I’m the executive director of Tucson Jewish Free Loan. We offer zero-interest loans of up to $5,000 to people in Southern Arizona who have a temporary financial setback. Our goal is to help them avoid poverty by keeping the setback temporary instead of permanent.

We hired Perpetual Solutions to build an online application system and data collection service. They also redesigned our website.

What was the scope of their involvement?

Perpetual Solution has redesigned our website, which they now host. They’ve also built and launched our online system. The next step will be building a loan management system and a CRM database. 

Perpetual Solution has redesigned our WordPress website, preserving our copy and logo. The team has changed the graphics and banners, presenting a product consistent with our original branding. Perpetual Solution has done research to define the site's color scheme and the best design to build trust with respect to the work we do. 

Users can apply for a loan on our website by creating an account and filling out an application. After answering some questions, users can upload their documents at the end of the process. On the site's admin side, we can log in and see the applicants' information to communicate with them. Each applicant has a unique identifying record. Perpetual Solution makes changes to the site as necessary and offers maintenance. The team has also worked on our site's SEO.

Perpetual Solution also helps us build our overall technology. They’ve recommended specific platforms and services that will integrate with their work. When it comes time to execute the loan management platform and the CRM, we’ll have a bunch of services that will interface with each other.

We work with two primary people, including Geneviève, who is our main point of contact for customer service and sales. Geneviève has a team she works with, although we haven't communicated with them.

How did you come to work with Perpetual Solution?

Perpetual Solution was referred to us by a colleague who had previously worked with them for a similar service. Our colleague knew the team locally, and I expressed my interest in the same services. We interviewed several companies and decided to go with Perpetual Solution because they gave an impressive presentation and a very reasonable and fair quote.

How much have you invested with them?

We pay $100 CAD monthly and have spent over $5,000 CAD overall.

What is the status of this engagement?

We began working together in February 2024, and the engagement is ongoing.

What evidence can you share that demonstrates the impact of the engagement?

We’ve just rolled out the new system and haven’t evaluated anything yet. However, we’ve received over 40 loan applications in the last few weeks, which is a lot for us. We'd typically get 2–5 applications a month. Our organization has grown, and Perpetual Solution has helped us build our capacity. We can review around 10 applications at a time instead of doing it individually.

We've also seen higher traffic and click-through rates. The site works as required, and the system makes everything much more efficient. Perpetual Solution offers a significant amount of guidance in a space we don't normally travel in, and their expertise is very helpful.

How did Perpetual Solution perform from a project management standpoint?

The project has taken a little longer than Perpetual Solution expected, but not much. The rest of the project has been smooth. We communicate via email, Microsoft Teams, phone calls, and occasionally WhatsApp.

Are there any employees from the service provider's team that you would like to give a shout-out to in this review?

Geneviève stands out. She responds quickly and handles bugs quickly. We’ve had a lot of transitions in our organization recently, and she’s been able to manage that. She has made videos to train our team. She takes whatever is thrown at her and manages it very well. She’s always kind and responsive. When we had business in Montreal, she took the time to meet with us to see if we had any questions. We thought that was really good.

What did you find most impressive about them?

We’re impressed with Perpetual Solution's ability to design something without much guidance from us. The team has delivered a design that is exactly what we've been looking for. Perpetual Solution's web design is excellent; it's as if they could read our minds.

Are there any areas they could improve?

There were times when Perpetual Solution thought they could do something. In hindsight, they could've acknowledged the limitations sooner and tried to go with something different. We've lost time because the team thought they could build it a certain way using a certain platform. We were really excited, but then it became clear that the solution wouldn’t be possible. Overall, I'm satisfied with Perpetual Solution's professionalism and customer service.

Do you have any advice for potential customers?

Let Perpetual Solution do their work and let the magic happen. You need to give up control at some point. Trust the process because sometimes it takes a little longer than expected, but it’s worth it in the end.

Once I gave them all they required, the project ran smoothly with milestone deliveries so I could see the progress. Project was delivered on time when excluding delays that I caused myself. We had challenges hiring staff and getting job applications out, so we wanted to maximize our profile to attract employees. We were also looking to attract more campers and simplify the registration process. We thought the best way to do this was to upgrade our website, so we hired Perpetual Solution.

We had a previous website with content that we migrated over, but Perpetual Solution switched over to a new website platform. They built everything from scratch, but used our last website for inspiration and improved upon it. Perpetual Solution connected the new website to job search platforms and made design suggestions to make it more user-friendly and logical. They are also offering maintenance and hosting services.

Perpetual Solution delivered everything on time, and there were no surprises. We contacted them when we found an issue, and they immediately took care of it. We communicated with them via Zoom, email, and phone calls.

It was a pleasure to engage with them; we weren’t familiar with anything involving website building, and they made the process simple. They were great listeners and were able to complete everything we asked. They understood our needs, engaged with us, and were excellent communicators. When we didn’t know what we needed, they were good about making suggestions and offering solutions.

I’m the co-owner of a restaurant and banquet hall; I’m in charge of marketing, but I wear many different hats.

What challenge were you trying to address with Perpetual Solution?

Our website was almost 10 years old, and with the impact of the COVID-19 Pandemic, it was time for us to revamp the site to drive more business. Our goal was to modernize the design and visuals to attract more inquiries for parties, weddings, and corporate events. Since we were facing a labor shortage, we also wanted to build a compelling careers page to help us hire more staff.

What was the scope of their involvement?

Initially, we hired Perpetual Solution to maintain our original website, but when they offered to redevelop the site from scratch, we took them up on it. We started by sharing our ideas and how we wanted to present ourselves. After that, I provided them with materials for the website, including pictures, videos, and written content. Then, the team built a website demo for our review. We went through multiple revisions and approvals to reach the final website design, which they proceeded to build. 

During the development process, they built a careers page and integrated it with Indeed to enable us to attract more candidates. They also linked the site to our Instagram page, so when we share new posts, they show up as a carousel on our home page. After migrating the content I shared, they made some final touches, optimized the site for SEO, we launched. Although they’ve completed the website, they’ve continued supporting us by updating and maintaining it. We also plan to begin phase two of the project soon, where they’ll help us with social media campaigns and advertising.

Our website maintenance was becoming complicated, so one of our IT team members recommended Perpetual Solution to work on our website. They’d worked with them before, and trusted their services, so we moved forward. We wanted to work with a local business, and Perpetual Solution is located right down the street from us, which was nice.

We’ve invested about $4,500 in the partnership with Perpetual Solution. 

What is the status of this engagement?

We began working together in February 2022, and they finished the website in October 2022. However, we’ve signed a three-year contract, so the partnership is ongoing.

What evidence can you share that demonstrates the impact of the engagement? 

Perpetual Solution has created a site that aligns with our vision; we’re happy with the end result. The new website is significantly faster than the original, which is an accomplishment because they embedded several pictures and videos. 

As soon as we launched the new website, we received hundreds of contact forms; we booked out our entire holiday season within a week. We’ve also seen a significant increase in users finding us directly through our website, as opposed to other platforms such as WeddingWire. 

We used to send emails to our contact list to book out our holiday season, but we didn’t have to this year. Instead, we have a waitlist; we’ve had to refuse requests from established companies because our dates are totally booked up. As far as business goes, it’s almost like they’ve waved a magic wand! 

How did Perpetual Solution perform from a project management standpoint?

Perpetual Solution has managed the project well; they’ve been very organized and shared valuable expertise. They’ve been very accommodating and have made us feel comfortable and secure throughout the partnership. We’ve met for conference calls via Zoom, shared files via Dropbox, and communicated via text and email.

Additionally, they’ve communicated seamlessly with our various suppliers. Since giving them access to our contact lists, they’ve handled all the outreach, and everything has gone smoothly. They’ve also happily recommended other vendors for tasks outside their focus area. They’ve identified and liaised with video producers, translators, programmers, and artists to help us build the best possible website. 

Our restaurant reopened in the middle of the development process, which caused delays because we didn’t have time to review or approve changes. Although the website development took longer than expected, the overwhelmingly positive results made up for the lengthy process. 

They’ve continuously addressed our concerns and gone back to the drawing board when we shared feedback regarding designs. Although graphic design isn’t their forte, they’ve sought out the right resources to help, and the end result has been perfect. At the end of the day, all their hard work has paid off.

Perpetual Solution has been an accessible, dependable partner. I’ve been most impressed with their process. Throughout development, I only interacted with one point of contact, who handled everything, which was extremely helpful. Furthermore, I’ve appreciated their fair pricing; they’ve delivered excellent value for the cost.

Perpetual Solution has great website development, SEO, and maintenance expertise, but they could improve on the graphic design front.

I'm an independent filmmaker and the owner of a film and video production service offering individualized cinematic portraits.

For what projects/services did your company hire Perpetual Solution, and what were your goals?

I decided to hire a professional to build a professional looking website for my new business. Although I had built a simple DIY website before, I had no real experience when it came to the behind the scenes of a webpage, including Google advertising and analytics.

How did you select this vendor and what were the deciding factors?

Perpetual Solution is thus far providing exactly what its title suggest: a perpetual solution to web design, marketing and basic virtual office management (phone, email, web) for a small business such as mine.

Describe the scope of work in detail, including the project steps, key deliverables, and technologies used.

I provided PS the text and images in both English and French and PS came back with a professional looking and attractive webpage for my startup. PS provided expert opinions as to colour schemes, design and other elements that make web pages successful. As expected, there are many steps, as well as back and forths at the beginning, but thus far things are taking shape and PS has been extremely responsive.

How many people from the vendor's team worked with you, and what were their positions?

I do not know precisely. As I understand, there is a dedicated team of web designers, graphic artists and managers on the team. I've been working directly with the director of PS, Genevieve, who has been great to work with.

Can you share any measurable outcomes of the project or general feedback about the deliverables?

I have only recently started this project. We are still waiting for Google to index it fully. Yes, I have seen an increase in traffic. It's looking good going forward.

We are two at my company. We have daily briefings (stand-ups and sit downs!) and plan our activities for the day, including who will be in charge of publicity, study the analytics and promote our service. We work as a team, and share the work equally.

What did you find most impressive or unique about this company?

No nonsense, straightforward and approachable! Genevieve answers her phone right away, and the team has smart ideas on how to optimize a web page.

Are there any areas for improvement or something they could have done differently?

A few hiccups at the beginning (mostly typos that were not caught) and image centering issues, but these were corrected swiftly.

We had an existing website, but it was very old and outdated. We needed a company that could help us develop a new website that is more interactive, engaging, and informational.

What was the scope of their involvement?

Perpetual Solution designed and developed a new bilingual website as well as a content management system (CMS) for us. The CMS allows us to go into the backend of our system and change the information on the site as needed. Aside from that, they also created an online form so we can review and edit the applications that we receive and store them in our database.

What evidence can you share that demonstrates the impact of the engagement?

We haven’t publicized the new website yet, but we’ve already noticed a tremendous increase in the number of calls we get regarding our loans through the system that Perpetual Solution has created for us.

Aside from that, I’ve also received a ton of positive feedback from our board members regarding the new website.

How did Perpetual Solution perform from a project management standpoint?

Perpetual Solution has performed well in terms of project management. There has been an easy flow of communication between us, and they’re always available to provide assistance and suggestions. Whenever I have any questions or concerns, they always get back to me immediately. They’re also efficient and incredibly good at explaining things in an understandable way.

What did you find most impressive about them?

Perpetual Solution has donated a great deal of time to us at no cost despite the tremendous amount of resources needed for this project. They’ve been really professional and generous. I also appreciate the video that they created for us to show us exactly how to make changes on the website ourselves.

They’ve also taken the time to understand our needs in terms of the site’s functionality. They’ve provided great recommendations to make the site even more functional and easy to use. They’ve really gone above and beyond to think of ways they could best fulfill our needs.

We started working around August 2020, and our engagement is ongoing. We have a contract until 2023, so they’ll be available to make changes to our site for the next two years.

Perpetual Solution knew what they were doing, and they understood the image that I wanted to project with my website. They respond to each of our requests, and they come up with solutions, which is what we want from the company that takes care of our website. Additionally, they’re very open to suggestions and ideas, and they implement the changes that we need.

How did Perpetual Solution perform from a project management standpoint?

Geneviève is excellent at project management and communication. She understood from the beginning where we wanted to go.

What did you find most impressive about them?

Perpetual Solution’s business model is impressive. They offer us support on a monthly basis, as opposed to other companies that just develop the project. We have a three-year commitment, and if we need any changes later, they’ll help us with them.

Talk to them, communicate clearly, and be open and flexible about your expectations. They’ll come up with solutions for your needs.
