OPPORTUNITY / CHALLENGE
What challenge were you trying to address with Leads Digital?
We hired Leads Digital to streamline and scale the ERP/CRM infrastructure for HeroFreelancer. Our goal was to build a centralized, automation-driven operational backbone. Our primary objectives were to unify freelancer onboarding, client management, billing workflows, escrow tracking, and internal project coordination into a single integrated system. We wanted an ERP/CRM environment that could reduce manual processes, improve visibility across departments, and support rapid growth without operational bottlenecks.
SOLUTION
What was the scope of their involvement?
Leads Digital helped design a scalable architecture that automated lead management, freelancer lifecycle tracking, client communication, and reporting dashboards. The goal was not just software implementation but creating a data-driven ecosystem that improves decision-making, efficiency, and long-term platform scalability while maintaining a smooth experience for both clients and freelancers. The scope of work handled by Leads Digital for the ERP/CRM project at HeroFreelancer covered end-to-end system architecture, workflow automation, and operational integration. Their team designed and implemented a centralized ERP/CRM framework that connects freelancer onboarding, client lifecycle management, escrow and billing operations, project tracking, and internal coordination into a unified platform.Key deliverables included a custom CRM dashboard for lead and client management, freelancer lifecycle tracking modules, automated billing and escrow monitoring, reporting and analytics dashboards, and role-based access controls for internal teams. They also built automation pipelines to reduce manual work, improved data visibility across departments, and ensured the system was scalable for future growth.Their involvement was comprehensive across nearly all core aspects of the ERP/CRM project. They handled system architecture, workflow design, automation logic, dashboard development, and integration of operational modules end-to-end.Internal strategic decisions, such as business rules, policy definitions, and platform-specific workflows, were guided by our in-house leadership, but Leads Digital translated those requirements into technical execution. Their role extended beyond development into optimization, scalability planning, and performance refinement. In practice, they functioned as a full implementation partner rather than a limited vendor, ensuring the ERP/CRM ecosystem aligned with our long-term operational roadmap.

RESULTS & FEEDBACK
What evidence can you share that demonstrates the impact of the engagement?
The ERP/CRM project delivered by Leads Digital produced measurable operational improvements for HeroFreelancer within the first phase of implementation. We saw a significant reduction in manual administrative work through automation of onboarding, billing, and workflow tracking, which improved internal efficiency and response times.Lead and client management became centralized, giving our team real-time visibility into pipeline activity and project status. Reporting dashboards enabled data-driven decision-making, helping us track freelancer performance, client engagement, and revenue flow more accurately. Escrow and billing automation reduced processing errors and delays, while structured lifecycle tracking improved coordination across departments.Overall, the system increased operational transparency, reduced bottlenecks, and created a scalable foundation that supports platform growth and higher project volume without increasing overhead. After implementing the ERP/CRM system with Leads Digital, we observed measurable efficiency gains across several operational areas. Manual administrative workload related to onboarding, billing, and project tracking dropped by approximately 40%–50%, primarily due to workflow automation and centralized dashboards.Response time for internal coordination and client handling improved by around 30% as teams could access real-time data instead of relying on spreadsheets or manual updates. Billing and escrow processing errors were reduced by an estimated 60%, thanks to structured automation and validation checks. Reporting that previously took hours can now be generated instantly, cutting reporting effort by nearly 70%. Overall, these improvements allowed us to scale operations without increasing staff overhead while maintaining higher accuracy and visibility.Beyond operational efficiency, we tracked several broader performance indicators to evaluate the success of the ERP/CRM rollout. One key metric was client satisfaction, where we saw more consistent communication and faster turnaround times, contributing to a noticeable improvement in repeat client engagement.Freelancer retention also improved as onboarding, payments, and project coordination became more predictable and transparent. We monitored project cycle time, onboarding speed, and dispute resolution rates, all of which showed measurable improvement after automation. Internally, management gained clearer revenue tracking and forecasting visibility, supporting more confident planning decisions. While revenue growth is influenced by multiple factors, the ERP/CRM system created a scalable infrastructure that directly supports higher transaction volume and platform expansion without proportional increases in operational cost.We used a mix of structured feedback and analytics after implementing the ERP/CRM system. On the satisfaction side, we introduced short post-project feedback surveys and periodic client check-ins to capture qualitative insights about communication, delivery speed, and overall experience. These surveys were supported by in-platform analytics that tracked response times, project completion rates, and repeat engagement. For freelancer retention, we monitored lifecycle data inside the system — onboarding completion, active project frequency, payment turnaround time, and re-engagement rates. The built-in dashboards allowed us to correlate satisfaction feedback with behavioral data, giving a clearer picture of retention trends. This combination of survey feedback and operational analytics helped us measure impact in a structured, data-driven way rather than relying only on anecdotal impressions. The architecture was clean, reliable, and built for long-term growth.
How did Leads Digital perform from a project management standpoint?
Project management from Leads Digital was structured, transparent, and highly responsive throughout our ERP/CRM project. They followed a milestone-driven approach with clear timelines, sprint planning, and regular progress reviews, which kept all stakeholders aligned. Communication was consistent, and we always had visibility into priorities, deliverables, and next steps.Key phases of the project were delivered on schedule. When scope adjustments were needed, they were handled proactively with realistic timelines and clear documentation. Their ability to adapt without disrupting momentum was a major strength. Overall, the engagement felt organized and predictable, which gave us confidence in planning around the rollout and scaling the system. We communicated via in-person meetings, virtual meetings, and emails or messaging apps.
What did you find most impressive about them?
What impressed us most about working with Leads Digital was their ability to combine technical execution with a deep understanding of business operations. They didn’t just build software — they translated our workflow challenges into scalable systems that improved how the company runs day to day.Their proactive communication, problem-solving mindset, and focus on long-term architecture stood out. Instead of quick fixes, they designed solutions with growth in mind, ensuring the platform could scale without constant rework. The balance between speed, structure, and strategic thinking made them feel more like an internal technology partner than an external vendor, which is rare and extremely valuable.
Are there any areas they could improve?
Overall, our experience was very positive, and there were no major gaps in delivery. If anything, the only area for improvement would be expanding documentation and internal training materials earlier in the rollout so our team could onboard faster onto new workflows. That said, whenever we raised feedback, their team responded quickly and adjusted processes without friction. They were open to iteration and treated the engagement as a partnership rather than a rigid contract. The willingness to refine and improve continuously outweighed any minor friction points and strengthened long-term collaboration.
