3M: The Greek subsidiary of the 3M Company, an American multinational corporation operating in the fields of industry, worker safety, health care, and consumer goods. 

NEED: Replace the legacy IBM AS/400 system with a trustworthy tailor-made sophisticated software solution to handle all company’s internal and external tax documents and statements (invoices,

etc.).

APPROACH: We designed a custom software solution consisted of 6 sub-systems (modules), each fulfilling the functionality of a separate 3M transaction workflow:

  • Invoicing
  • RIC GIPARS
  • 3rd Party Reconciliation
  • Inventory Returns
  • Receiving
  • Product Interface

Also, we identified all necessary interfaces with other 3M systems and implemented for each one either batch or real-time communication, according to the special needs of 3M.

SOLUTION: EXIS designed and developed from scratch a Transactions Management System that supports all customized needs for creation, retrieval, validation, editing, and printing 3M transaction documents for the Logistics, Warehouse, Customer Service and Procurement departments of 3M.

OUTCOME & BENEFITS: The deployment of the Transactions Management System allowed 3M HELLAS to completely disable the old ‘heavy’ legacy system. Our solution is since 2006 the main system that supports the company’s uninterrupted operation.

EXIS’s customized Transactions Management System allowed 3M HELLAS to:

UNILEVER: A global company selling fast-moving consumer goods that are used by 2.5 billion people on a daily basis. 

NEED: A software solution to monitor monthly sales per concessionaire per area and per product.

APPROACH: We analyzed all types of input files, sales network hierarchy, products sold and areas covered by concessionaires, designed the database

structure that was required to support all this data and implemented reports and graphs, according to the specifications provided by Unilever’s stakeholders.

SOLUTION: EXIS designed and developed a custom client – server software, that received input files from sales partners and generated graphs and reports for the management team.

OUTCOME & BENEFIT: The business software delivered was a simple-to-use tool for loading large amount of data, using standardized Excel templates as input, supporting data validations upon data loading, for data integrity, and providing automated reports and statistics.

Unilever Hellas was able to load sales and concessionaires’ data through a single and standard interface, aggregating all sales related data in a centralized database.

ELPEDISON: One of the top-3 utility providers of energy and natural gas in Greece.

NEED: An order entry and payment, web-based application for their reselling network (retail stores).

APPROACH: We analyzed the business requirements, evaluated the intricacies of their technical infrastructure and assessed interfacing approaches with their CRM, for developing

ELPEDISON’s custom solution.

SOLUTION: EXIS designed and developed an Order and Payment web-based application for more than 80 retail stores carrying ELPEDISON’s products. The application supports new customer and new order creation, product synchronization, customer balance updates and cash or credit card payments.

OUTCOME & BENEFIT: EXIS’ Order and Payment web-based application, supported an automated interfacing with ELPEDISON’s CRM, for synchronizing customer data, products commercially available and customer balances.

The solution allowed for:

  • effective monitoring through aggregated reports, per user, per store and per retail partner,
  • user segmentation depending on predefined allowed actions,
  • cost- efficiencies, given that the application served as an alternative to using a CRM license per retail store,
  • rapid expansion of ELPEDISON’s sales network.

HOL/VODAFONE: A leading telecom operator in Greece. 

NEED: Automate the process and operations of debt and collections.

APPROACH: We combined billing and payments information through a Middleware (Webshpere) integration, to calculate on a daily basis, customers' balance, balance age and overdue balance for the entire customer base in order to classify each

customer into a collection’s profile. Following, we used these classifications to design new collections workflows for retail and corporate customers.

Then, we developed/ embedded automated actions per stage of the payment cycle within each profile. Actions included, but were not limited to, payments notification, settlement definition and monitoring and baring/ unbarring of service. The system provided near real-time update of payments (within 5 minutes from payment), for the entire retail network of HOL/Vodafone.

SOLUTION: EXIS designed and developed a Collections Management System for daily monitoring of debt, rule based classification of collections, definition of collection batches and assignment to internal and external agents.

OUTCOME & BENEFIT: The system supported 1.5 mil Customers resulting in:

  • 60% reduction of bad debts,
  • 25% reduction of risk-bearing fraud within 4 years,
  • 15% reduction of collection cost within 3 years.

OTEGLOBE: A member of the COSMOTE Group, responsible for the international network and infrastructure connections of all COSMOTE Group companies.

NEED: Business application to model, manage and monitor their network’s assets and services.

APPROACH: We created a structured and modular set of building blocks, using the entities of simple and complex elements, which

were combined to form network structures supporting OTEGLOBE’s services. 

SOLUTION: EXIS designed and developed a Network Inventory Management System that was able to (a) model literally any type of network equipment structuring complex elements, as well as the services consuming those complex elements, (b) monitor their status and (c) support first level fault management.

OUTCOME & BENEFIT: OTEGLOBE moved from a file-based, user-related approach that required high maintenance effort, to a central-based and managed solution.

Most significant benefits had to do with the client’s ability to gain a view of the big picture related to service-network element correlations, as well as the fact that the client was now able to take proactive action, since users were alerted on equipment maintenance needs or expiry of guarantees, based on predefined thresholds. Thus, higher quality of overall service and reduction of network fault incidents were achieved.

A.M. NOMIKOS: Commercial, corporate and ship management service for ship owning entities. The company employs about 1,000 personnel worldwide with offices in Athens and in London.  

NEED: Substitution of a file-based application for performing risk management operations for freight forward agreements.

APPROACH: We took a crash course on maritime derivatives and

FFAs, to become familiar with the business as well as the company’s existing file-based application. We used advanced database design methodology to structure the database for performing Monte Carlo simulations and “what if” scenarios.

SOLUTION: EXIS designed and developed a custom Risk Management System for options, time charters and freight forward agreements (FFAs).

OUTCOME & BENEFITS: We delivered a centralized application providing data validation, data integrity and security, user management and user access control, advanced reporting capabilities, archiving and historical data management, automated calculation of portfolio’s mark-to-market and position

A.M. Nomikos has been using the application since 2011 and since then we have released three major versions, with improvements in terms of performance, user interface and reporting.

EXIS’s Risk Management System is the core system supporting A.M. NOMIKOS’ operations, enabling them to perform risk analysis for more than 1.500 trades (Freight Forward Agreements, Options and Time Charters) on a daily basis.

HELLAS POWER (former AEGEAN POWER): The biggest privately-owned energy provider in Greece until 2011.

NEED: Ability to support their fast-growing customer portfolio, improve the quality of their customer service, organize and automate their internal processes and operations using a single software system.

APPROACH: We prioritized AEGEAN POWER’s needs and

implemented independent software modules per need. We embedded a rule-based engine and a workflow designer mechanism providing users the flexibility to integrate business requirements and reconfigure frequently changing business processes.

SOLUTION: EXIS designed and developed a tailor made Customer Relationship Management System (CRM), that was able to support all customer related processes and operations.

OUTCOME & BENEFITS: The complete solution was set to production within 12 months from kick-off and included:

  • a contact management module for organizing all customer data and segmenting customers,
  • an order management module for orchestrating the order-to-cash operations,
  • a sales & commissions module for managing sales network and calculating their commissions,
  • a web client module for automating the order entry process through external call center sales agents,
  • a collections module for monitoring debts and unpaid customer invoices,
  • a customer support module for handling tickets, issues and queries reported by customers,
  • a telephone center module for integrating incoming calls with customer data,
  • an interface module for handling communication with 3rd party systems,
  • a workflow configuration graphical tool for simplifying business process integration,
  • a rule-based configuration tool for building any type of business rules using all available data.

EXIS’s fully customized CRM successfully supported AEGEAN POWER’s growth from 15.000 to 150.000 customers, within less than 2 years.

3M HELLAS: The Greek subsidiary of the 3M Company, an American multinational corporation operating in the fields of industry, worker safety, health care, and consumer goods.

NEED: Support the Purchase Requisitions processes of 3M, in order to reduce the employees’ effort of gathering the necessary authorization signatures, and allow the Sourcing Department to view and

suitably exploit the procurement data.

APPROACH: We designed a custom software solution having studied and analyzed the existing user roles, workflow and functionalities of the purchase requisitions submission procedure.  The new system included:

  • Purchase Requisition (PR) Forms and Purchase Order (PO) Reports
  • Preferred Suppliers Costs Administration
  • Department budgeting control for purchases of the advertising account
  • Interface with AS/400 and Euroms II systems
  • Automated Reporting functionality related to types of purchase requisitions, suppliers, time periods, users, etc
  • Requisitions invoices control.

SOLUTION: EXIS designed and developed from scratch a Purchases Management System that provides a user friendly GUI and flexible administration procedures, supporting basic workflow functionality, and offering the ability to produce easily valuable reports. The project also included provision of a temporary solution for the replacement of 3M current AS/400 and Euroms II systems that were used for inventory requisitions at that time.

OUTCOME & BENEFIT: The deployment of the Purchases Management System (“PMS”) allowed 3M HELLAS to automate most of the Procurement Department’s processes. By digitizing the basic paper forms, 3M’s submission procedures were automated in a high degree, offering safe process implementation.

NEED: Automate the process of calculating and managing the commissions of their sales network.

APPROACH: We analyzed all possible combinations of structural elements involved, designed the appropriate configuration environment and by means of a middleware-based (Websphere) communication, we gathered input from

all required systems (Order Management, ERP and Billing) to automatically generate multi-hierarchical commission reports.

SOLUTION: Our solution was the main tool to support the company’s fast paced growth through partnerships with more than 4.000 sales partners, which were based on fully customized commission schemes.

EXIS’s customized Sales & Commissions Management System allowed HELLAS ON LINE to achieve:

  • drastic cost reduction and time savings,
  • seamless, accurate and effortless definition of commission schemes and calculation of commissions payable per sales partner,

3M: The Greek subsidiary of the 3M Company, an American multinational corporation operating in the fields of industry, worker safety, health care, and consumer goods. 

NEED: Automate pricing and product marketing policies.

APPROACH: Having studied and analyzed the existing user roles, operational workflows and functionalities of the price auditing procedures, we

designed a custom software solution to allow 3M Marketers to submit prices and marketing policies for Products of 3M for approval through an Audit Chain of one or more Auditors. Once a Price Page is approved by all Auditors, the prices are finalized and uploaded to another 3M system.

SOLUTION: EXIS designed and developed from scratch a Price Audit System that facilitated the high-complexed process of price auditing by the Marketers of 3M.

OUTCOME & BENEFITS: The deployment of the Price Audit System & Pre-cost Accounting Sub-system allowed 3M HELLAS to:

  • replace the existing AS/400 application,
  • improve drastically the whole price audit procedure,
  • save valuable time for the 3M Marketers,
  • automate 3M’s Price Auditing Workflow procedures, offering safe and secure process implementation,
  • assist the evaluation of the selected pricing policies through the new Automated Reporting functionality related to price audits and price pages.

ENBL ENERGY NET: Bunkers traders providing vessel bunkering services all around the world.

NEED: A software solution to support bunker trading, logistics and financial operations.

APPROACH: After becoming familiar with the bunker trading market and operations, we designed and developed a web-based software solution to support trade capture, trade administration,

trade financials management and communication with bunkering related parties.

SOLUTION: EXIS designed and developed a custom Bunker Logistics Management System automating manual work.

OUTCOME & BENEFITS: We delivered a web-based solution, using state of the art technologies and substituted the manual work that was performed by pen & paper or Excel files.

EXIS’ Bunker Logistics Management System automated invoice creation for all bunker inquiry-related parties, automated confirmations to buyers and suppliers, simplified bunker inquiry management, financial management (invoicing & payments) and counterparty management.

It became the centrally-used system by all traders, assisted the financial department in their daily operations and provided to the management team a complete overview of their business.

VIVODI TELECOM: One of the biggest fixed-line operators in the 00’s, focusing on high-speed internet connectivity on corporate customers.

NEED: Ability to personalize invoices and automate the invoice production process.

APPROACH: First, we used a data warehouse approach to validate and process all customer and billing related data. We then embedded user defined

rules for layout and messaging selection and used grid technology, to distribute the heavy transactional processes from a single database server, to multiple clients running on workstations. Grid technology was also chosen to allow for the exploitation of the company’s existing hardware infrastructure. The system applied the appropriate layouts and produced files embedding printer’s drivers control commands guiding the printing operation.

SOLUTION: EXIS designed and developed a solution that combined billing and ERP data, applied different formats on retail and corporate customers and produced ready to print files that were also categorized into batches per area zip code.

OUTCOME & BENEFIT: The invoice process was streamlined, simplified and became more efficient and effective.

Our solution helped VIVODI TELECOM significantly improve its cash flow, through:

  • the decrease of outsourcing cost via the reduction of tasks required by the 3rd party printing house,
  • the minimization of time required to complete the invoicing cycle, since the entire process was completed within a few hours during off-peak hours vs. a few days that were required with their prior approach,

Additionally, the company was able to improve customer experience through personalized messages on invoices. Also, our solution allowed the company to move from hard copy to digital invoice archiving.

NEED: Ability to maximize their revenues by fully exploiting the discounts and special prices they were offered by national and international network provides.

APPROACH: We prioritized TELEDOME’s needs and implemented independent software modules per need. We embedded a rule-based engine and a

workflow designer mechanism providing users the flexibility to integrate business requirements and reconfigure frequently changing business processes.

SOLUTION: EXIS designed and developed a Call Detail Record (CDR) Analyzer that interfaced with network elements, gathered and analyzed network traffic data and applied optimal network routing algorithms.

OUTCOME & BENEFIT: We delivered a software solution able to support mapping of routes, prefixes and interconnection providers. Specific prefix parsing methodology was used to identify the source and destinations of routes. Costs per route and per interconnect provider were defined and the solution was able to assist in traffic routing management and in least cost routing operations.

Users were provided a tool:

  • communicating with all network elements,
  • with a friendly user interface to map destination and source prefixes,
  • supporting sophisticated algorithms to analyze network traffic information,
  • performing least cost routing operations by combining routes with interconnect partners’ charges.

EXIS’s CDR Analyzer allowed TELEDOME to:

  • maximize network utilization,
  • minimize interconnection costs,
  • negotiate more profitable deals with interconnection providers,

The Greek Gastronomy Guide is a unique digital directory that presents all the merits and aspects of Greece’s culinary heritage, through the eyes of George Pittas, a famous cultural heritage explorer and author in Greece. 

 

The content of the guide is the outcome of George Pittas' travels to almost every corner of Greece over the past 25 years, aiming to reveal formerly untouched aspects of Greece's culinary

heritage.  

 

Our challenge was to design and develop a robust and fast platform accomodating a lot of content that is able to showcase the unique mosaic of Greek gastronomy. 

 

Visitors are presented with all the information in a clean and organized manner, and may browse content items by selecting either a region of Greece or a specific gastronomy topic.

 

The digital guide informs visitors about all the merits and aspects of Greece's culinary heritage and helps them select unique culinary experiences across Greece. The blend of places and landscapes, products and people, history and traditions, happenings and rituals, markets and enterprises, tastes, recipes and local cuisines, unfold the wealth of more than 40 gastronomic destinations in Greece.

 

The Greek Gastronomy Guide was awarded the gold award at the 2018 Tourism Awards of Greece in the 'Digital Tourism - Technology: Digital Destination Guide' category.

We designed and developed an integrated solution including a custom Fleet Management System, a Client Mobile App and a Web App that allows clinets to very easily select the services they desire and make their bookings. 

 

Our integrated solution allowed Lexi-Mobility to better manage its operations, increase its

EXIS worked closely with our design and marketing team to transform both the aesthetic approach and the functionality of www.youravon.gr, which is the main Lead Generation Platform of AVON Greece.

They then developed our new Lead Generation Platform, that included a new reporting feature which increased our control over the generated leads, enabling us to provide better customer support. Each new lead is transferred in real-time to our CRM, helping us speed up our workflows and reduce our response time.

What was the team composition?

Over the past two years we have worked with various people from EXIS, although we mostly collaborate Dennis Miliopoulos, who is handling our account and is always willing to go the extra mile for us.

Introduce your business and what you do there.

I’m the head of the risk and treasury department at A.M. Nomikos Transworld Maritime Agencies. We’re a shipping group that manages ships — both our own and third-party vessels. Our group offers both commercial and technical management of the vessels. We commercially operate the vessels, and at the same time, offer all the maintenance work required for the vessels to operate.

What challenge were you trying to address with EXIS?

We went to EXIS to further develop an internal risk assessment tool that could provide a full picture of our exposure, combining physical exposure — the chartering of the vessels — with derivative exposure.

SOLUTION

What was the scope of their involvement?

We presented EXIS with ideas on what to develop and worked closely with them. Together, we’re using various methods and formulas to make calculations on what our exposure is and how much money we should commit. We also developed risk tools for things like cargo valuation, running different models. One of the most important features is exporting data from another commercial package and importing it to our risk management tool.

What is the team composition?

There are 2–3 people on their team.

How did you come to work with EXIS?

We were trying to reproduce our Excel-based software into a more sophisticated form and researched some companies that could do it. We chose EXIS because they were a friendly and small-sized company. We thought we could have a positive collaboration. They understood our needs from the beginning and were willing to develop this tool as well as help us commercially introduce it to the market at the later stages.

How much have you invested with them?

We have an annual fee of around €20,000 (approximately $22,000 USD). The initial project cost beween €75,000–€100,000 (approximately $81,000–$108,000 USD). The total cost so far is above €200,000 (approximately $216,000 USD).

What is the status of this engagement?

We started working with EXIS in September 2013, and the collaboration is ongoing. Currently, we’re getting ready to move into phase three of the project. In this phase, we will make the risk management tool the only capturing system for our fleet as well as use it to invoice our customers.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

This was EXIS’ first project for the shipping industry. We searched the market and identified a lack of such risk management tools, especially for the freight derivatives industry, and this was one of the reasons we chose to develop the project internally. It’s been an ongoing educational experience for both EXIS and us.

How did EXIS perform from a project management standpoint?

They’re good with project management. Some deadlines were extended but that was due to issues on our side as well. This is an ongoing project so there are no similar tools on the market right now. We’ve had to change some of our requirements as we’ve moved forward and that created some delays in the deliveries.

What did you find most impressive about them?

We’re continuing to work with EXIS because they have very good client services. Initially, we faced a lot of problems during development, given that we were importing pricing and other data from various sources. We’d have no connectivity at times or there’d be something wrong with the inputs, but EXIS always solved all issues quickly.

Are there any areas they could improve?

They need to put more pressure on deadlines. Now that they have more experience with our project and needs, they should be focused on guiding us and finding solutions in an easier and faster way.

Do you have any advice for future clients of theirs?

I recommend working with EXIS. The individuals in their company are friendly and try to understand the client’s issues. Their team strives to provide the best solutions in an economical manner. They try hard to understand what the client wants and don’t charge a lot for the service they provide.

It was very challenging work because our applications were quite complex. We were very lucky that we found EXIS because they have a well-educated, professional, and responsible staff with an excellent service record. We were able to produce projects that solved problems in an economical but very effective way. We’re happy with the service we’ve received all these years. Going with EXIS is one of the best choices that we could have made.

How did EXIS perform from a project management standpoint?

They’re able to adapt to our schedules. I don’t believe they’ve ever missed a service-level agreement. There’s always a backup that can provide us the support we need. From beginning to end, they approach everything in a very professional way.

We manage the project from our side: we make sure we give them what they’re supposed to do, and then they deliver.

What did you find most impressive about them?

They’re a small company that’s very flexible, economical, and knowledgeable in new technologies.

Are there any areas they could improve?

There’s nothing EXIS could do better.

There’s no advice I can think of. They’re quite easy to work with. EXIS will help out in any way that they can.
