BACKGROUND

Introduce your business and what you do there.

I’m the founder and president of a company that produces medical device hardware, firmware, cloud resources, and mobile apps.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with Gadgeon Smart Systems Inc?

They expand my engineering resources with embedded firmware in addition to cloud and mobile app development.

SOLUTION

What was the scope of their involvement?

They’re working in tandem with me. I serve as the project lead, and they’re my engineering team. We’re often creating low-power wireless solutions, connected solutions, and wearable devices. They’re often connected to the cloud, but we’ve built a broad spectrum of medical devices. We work on equipment both used in and out of the body as well as life sciences lab equipment.

They staff their projects on their end the majority of the time. Otherwise, there’s a senior-level project manager that I trust to select the right resources for the team.

What is the team composition?

The senior tech lead is my main point of contact there, but I do interact with the engineers that I’m working with on a specific project. Typically, I talk to the lead about proposals. He’ll run day-to-day with their team and report to me. He operates as a salaried employee for me. We’ve had 4–12 engineers working on our projects at any given time.

How did you come to work with Gadgeon Smart Systems Inc?

I found them on Upwork, where I worked with them on one project. We then took the discussion outside of the platform and continued collaborating.

How much have you invested with them?

In total, we’ve spent about $750,000 with them.

What is the status of this engagement?

We started collaborating in 2014, and our projects are ongoing.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

I continue to collaborate with them because of their high-quality abilities and organization. They’ve adapted well to our process and structure. Since we’re working in a highly regulated field, there are many additional product requirements to adhere to.

They came up to speed very quickly on the documentation and testing that’s required by the FDA. Because of that, I can give them autonomy. They make wise decisions and often over-deliver on our requirements, making sure their work is refined.

How did Gadgeon Smart Systems Inc. perform from a project management standpoint?

We use Trello to manage projects and Jira from a quality and regulatory standpoint. That allows us to manage bug and issue tracking.

What did you find most impressive about them?

They take ownership of projects, going above and beyond to make sure the product is right for our team. Their work is always effective, robust, and useful because of that.

Are there any areas they could improve?

It would be helpful to have tools that would allow us to share our progress with customers clearly. However, I have no complaints about their production. Increased visibility would just be beneficial.

Do you have any advice for potential customers?

Set your expectations. That will make it easier for their engineers to complete tasks because it provides process and structure to the development. In those cases, they’re able to execute well.

A Clutch analyst personally interviewed this client over the phone. Below is an edited transcript.

BACKGROUND

Introduce your business and what you do there.

We are an IoT company that provides connectivity solutions and analytics for our industry. I'm the CTO.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with Gadgeon Smart Systems Inc.?

We needed a strong development and engineering organization to help us scale out. We worked on a much smaller scale with them in the past, but our relationship has grown as we expanded.

SOLUTION

What was the scope of their involvement?

They are an extended engineering center for us, and they provide developers, testers, and network engineers to enhance our capabilities. They work on our connectivity management platform and our location-based services platform. They also help with our infrastructure and network. In terms of technologies, they help us with .NET, Docker, Kubernetes, Cassandra, SQL, and queuing technologies.

What is the team composition?

We have a team of about 160 engineers on their side.

How did you come to work with Gadgeon Smart Systems Inc.?

They were engaged on a small scale when I joined my company. Our prior CEO met with their CEO, which is how the collaboration started. When I came on board, we decided to significantly augment our engineering capabilities. We did a cost evaluation of a few vendors, and Gadgeon Smart Systems Inc. came out on top.

How much have you invested with them?

We've spent between $1 million-$5 million on their work since the start of the collaboration.

What is the status of this engagement?

We started working in this new capacity in October 2018. The work is ongoing.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

The quality of their work and the resources they provide are great. They get us the right developers at the right skillset, and they set up a training program to teach the team about our business and our specific implementation process.

How did Gadgeon Smart Systems Inc. perform from a project management standpoint?

Their project management is very good. They keep us up to date on a day-to-day basis, and they do everything necessary to help us scale up. They're metrics-driven, and they manage assignments and team members. They're very proactive, and they work within our processes. We treat them as an extension of our team, so they use all our internal tools for communication and project management.

What did you find most impressive about them?

They're an innovative shop, and we've worked on a couple of opportunities together in the healthcare space. They work in some interesting technologies, and they do a good job. They're the right fit for us, and their CEO is constantly in touch. They've assigned good resources to our account, and they take good care of us.

Are there any areas they could improve?

It would be great if they could hire faster, but that's not always possible in this market. That's the only recommendation I have for them.

Do you have any advice for potential customers?

Work with them closely to set up what you want to do, then think of them as an extension of your own team. The collaboration will work better that way.

Gadgeon Smart Systems’ team is comprised of competent and curious coders who are eager to understand the technology they’re working with. Adapting to shifting customer requirements, they proved to be efficient and flexible. While they could broaden their scope of expertise, they performed very well.

A Clutch analyst personally interviewed this client over the phone. Below is an edited transcript.

BACKGROUND

Introduce your business and what you do there.

We’re a business that manufactures wireless medical devices, and I’m the CEO.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with Gadgeon Smart Systems?

We were looking for an agency with experience working with wireless networking software. We wanted to develop software that would receive and process the data being transmitted by the wearable devices.

SOLUTION

What was the scope of their involvement?

Our team guided Gadgeon in implementing the full software stack for the networking software. They utilized Python and C code for this aspect of the project. Gadgeon Smart Systems also developed the apps associated with the devices.

What is the team composition?

The team size fluctuated throughout the project, but at its height, there were 25 people working for us.

How did you come to work with Gadgeon Smart Systems?

Our managing director went to university with their managing director, so the two companies were familiar with one another. We were one of their first few clients. We’ve worked with them for 6–7 years.

How much have you invested with them?

We’ve spent over $400,000 on their services, in total.

What is the status of this engagement?

We began working together for this particular project in mid-2018 and the work is still ongoing.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

They’ve executed well. They’ve had a very positive impact on our business, and they have tremendous respect for the technical complexities as well as the coding that goes into our products. We treated them as an extension of our own team because they were so on board with us.

How did Gadgeon Smart Systems perform from a project management standpoint?

Despite customer pressures and the size of our projects; they generally did very well. Sometimes, we’d have to urge them to prioritize our work. They performed well in the face of abruptly changing customer requirements. At most times, they remained on top of their schedules.

What did you find most impressive about them?

Their passion and diligence to familiarize themselves with our devices were excellent. Although contracted companies are typically more aloof, Gadgeon was proactive and eager in learning new technologies. I found that sense of initiative to be very impressive.

Are there any areas they could improve?

Sometimes, when we needed resources with certain expertise outside of their main scope of work, it took time to get those resources. We’d like to encourage them to maintain additional specialists for certain tasks because things could be delayed when they were looking for resources they didn’t have. It could be beneficial to anticipate changing project demands. That being said, they were excellent in delivering within their main disciplines.

Do you have any advice for potential customers?

Provide comprehensive documentation about your exact requirements. That helps the vendor be better prepared to provide the exact resources you’re seeking.
