and we were always informed.

What did you find most impressive or unique about this company?

We really appreciated the fact that we only had a vague idea of what we want, and they gave it shape and structure. We just wanted a website and they delivered an online portfolio we proudly show to each customer. They understood our company and wishes very well.

Are there any areas for improvement or something they could have done differently?

I can't think of anything honestly. The project went smoothly overall. There was a minor bug after the website went live, but they fixed it pretty quickly.

I’m the owner of Sibiu Lotus Apartments which are hospitality apartments for rent in Sibiu.

What challenge were you trying to address with Pixel Solutions?

We needed someone to build our digital presence, so we brought in Pixel Solutions.

SOLUTION

What was the scope of their involvement?

Pixel Solutions designed and developed our website. They first asked us if we had samples of sites that we really liked. Once we sent those over, they came up with 2-3 proposals from which we only chose one.

We told them we wanted each accommodation unit to have its own description page and to have pictures that dynamically change from time to time.

They used WordPress with some special plugins to connect our booking calendar through which guests can see which dates and units are available and at what price. They did this in cooperation with our channel manager in order to incorporate the varying prices during different periods of time.

The team also did the online marketing for our Facebook page and put together a video presentation for the apartments. For this, they again asked for samples of what we wanted to see in the video. We have nine units and every time 1–2 that were occupied, they waited for us to say when it was a good time to come in and do the shooting.

There was a website developer, a marketing specialist, and a member who worked on the video. Whenever we have different needs, I speak with the partner first.

They were recommended to us. We asked for proposals from different providers but decided to work with Pixel Solutions because of their offer. What we really liked about them was their enthusiasm, flexibility, and youth. It was always very easy to communicate and receive feedback from them.

My husband, who is a bit more IT-oriented, was impressed with the website. It’s a rather simple website, but the most important thing for us was to show all the details of our apartments. We didn’t need anything more complex than that.

We were very happy with our collaboration. We will most likely have other projects with Pixel Solutions in the future.

Their project management was very good. We communicated via phone calls and email, and everything went very smoothly. If there were some things we didn’t necessarily like or wanted to be done differently, they were super responsive.

Pixel Solutions is responsible for our paid campaigns. They get the general guidelines and the brief from us, and they then come up with text, images, graphics, and other aspects of marketing. After we approve their ideas, they post them on Facebook and other social media platforms. They also track the campaign to make sure everything is going well.

They’ve also designed a menu display for our shop and helped us integrate our POS system to our website.

Generally, we work with 2–5 people from their team. Some programmers help us with the POS integration, but there are more people involved.

After each campaign, we track our metrics to see how many people were targeted and how many comparisons we had, and there has been an increase in numbers. 
Thanks to their help, our social presence has increased by 20%.

How did Pixel Solutions perform from a project management standpoint?

We’ve used many platforms and apps to manage our projects. Currently, we use ClickUp for tasks that need to be done and our editorial calendar. It also shows us our performance and progress. We also communicate through WhatsApp.

However, we’ve set up deadlines that haven’t always been met by either team — we could improve on both sides.

What did you find most impressive about them?

They’re young and eager to learn more, always trying new things. They’re also very open to listening to our needs. They don’t come up with a tailored plan; they create one just for us.

Are there any areas they could improve?

I’d like them to improve on meeting deadlines. On the creative side, they could improve copywriting. Other than that, I’m pretty satisfied with them.

What evidence can you share that demonstrates the impact of the engagement?

Working with Pixel Solutions was one of the best business decisions that we ever made. Working with them brought our clients from around 10 leads a week to around 150 leads a week. This is the result of the website, platform, landing pages, and the online marketing that they did. They drove down the cost from 150 leu (approximately $37 USD) per lead to around 50 leu (approximately $12 USD) per lead. This is unheard of.

Our clients are so happy. We had a client who wasn’t very sure about what he needed and got to keep him for a very long period of time because of Pixel Solutions' work. We’re now on another project with the client. What they did was just phenomenal. I don’t know that we could have done it better with our team. They’re a smaller company than we are and more agile. They also work a lot.

They were integrated with our team. We did the project management. They come in the idea and how to do the work which is their most valuable input. They then tell us what we need to do in order to get the conversion. It was a good collaboration. We only spoke to one person on their side who handled everything.

They’re small and willing to do whatever it takes to get the project done. They come to us with the results and are happy with the results that the client has. This is something you don’t get from a larger company. I’ve not met a company before that had such good conversion results.

No, there’s nothing I’d have them improve. We just told them what needed to be done and they got it done.

Clearly state your goals and your budget. They will do their best to handle the project within that scope. If you don’t give them a budget, it will complicate things. They think in perspective. They will do amazing work for you.

They handle our advertising on Google and Facebook. They also set up Facebook Pixel and Google Analytics, and all the configuration needed to sync it to our site. They set up a Pipedrive account and wrote an API for automated lead generation, and they set up an IVR (interactive voice response) for our call center.

What evidence can you share that demonstrates the impact of the engagement? 

The most important metrics are actual conversions and their cost. We’ve seen more new customers at a slightly higher cost. They hit our target and are keeping it where it needs to be. There has been a 30%-40% growth since we started working together. 

They have now suggested some live translations and interviews, as well as innovative ads, and SEO. We’ve had some good results, and are planning to continue moving forward.

They do a good job. We use Pick Up for time tracking, updates, proposals, setting up sprints, and deadlines. They also give us weekly statistic reports on the campaigns.

I wish they would’ve offered SEO sooner. However, I’m glad we’re doing it now.
