Our recruitment platform hosted more than 200 websites. We had issues with the old platform, which was developed in 2007. We needed to create a new one from scratch.

What was the scope of their involvement?
We initially asked FYB to repair our old platform. However, it was too old, so they’ve created a new one. We didn’t provide them with a brief; everything is based on the old platform. After three years, we’re nearly done moving everything to the new application. FYB manages it daily.

The idea was to be able to provide our clients with a dedicated website area to present all this store data. We name this a Store Locator. As we had many clients, the idea was to build an engine used by many clients on a templated base.
SOLUTION
How did you select this vendor and what were the deciding factors?
One of my partner did a trip in Romania to meet several companies to build up this project. We have been seduced by FYB's capacities and the size of their business. It was a mid-size company which corresponded to our situation and found it a good match ! Their references were good and aligned with the type of project we wanted to build.

At first they made an analysis of our api and what was available in terms of data. Then they proposed an architecture to build the solution on a SaaS model. They worked in close contact with our product owner and web-designer to build the templates. Once all was ready : templates, analysis, architecture, they started to build the platform.
They worked in PhP with direct access to our apis. In terms of hosting, they selected Heroku. Then we went live and they continued to impact the project by adding functionalities and make custom development on the existing templates.
How many people from the vendor's team worked with you, and what were their positions?
There were 2 people in direct contact with us, the CEO and the Project Manager. Depending on the amount of work, the team went up to 4 people. We only had direct contacts with the CEO and the Project Manager.

Can you share any measurable outcomes of the project or general feedback about the deliverables?
We were able to launch our store locator platform in several months and then to make it a long-term successful project. They even helped us on infrastructure when we had issues with our development team.

We had good project management. At first, it worked on an Agile way including sprints and demos on our side. Then, once our platform was life, we entered in an ongoing mode with weekly meetings and email communications.

This project was a success, but on our side we had a lack of ressources to make it a fully automated platform. We tried to fix that together, but could never find the right balance between product development and custom implementation. I think that caused several frustration. But a big part of the responsibility was on our side.

We then iterated on that and grew the platform features gradually.

There were 6 people involved in the project. One account manager, one project manager/architect and 4 developers (2 PHP / 2 React)

Can you share any measurable outcomes of the project or general feedback about the deliverables?
We were able to launch the platform very close to what was initially planned even though the requirements kept changing based on user feedback. The fact that FYB provides consistent & regular releases was the key to making sure we kept the timeline.

We setup a very simple communication mecanism. Daily standups (15 min) with the project manager & developers and all stories & use cases were specified in JIRA. We both had access to the projects different code repositories.

The most valuable aspect of the collaboration is the effort FYB took to understand the purpose & the business value of what were building instead of just waiting for requirements. They challenged our initial ideas and were key in achieving something that met what we had in mind.
Are there any areas for improvement or something they could have done differently?
Even if the communication level was already correct, pro active communication on issues was something that can always be improved. More so on very agile projects. The other aspect to improve is to be more strict on the types of inputs they needed to be able to work efficiently - we only realized a few months in the project that if we would have provided better UX descriptions & inputs, the front end developers would have had an easier job.
