• To design the architecture of a flexible and configurable document approval management system: The system must accommodate dynamic and evolving approval workflows, allowing easy customization of approval hierarchies, document types, and business rules without requiring extensive rework.
• To develop the front-end and back-end of the aforementioned document approval management system: The front-end should provide a seamless user experience, enabling users to interact intuitively with the system, while the back-end should handle complex workflow logic, data storage, and ensure secure access to documents.
• To migrate the existing corpus of documents residing inside an older DMS into the new system: Ensure a smooth migration of all legacy documents, preserving metadata, approval histories, and access control settings, while maintaining data integrity throughout the process.
• To set up the development and CI/CD process: Establish automated and efficient development pipelines with Continuous Integration and Continuous Deployment (CI/CD) to ensure rapid, reliable delivery of features, patches, and updates.
• To address non-functional aspects of our platform like security and performance: Implement robust security measures including data encryption, access control, and audit logs while optimizing for high performance, scalability, and system resilience.
• To provide operational support for the platform: Ensure reliable operational support post-launch, with ongoing monitoring, issue resolution, and updates, to guarantee continuous system availability and improvement.

As part of its operations, Enphase Energy handles a wide range of documents, including engineering specifications, project plans, HR policies, and other organizational records. Each document type has its own unique approval process, which can involve multiple levels of hierarchy and complex workflows. Additionally, new types of documents with their respective approval chains are regularly introduced. 

We wanted to build a custom solution that would -

• Automate and streamline approval workflows for diverse document types, accommodating both simple and complex hierarchical approval structures.
• Accommodate the management of new types of documents with their approval workflows without any code changes
• Ensure organization-wide access to approved documents, with advanced search capabilities, including the ability to search for related terms and metadata.
• Provide a robust auditing trail, maintaining a clear history of document actions for compliance and transparency.
• The system should be flexible, scalable, and user-friendly, with capabilities to manage the evolving needs of document creation, approval, and access across our organization.

Key deliverables for this project were -

• Requirements Gathering and Analysis: Conduct thorough stakeholder interviews and assessments to capture detailed functional and technical requirements for the document management and approval workflows.
• UI/UX Design: Develop an intuitive and user-friendly interface that ensures seamless navigation and efficient document search, approval, and auditing processes.

The project began with a comprehensive requirements gathering phase for 4 weeks, during which the system features were fully specified, and wireframes were created to ensure a shared understanding among all stakeholders. This detailed upfront work laid a solid foundation for the development process.

Following this, the development phase was executed using Agile methodology. The technical team collaborated closely with the product/business team from our side to refine user stories, which were then implemented in 15-day sprints. IdeaCrest assigned a dedicated Project Manager for the duration of the project, who served as the main point of contact and consistently responded to emails and chat messages with great speed. Thanks to the initial requirements gathering phase, features were clearly defined, resulting in minimal delays in delivery timelines.
