The challenge
BackupTyping is a fast-growing property dictation company in the UK. As they grew, the company operation was getting complicated because of the use of outdated software and manual processes.
The solution
With a team of Frontend and Backend devs, UX/UI Designers, a Software Architect and a Product Manager, we developed an end-to-end solution that included a Mobile App and a Web App to streamline the business processes. We started by truly understanding the ins and outs of each part of the dictation process and how BackupTyping operated. Then, we prototyped the UX and User Journeys and quickly iterated it with the business stakeholders. Finally, we built, deployed and evolved the end to end solution under a Scrum methodology.
Technologies involved
Angular, NodeJS, MongoDB, Firestore, FCM, Flutter IOS/Android, Firebase Realtime, Firebase Storage, Google App Engine, Google Cloud Storage, OCR, Speech Recognition and external integrations with Microsoft 365, BigHand, custom SMTP servers and custom FTP servers.

Integration between Budget Estimation and CRM
Context:
With the objective of improving their Marketing and Sales process, Docbraces had the initiative to connect a dental plan calculator with their CRM (HubSpot) so they could have more personal conversations with their customers.
Benefits:
- Salespeople had a better knowledge of their leads and knew exactly what to offer based on what they answered on the calculator.
- Leads were better qualified.

Digital Platform for Internal Use
Context:
With the aim of being more efficient through digitalization, Omnicon SA makes the decision to create its own internal platform for the management of its projects around the world. This platform is called Kairos, with a fairly broad roadmap of functionalities that include the Creation, Monitoring, Billing and Budgetary Control of the company's projects.
Benefits:
- Real-time access to project KPIs by Senior Management, enabling them to make timely decisions based on high-value information.
- The Lean methodology implemented by Leanware allowed Omnicon to iterate along with the evolution of the business requirements in a very agile manner both in time and budget.

Analytics Architecture Optimization
Context:
As a consequence of a piling up of data volume in an analytical pattern without a Data Warehouse, some analytical documents were taking more than 3 minutes to load, which is unacceptable to an end user.
Benefits:
- Load times went from 3 minutes average to 2 seconds.
- Analytics Architecture simplified by querying 1 data source instead of 5.
- End user was happy again.

App Creation
Context
Wanting to simplify and achieve a greater scope in the search and offer of services, our client decided to pursue an idea of a Digital Platform to connect potential consumers with people who offer valuable and necessary services for the day-to-day life of their community.
What did Leanware do?
Applying methodologies such as Lean Startup, Kanban Software Development, Test-Driven Development and 12factorapp, we developed a Minimum Viable Product where people with a certain social validation within the Oki platform could create businesses to offer their services to consumers. Users can easily find and contact, through various filters or geolocation, the services they may need in their day to day and obtain them through very human, friendly offers from the business owner. The product consisted of the following:
- Progressive Web App as Front-end of User interaction.
- API in ExpressJS for product logic, hosted on Google App Engine.
- Persistence in MongoDB.
Benefits
Our client obtained a product with high quality standards, ready to be monetized.
The Lean methodology allowed for accurate and agile iteration based on the feedback received from users.

A Clutch analyst personally interviewed this client over the phone. Below is an edited transcript.
Introduce your business and what you do there.
I’m the manager of dental engagement at Docbraces. We’re a network of orthodontic clinics across Canada and parts of the US. I assist our treatment coordinators and clinics, engage with their dental community, and help them with their patient conversion to get them to start orthodontic treatments.
What challenge were you trying to address with Leanware?
We wanted to develop a software tool to help our clinics create contracts for the patients’ orthodontic treatments. The tool also needed to create a product that our clinics could use as a presentation of treatment and payment options to work with the patient and find the option that could work best for them.
What was the scope of their involvement?
Leanware has designed and developed a web application for us. First, we had a discovery phase where we shared our current tool and our vision for what we wanted. We also shared the parameters the application needed to have.
For the UI/UX design, Leanware recommended some features and functions to make development easier and the final app more straightforward for users. We already had our user personas. Leanware guided us on the best way to make the app secure and user-friendly. When they did the initial design, they sent us Figma files and Loom videos for us to approve before coding.
From there, Leanware built the application in sprints. During development, they presented us with the app for feedback and testing. We provided live feedback, and Leanware made adjustments and improvements throughout the development stage.
Currently, Leanware is developing a new version of the app based on our clinics’ feedback. They also provide maintenance for the app.
What is the team composition?
We mainly work with Carlos (CEO), Andrea (Product Manager), and Jarvy (Co-Founder). Additionally, 5–7 other members of Leanware’s team also work on our project.
How much have you invested with them?
The initial app development cost about $50,000.
What is the status of this engagement?
The initial development lasted from July–August 2022, and our last update was in January 2023. Our engagement with Leanware is ongoing.
What evidence can you share that demonstrates the impact of the engagement?
The tool Leanware produced has increased our visibility to multiple clinics simultaneously, helping us save person-hours and our clinic team members save time. Patients who can't come to our offices can now sign contracts digitally, which has been a huge help. We can collect patient information more securely thanks to Leanware's work.
Our internal team also likes how user-friendly the app is — it's straightforward. Our teammates were used to a complicated Excel spreadsheet, so they've found the web app much simpler, especially for new staff members. The app makes everything easy to follow and hard to make a mistake. Overall, we really like the app's flow and its look and feel.
Moreover, Leanware is very responsive to our feedback and any bugs that arise. We've been so happy with Leanware's work that we've chosen to continue our relationship with them and have them build the app's next version.
How did Leanware perform from a project management standpoint?
They're excellent at project management. The team hasn't only stayed within our budget but also included extra tasks and requirements while maintaining the same deadlines and costs.
We have direct communication with them through Slack and email, and they're very responsive and always follow through on their promises. For example, I sent them a message about a spelling error this morning, and they fixed it within a minute.
During development, we held twice-weekly Google Meet or Zoom meetings with the team to review the status. Leanware is very open and transparent and always looks to us for clarification.
What did you find most impressive about them?
Leanware's biggest strengths are their dedication and affordable fees.
Are there any areas they could improve?
I can't think of anything for Leanware to improve; they've been amazing.
Do you have any advice for potential customers?
Maintain open communication with Leanware; they're very responsive and open to feedback. They want to hear our feedback regularly to improve because they take a lot of pride in their work. We've been very happy with them and would recommend them to anyone looking for these services.

A Clutch analyst personally interviewed this client over the phone. Below is an edited transcript.
Introduce your business and what you do there.
I’m the co-founder and CEO of Elephant CPA. We’re a Cloud-based practice management software solution for small to medium size accounting firms across the United States.
What challenge were you trying to address with Leanware?
Another company created our MVP, but we felt like we needed to move on from them to a new development team to scale the business. We wanted to get some experience working with a team that had built in this industry and had experience working with other companies similar to ours.
What was the scope of their involvement?
Leanware has developed some custom software for us and made improvements to our existing solutions. They're heavily focused on security, which is our main concern when it comes to our clients and the sensitive information that we're passing back and forth through the software. They installed all our endpoints and some cybersecurity checkpoints to make sure that everything is secure on the front- and backend.
Any time we need some type of changes on the software itself for an update or refresh, they’ll create a mock-up on Figma to show us what the end result would look like. Their development team will then work on the architecture of it, and they will put it into production after it's been tested heavily.
What is the team composition?
We’ve worked with Carlos (CEO), Jose (Project Manager), Jhoam (Software Developer), and Carolina (Product Designer).
How did you come to work with Leanware?
Leanware was recommended to me by our CTO. I really enjoyed our early conversations with Carlos, so I decided to go with them for this project.
How much have you invested with them?
We spend between $4,000–$5,000 per month. I’d say we’ve spent somewhere around $90,000 in total so far.
What is the status of this engagement?
We started working together in February 2022, and the engagement is ongoing.
What evidence can you share that demonstrates the impact of the engagement?
The feedback from our customers has been outstanding. One of Leanware’s best abilities is that if there's ever a firestorm, they're always quick to put it out, so the measurability from a comfort standpoint is pretty high.
Overall, Leanware has done a phenomenal job, and we enjoy the results that they're giving us. We’re really excited to see where we take the product from here and how Leanware can help us.
How did Leanware perform from a project management standpoint?
Leanware has performed well in terms of project management. They work on an agile basis and deliver on a bi-weekly schedule. We meet with them three times per week to keep everything transparent.
We typically communicate through Slack, Microsoft Teams, and Zoom, and we use Jira for our tickets.
What did you find most impressive about them?
Leanware is transparent, and they’re very honest with the work that they do. We’re impressed with their advanced knowledge of our software, business, and what we’re trying to accomplish.
Are there any areas they could improve?
It would be great if they could gain a deeper understanding of our competitors and the business side of the software. Other than that, they do a pretty good job of keeping everything abreast.
Do you have any advice for potential customers?
Consult with Carlos and let him know your goals and what you want from your project.

Introduce your business and what you do there.
I’m the development program manager at a consulting agency.
What challenge were you trying to address with Leanware?
We needed help in software development.
What was the scope of their involvement?
First, we discussed with Leanware’s team the software we wanted to develop. They didn’t require us to have a well-defined scope, and they understood our ideas quickly. They translated our description into use cases and stories and estimated the project’s cost.
After that, Leanware has proceeded to develop the app in two phases. They’re using Python, DynamoDB, and AWS Lambda to build the software, and it’s hosted in AWS. It has a microservices-based architecture.
What is the team composition?
We’ve worked with Carlos (CEO), a backend developer, a frontend developer, an architect, a designer, and a project manager.
How did you come to work with Leanware?
We found them through a Google search. We chose them due to their quick understanding of the business problem and their flexibility to start despite having unclear requirements.
How much have you invested with them?
We’ve spent $40,000.
What is the status of this engagement?
We’ve started working together in August 2021, and our partnership is ongoing.
What evidence can you share that demonstrates the impact of the engagement?

Please describe your company and your position there.
I am the Managing Director of an outsource transcription service company based in the UK.
For what projects/services did your company hire Leanware, and what were your goals?
Our existing workflow system was around 15 years old and didn't include features that are now necessary, it had become unstable and unsupportable. We needed a system that was built in up to date software incorporating features that are now required as well being a system that could be updated and expanded as and when necessary.
How did you select this vendor and what were the deciding factors?
Leanware were recommended to us via a potential consultant. On speaking to the team, we believed they were able to offer us a comprehensive solution to our issues at a price that was affordable. They have a can-do attitude and an ability to explain technical issues in layman's terms.
Describe the scope of work in detail, including the project steps, key deliverables, and technologies used.
They designed and developed a cloud based workflow system incorporating workflow management, invoicing and timesheets both internally and externally as well as mailing and CRM solutions all in one comprehensive, intuitive system.
How many people from the vendor's team worked with you, and what were their positions?
There were three people we had regular contact with including the CEO and developers. Each of them responded quickly, clearly, and helpfully to all queries.
Can you share any measurable outcomes of the project or general feedback about the deliverables?
The system developed by Leanware should save us 50% of manual intervention on the receipt and sending of work and give our clients a simple, intuitive system to use to send work to us and the ability for them to monitor costs which is invaluable to them. The system will also upgrade our ability to market to potential new clients and keep in regular with current clients without impacting on the general day to day business excessively.
Describe their project management style, including communication tools and timeliness.
The project management was great. The team were patient with our non-technological knowledge and brought great ideas to the table going beyond what we originally had in mind. The team always responded quickly using email (our requested manner of communication) and quickly booked in Zoom/Teams calls whenever needed to explain matters more thoroughly. They also provided Loom videos for detailed instruction.
What did you find most impressive or unique about this company?
The communication was always excellent. They have a can-do attitude and a real desire to give us the system that we really want.
Are there any areas for improvement or something they could have done differently?
We have been completely delighted with all aspects of working with Leanware.

A Clutch analyst personally interviewed this client over the phone. Below is an edited transcript.
Introduce your business and what you do there.
I’m the CEO of a fast product provider company.
What challenge were you trying to address with Leanware?
We contacted Leanware to create a specific sales tool for one of our clients. They created a frontend that then sits between our site and the eventual payment page.
What was the scope of their involvement?
Our client uses our software platform as their CRM, and they want to be able to sell their clients memberships and take balance payments. The client has it set up, so they are able to quickly choose the membership level and payment method.
I did a Balsamiq mock-up for Leanware. Then, they provided us with a written document explaining their understanding of what it is we wanted. After we agreed on that, they went on to build what we needed.
They created a frontend tool on our Instant Wholesale Service (IWS) environment with AWS Lambda functions, where they added a dedicated URL and an admin section in the backend. They did all the development for that based on our requirements. The actual deliverable is a tool that the client uses to set up new products and payment pages. Not only that, but they are also providing 90 days of ongoing support.
What is the team composition?
We are working closely with two members of Leanware: Carlos (CEO) and Jarvy (Co-Founder).
How did you come to work with Leanware?
This is not the first project we've done with Leanware — it’s just the most recent. We decided to work with Leanware because they are very easy to contact and work with. They’re also very professional and very clear on deliverables and deadlines.
How much have you invested with them?
We’ve invested $5,000 so far.
What is the status of this engagement?
We started working in February 2021, and we are starting a new project together
What evidence can you share that demonstrates the impact of the engagement?
The quality of the work and the ease of making changes where we need to have them are excellent. From a general customer satisfaction perspective, our client wouldn't be able to run that aspect of their business at the moment if it wasn't for the work that Leanware did.
How did Leanware perform from a project management standpoint?
We communicate through Zulip, which is an open-source version; it’s a bit like Slack. Whenever we need to have calls, we have them on Google Meet or Zoom. In general, they are fantastic with project management.
What did you find most impressive about them?
We are impressed by their ability to stick to the budget, provided that we stick to the requirements. There's no sudden increase in the budget, and they're very clear on what will be needed to be paid for extra.
Are there any areas they could improve?
From the experience that we had with them, there is none at the moment.
Any advice for potential customers?
Follow their process because they're very good at being clear on what they need in order to deliver and provide the best results.

A Clutch analyst personally interviewed this client over the phone. Below is an edited transcript.
Introduce your business and what you do there.
I’m VP of marketing at Canadian Orthodontic Partners. We’re a network of orthodontic clinics focused here in Canada. We represent over 50 practices across the country. I work in a support service organization so we support the efforts of finance, marketing, and HR. We lend support services to those clinics across the country.
In my role, I’m responsible for everything from branding to patient demand to lead acquisition. Essentially, I’m responsible for everything encompassed in building out our virtual care model as well as all the communication efforts for the company.
What challenge were you trying to address with Leanware?
We brought them as an ad hoc developer to handle some grunt work that I don’t want to bog down my current agencies with. I had a very specific need that needed to be addressed quickly. Leanware was able to help with that.
What was the scope of their involvement?
The project was a mild integration between my consumer-facing website and our CRM system as well as other databases. They were instrumental in understanding my problem and building a solution.
We use HubSpot mostly for email campaigns, but we do use it as an integration point. Our practice management software is in our clinics. Most of them don’t have open API, so we bridged some gaps with our CRM to allow us to more easily communicate with our patients.
What is the team composition?
I worked directly with Carlos (CEO).
How did you come to work with Leanware?
I found them on Fiverr.
How much have you invested with them?
I invested about $500 CAD (approximately $380 USD).
What is the status of this engagement?
This project ran from June–July 2020. They’re on my radar for future projects.
What evidence can you share that demonstrates the impact of the engagement?
We had a primitive version of our payment calculator tool on our website and as a result, we got just south of two million dollars’ worth of revenue for the company. We can directly attribute it to patients coming through that tool. With this heightened experience and enhanced UX from a data point perspective, I have no doubt that the million-dollar figure will increase in the future.
Leanware is incredibly responsive. Their team is quick to reply and fantastic at tackling problems. I like their approach. When I presented them with a challenge, they took it on personally. It makes it fun for them, and I can sense that they enjoy digging into figuring out a solution.
How did Leanware perform from a project management standpoint?
We communicated through email and Fiverr chat. The projects they’ve taken on have been quite small to date, so we haven’t needed true project management touchpoints.
What did you find most impressive about them?
Carlos’ enthusiasm and communication were major highlights of the engagement. I’ve worked with other offshore developers and unlike them, Carlos was always connected and communicating. That kind of response time is excellent.
Are there any areas they could improve?
Nothing, that comes to mind. They tackle projects quickly and efficiently.

Introduce your business and what you do there.
I’m the co-founder and head of IT at Toleap Consulting AB, an IT consulting agency.
What challenge were you trying to address with Leanware?
We needed to reconnect a couple of defunct services so that we’d be able to talk to each other. We had pre-existing documentation for these services, but we expected the implementation to be convoluted. We needed some professional help in connecting them by way of APIs.
What was the scope of their involvement?
We needed to connect the Twitch streaming service with FastSpring, an e-commerce company that allows for digital storefronts. Essentially, they streamlined our purchase notification system. They developed a product where if a customer purchases an item, a notification entailing the details of the purchase is sent to the other service. That information is then processed in the secondary system.
We’re now executing some localization projects in Spanish and Portuguese. We’re working to improve the web solution they delivered in preparation for a major use case.
What is the team composition?
We worked with 2–3 teammates. One of them was our primary points of contact, which worked out really well.
How did you come to work with Leanware?
I found them on a freelancing platform. We’d been looking for a while since the scope of the project required a niche skillset. We needed the right expertise and resources to handle the task. Leanware was the first company we came across who seemed to meet our requirements. We had a lengthy discussion with them before deciding that they were the right fit for us. Our collaboration has since grown, so they now handle multiple projects for us.
How much have you invested with them?
We spent $1,200 on that project.
What is the status of this engagement?
We started working together in June 2020, and the work is ongoing.
What evidence can you share that demonstrates the impact of the engagement?
Leanware has adhered to our specifications well, so everything has been working the way it should. I feel that that’s a major testament to the quality of their work.
How did Leanware perform from a project management standpoint?
We used Slack, Discord, and GitHub to collaborate.
What did you find most impressive about them?
They maintain really clear communication. They deliver the exact requirements in an exceptionally timely fashion. Their documentation of the final product is similarly precise and reliable.
Are there any areas they could improve?
No. I’ve been very satisfied with them thus far.

They were interested in identifying and solving our problem. They thought more about what the users were facing than about the technology itself.
Are there any areas they could improve?
I have nothing in mind at the moment.

A Clutch analyst personally interviewed this client over the phone. Below is an edited transcript.
Introduce your business and what you do there.
I’m the digital transformation lead at Omnicon, a solutions and consulting company.
What challenge were you trying to address with Leanware?
We needed help with the development of an internal management platform.
What was the scope of their involvement?
They developed the MVP of our internal management platform. It’s going to help with all the project management of the company.
What is the team composition?
I’m in contact with Carlos (CEO) and one other person. There are more people behind the scenes.
How did you come to work with Leanware?
Carlos used to work at our company before starting Leanware.
How much have you invested with them?
We spent less than $10,000.
What is the status of this engagement?
We started working together in August 2018, and the work is ongoing.
What evidence can you share that demonstrates the impact of the engagement?
Everyone loves the software and says it’s very good for the business. The software is very intuitive. It was something we really needed.
How did Leanware perform from a project management standpoint?
We use Microsoft Teams. It’s a really nice partnership. They offer great support. When we need something, they support us quickly. When we talk with Carlos, he shows us that he understands what we need and adds value to our process. It’s been a really nice experience working with him. I’m in discussions with management to work with him on a second project.
What did you find most impressive about them?
Their work is very good. They’re transparent. When they’re not able to do something, they let us know why it’s not possible, and then they suggest other solutions. They’re very quick when they commit to something. They’re very professional. I really like working with them.
Are there any areas they could improve?
My management said that they are expensive but their professional work is worth the price.
Leanware's deep understanding of the client’s needs has provided efficient solutions. They have improved business processes and have produced an intuitive and user-friendly system. Also, they consistently involve the client on the project for quality assurance, which secures ongoing partnership.
