Introduce your business and what you do there.

I’m the CTO of a Boston-based company that started as a managed IT provider and slowly evolved into web development and complex, enterprise-grade system design and development company. Since 2013, we’ve evolved into an established business with a good customer record, mostly in web development.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with {IT}Prosteer?

We get smaller projects sometimes, like marketing websites, small applications, and MVPs or initial versions of some ideas. We bring {IT}Prosteer in to deliver a small, fast, and efficient process. They jump in on the whole scope, from project management to design, architecture, implementation, and QA.

SOLUTION

What was the scope of their involvement?

A company reached out to us to develop a small SaaS platform—an application with fewer than 20 pages. {IT}Prosteer put together a dedicated team comprised of a project manager, a business analyst, their CTO, and developers. We brainstormed and gave them all the documents they needed, and they’ve been working on the initial mockups and scoping the work. We had conversations with the client to create a contract covering deliverables, timelines, and what the responsibilities of each side were.

I’ve also worked with {IT}Prosteer on some marketing websites, mostly WordPress-based. We’ve worked on a couple of small PHP-based SaaS platforms as well.

What is the team composition?

I’ve worked with 10 people from {IT}Prosteer on our biggest project.

How did you come to work with {IT}Prosteer?

I initially found them on Upwork, where they were offering dev work for ERPs on the automation side. We ran a couple of projects, and it slowly evolved into a good partnership. I started using them more and more as an outsourced provider.

How much have you invested with them?

In total, we’ve spent around $150,000–$200,000.

What is the status of this engagement?

We started working with {IT}Prosteer in 2015, and it’s ongoing.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

They have a response time of less than one hour for urgent customer needs. There’ve been zero projects where {IT}Prosteer didn’t deliver on time.

How did {IT}Prosteer perform from a project management standpoint?

The communication has always been straightforward and prompt, without any delays from their side. The payment and reporting side of the work is well-structured, and they’ve given me explicit breakdowns of who was working on that. They have state-of-the-art reporting, they use an internal CRM where they keep track of everything, and they give me detailed reports on the whole scope of an engagement. We’ve established a trusting relationship and use Zoom and Skype for calls.

What did you find most impressive about them?

They keep their promises. In the industry, it’s very common to overpromise and underdeliver, but {IT}Prosteer works hard to deliver what they promise.

Are there any areas they could improve?

If they extended their technology stack then they’d be more applicable to my different projects. So far, they’ve been good at what they do.

Do you have any advice for future clients of theirs?

I advise clients to put all their thoughts on paper, to think through what they’re trying to achieve and to put in as many details as they can. That’s super helpful for understanding the context of the problem and how to solve it in the most creative way. It can save tons of money for customers as well. There’ve been many times when we had to solve something in a way that wasn’t straightforward.

We achieved a return on investment by synchronizing our business data, automating our sales process, and synchronizing our website with other online retailers. Most importantly, we saw clear statistics that enabled us to make more reasonable business decisions. Since we have more ideas, we continued our collaboration.

We interviewed more than 10 vendors. ITPROSTEER gained our trust by focusing not only on the technical tasks but also on our business model and ambitions. The key difference was their willingness to investigate further and look for optimal solutions.

Describe the project in detail.

ITPROSTEER has assisted us with UX/UI optimization, full-stack development, and backend programming. After an initial Skype meeting, we sent a detailed scope of tasks involved. They reviewed our requirements, assessed feasibility, and came back with their proposed cost and deadline. They’ve fixed bugs and implemented cosmetic and functional changes like simplifying the registration process. Our users now have the ability to upload documents, conduct job searches, and post job listings.

What was the team composition?

We were introduced to their project manager and two developers via a Skype meeting. As the complexity of the project grew, new developers were added depending on their specialization and availability.

RESULTS & FEEDBACK

Can you share any outcomes from the project that demonstrate progress or success?

While the site still requires more work is still needed, ITPROSTEER has improved its UX and reliability.

How effective was the workflow between your team and theirs?

We use a project management tool called Bitrix24. So far, they’ve met all of our deadlines and send weekly updates. In fact, we’ve had to ask them for more time to prepare for the next phase of development.

Communication is very easy—we’ve never had difficulties scheduling a conversation or getting a quick response. In my opinion, having a group chat facilitates communication and helps avoid ambiguity. They are also quite accommodating and open to feedback. Not only do they reach out for additional guidance, they also offer suggestions for achieving our core objectives.

What did you find most impressive about this company?

Instead of just asking for a list of things to do, they really try to understand our needs. They have the necessary in-house expertise for building websites, which means that they can take care of our requests from start to finish.

Are there any areas for improvement?

Not really. We are satisfied with their performance and look forward to a long-term engagement.
