I am the project manager for a university's Electronic Patient Visit Assessment (ePVA) (C). The ePVA is designed for clinicians seeking a time-saving workflow, as it is a remote symptom monitoring platform for digital health interventions. In my role as Project Manager, I manage and facilitate projects from their start to beginning - handling contracts, finances, and everything in between.

We wanted to create a short, 30-second clip that highlighted some of the features of the university's ePVA. The problem was that, frankly, the university's ePVA is difficult to explain to the "average Joe" - as are many things in healthcare. The video process was designed like this: 1) Scope of work 2) Strategy 3) Scripting 4) Storyboard 5) Creation Throughout this process, it was iterative work. The animation studio would constantly ask for feedback during every step of this process to ensure we were satisfied with the direction that the video was moving.
What was your vendors' project management or feedback process?
We were engaged with three members of the vendor's team - they all worked in collaboration on the animation itself - while some handled the finances directly whereas others were focused on the end-product.
Can you share any outcomes from the project that demonstrate progress or success?
The video is engaging and creates a clear message of where we create value in our space. This is exactly what we were hoping to do!

Tremendous. Communication was clear from the very beginning and all deadlines were met without delay. All members of the team were very communicative and would meet with us virtually upon request if there was something that we needed to discuss.

Their team understood fashion, so they started by pitching us a few concepts. We wanted something fast-paced and engaging, but without actual actors, so they created a motion graphics concept that resonated with us. Once we decided on the concept, they sent us a script outline. We tweaked it a bit to match our internal messaging and then dove into production. They took charge of this phase and made it seamless. We only made a few tweaks to their initial version before they moved on to the final edit.

Our initial concept was to produce a Kickstarter-esque video that detailed our product development process and the research behind the product. Luminoustudios suggested we pivot to a more brand-focused video and provided examples for us to evaluate. We loved the idea and ended up creating a narrative piece showcasing a day in the life of someone that uses our product. The final video was more polished, aesthetic, and story-driven than our original idea could have been.

They were hyper-flexible in allowing us to provide input throughout the process. They were open to feedback at every turn and struck a great balance between guiding with their professional expertise and accounting for our input.

We’re only in the early stages of distribution, but we’re incredibly happy with the final product. Anecdotal feedback has been extremely positive, especially regarding the video’s look and feel and production quality.

Introduce your business and what you do there.
I’m a senior producer at The Future Project, and I provide video, photo, and other creative work focused on telling students’ stories and giving them opportunities to have their voices heard. Our organization works with young people in high schools across the country to find out what their dreams and passions are, then use them in order to transform their schools and communities.
What challenge were you trying to address with Luminoustudios?
We were in a partnership with a large telecommunications company, and they were looking to do some summer IT camps for younger people interested in technology and coding. One of the camps was held where we’re located in New York, so part of our partnership was providing opportunities for our students to be selected to participate in their camps. We had a number of spots reserved for them, so we had our students submit applications to be part of the program.
As part of that partnership, they wanted us to produce a video about the student experience. We have an in-house video production team, but we are also working on other projects. We hired Luminoustudios to find camera people and editors to partner with us in finding stories and producing the video. We wanted a studio production team that could provide a lot of those resources and do a lot of the leg work, but they also needed to work with us in understanding our narrative.
What was the scope of their involvement?
They were involved in storyboarding and scripting the video. We had an idea going into it of what we wanted to do based on our knowledge of our students. We narrowed it down to one student to focus on as they experienced the program. We centered the narrative around key moments as they were going in and coming out, and how they changed over the course of those three weeks.
After we determined that, we talked with Sania [Co-Founder & Head of Production, Luminoustudios] about different options of students. She helped us figure out some ideas for moments we might want to capture based on the programming that was going on. They were helpful in walking us through what the video would ultimately look like at the end depending on what students we chose, different shots, and how it would be interpreted. They provided creative input and more manpower around camerawork and editors.
What is the team dynamic?
I ended up being the person who was producing on the ground at the venue most of the time. In the couple of weeks leading up to the project when we were actually filming, that’s when I worked most closely with Sania. On the days that we were actually shooting, I was mainly working with the 2 camera people that she hired. I worked directly with them on shots and communicating with the staff, and they also communicated with our student to make sure things were going well.
How did you come to work with Luminoustudios?
Someone we know runs a platform that matches people looking for videography services with production studios. He sent us a couple ideas of different companies, and one was Luminoustudios. We really liked their look and stories because they were focused on impact and social issues. We just got a good feeling from them. They were focused on the power of the narrative and the arguments they wanted to make for their clients rather than being fancy and impressing people.

We spent $10,000.
What is the status of this engagement?
We worked with them from July 2016–September 2016.
What evidence can you share that demonstrates the impact of the engagement?
The telecommunications company posted it online, but they also used it a lot to communicate internally with their employees and executives about that particular program. Their team was really excited about the end product.
One of the things they talked about was how happy they were with our choice of focusing on one student and their progress throughout the program, rather than just day-to-day activities. They were impressed with being able to really hear that student’s voice because it was important to them that they could communicate at large and with their internal colleagues about the value of their work.
The students involved in the program and the one we focused on specifically thought the video was really authentic and presented their experience in a compelling way.
How did Luminoustudios perform from a project management standpoint?
They performed really well. They had hired an editor who they’d worked with previously, but it turned out that they weren’t fit for our project and didn’t understand our vision. I talked with Sania, and she tried to talk to the editor, but they just didn’t work out even after being provided with concrete feedback and specific directions. Sania was cooperative and quick in finding us a new editor, and let us talk with them beforehand to make sure our ideas were aligned.
The way that they helped us solve that problem and took ownership of the issue by finding a new editor for us was impressive, and we were grateful for that. The second editor she found was really great.
They were really communicative throughout the entire process. They checked in every day to make sure that we had everything we needed, and that the camera people were doing what we needed them to. They made sure if there were any problems or changes in the schedule that we knew about it ahead of time. We could really work together seamlessly.
What did you find most impressive about them?
There’s a baseline in any production studio that hiring a good team is important. The camera people need to be creative, dedicated, and really focused on their work. Luminoustudios provides all of this, and they also have all the foundational elements needed to succeed.
They care about their client's story as if it were their own. They’re passionate about what their clients are doing and what they’re trying to communicate, so they get really involved in the narrative. They’re committed to delivering a good product, and contribute their ideas to help their client figure out what exactly needs to be communicated. They’re very involved in not only the video itself, but in the exact edits, shots, and music as well.
Are there any areas they could improve?
We’re very happy with the work that we did with them. There are always things with creative work that don’t end up as originally envisioned, so it’s hard to pinpoint that.
