A Clutch analyst personally interviewed this client over the phone. Below is an edited transcript.
BACKGROUND
Introduce your business and what you do there.
I’m a department director for one of the lead venture capital firms, primarily focusing on software companies. One of the things my department is responsible for is our company’s website.
OPPORTUNITY / CHALLENGE
What challenge were you trying to address with Mayven Studios?
We needed help with our website, so we hired Mayven Studios.
SOLUTION
What was the scope of their involvement?
Mayven Studios is on a retainer with us for website development services. Basically, they’re our development team, so they do everything we require related to web development, including maintaining our main site and building some ancillary sites.
Sometimes, we need special web apps or event sites decoupled from our main site, so Mayven Studios also help us with those. For example, they’ve helped us build our brand guidelines web app, an app we use to monitor and maintain all of our brands under our umbrella. At any given time, we have 15–20 web development projects going on.
Currently, Mayven Studios is redeveloping our main site. They didn’t develop that site originally; it was inherited. When they joined, they understood the need for its redevelopment, but they kept providing us with maintenance until the time was right.
As for the technology stack, Mayven Studios mainly uses WordPress — that’s our website’s CMS. Although they do a lot of custom HTML and CSS work for us, most of what they create is built so that we can easily go in and leverage the templates that they also create for us within WordPress.
In addition to web development, we’ve also leveraged Mayven Studios for web design. Still, we have an in-house design team, so we usually do all the design work upfront and bring Mayven Studios’ team when appropriate to bring those designs to life.
Mayven Studios also does a lot of website maintenance work for us — they don’t just focus on new builds. They help us fix bugs and support our website hosting to some extent, working with our IT team to ensure we acquire the right URLs and other similar things.
What is the team composition?
We mainly work with Nate and Connor (Partners), Luca (Technical Director), and Josh (Project Manager). Still, we’ve worked with quite a few other teammates from Mayven Studios. For example, they have a creative director and an entire design department, so we’ve also worked with Kamil (Designer) for some design work. Moreover, Art (Senior Developer) has done a lot of HTML5 animations for us.
How did you come to work with Mayven Studios?
Around 4–5 years ago, we were using another development agency that none of us liked. We had inherited that partnership, but they were constantly dropping the ball, so we knew that we needed a new development agency. At the time, someone who joined our team had worked with Mayven Studios on developing a website for their former company, so she introduced us to them.
Then, Mayven Studios flew Luca in from Italy to join the rest of the team, who were already in the Bay Area. We met with them and had a fantastic start to our working relationship. In fact, our retainer contract has grown over time. They’re now doing a lot more than what they were doing initially because they’ve proven their worth.
How much have you invested with them?
We’ve spent between $1 million–$5 million.
What is the status of this engagement?
We started working together in late 2018, and our engagement is ongoing.
RESULTS & FEEDBACK
What evidence can you share that demonstrates the impact of the engagement?
Since working with Mayven Studios, we’ve seen an improvement in all the areas their maintenance services cover. For example, they’ve helped us improve our SEO by fixing our site's structure and cleaning up how certain URL structures were created. As a result, we’ve seen an increase in our hits and click-through rate; they’ve been part of our success in that regard.
Moreover, the special pages that they’ve built for us to add to the main site have had a lot of social media coverage. Typically, these pages are created around big editorial projects that have some content to go with them. Mayven Studios has helped bring those visions to life — without them, our page launches wouldn’t have been successful.
Given that we’re in the middle of redesigning our main website, there will be a few new KPIs and other metrics that we’ll be using to measure the success of that project. However, we don’t have results for it yet.
How did Mayven Studios perform from a project management standpoint?
Mayven Studios always meets our deadlines and stays within budget. In fact, I don’t know how they keep up with the tasks we ask them to do. Their team has been fantastic at following through with deliverables and deadlines.
We have weekly Zoom calls with Mayven Studios every Thursday to keep up with the different projects in our queue at any given time. Still, my team reaches out to theirs as needed to provide art direction.
As for other collaboration tools, Mayven Studios uses Buildstack, a product they actually built. On it, we submit and track tickets for new features, new pages, or bug fixes. Buildstack is also linked to our email, so we can either email them directly or send messages through the platform. Additionally, we have our own Slack channel where people from both teams can communicate — that’s our direct line of communication.
What did you find most impressive about them?
I’ve worked with many development agencies over the years, and it has always been hard to find a talented frontend developer who understands the nuances of design. Not many developers can bring designs to life and offer suggestions for things the designers might have missed to collaborate in making a better end product. However, Mayven Studios is one of those few agencies that have that kind of talent.
Luca is Mayven Studios’ secret; he makes magic happen. He has the impressive skill of seeing the client’s vision before starting with the coding. He’s very understanding, asks the right questions, and assesses projects very quickly. Whenever Luca talks to a designer, he can speak their language. Additionally, he’s very visual, so he can bring designs to life very easily because he sees our concepts and knows how to build them.
I’m sure other people from Mayven Studios’ team are equally capable and talented. For example, Art is also very visual, and he can code great animations. However, Luca is the person I talk to the most, and he does a lot of the work. Having an engineer capable of making a unique UX come to life is hard to find. Overall, Mayven Studios is a one-of-a-kind agency, so anyone would be lucky to work with them.
Are there any areas they could improve?
Although Mayven Studios does a fantastic job at project management, I would like them to take more of a leadership role, be more proactive, and tell us when they need certain things from us. They’re not doing anything poorly, but they can do more in that regard.
Do you have any advice for potential customers?
I don’t have any specific advice for working with Mayven Studios. As with any other development or design agency, you need to know exactly what you want to do. If you have a good sense of what success looks like when engaging with a partner, you’ll achieve a better end result because you’ll leverage them in a more meaningful way.
