I am the COO of a financial services company in Canada.

We hired Doyenhub to build out a custom database that would allow automated capture of information from numerous internal/external sources and feed it into all other aspects of our business. Our systems were fragmented and siloed and far too manual. We wanted a single source of truth to support our departments in an efficient and automated manner.

How did you select Doyenhub Software Solutions and what were the deciding factors?

We found Doyenhub through an online search initially. Our deciding factors were based on depth of skills, a willingness to take on new projects and overall cost.

We have been working on the overall project for several months - key milestones were established with initial scopes of work issued before work was commenced on any particular segment. Written quotes/assumptions - as well as customer signoff - were provided in advance.

I worked with 4 people in the core team, including 2 developers and 2 project managers. There was also an account manager who stepped in as required. Other technical members from the company were involved in issue resolution or very specific tasks that came up.

They are great at responding to questions/comments and manage the time differences well using Skype and email.

What did you find most impressive or unique about this company?

Doyenhub takes a personal interest in the project. They always listen and are willing to spend the time to find the best solution for our project - the overall result is key and they generally don't take this extra time into account when billing is concerned. I appreciate their focus on relationship/result vs billing.

Are there any areas for improvement or something they could have done differently?

I would like them to spend more time on their QA - minor issues come up that could have been dealt with prior to client testing/review. I also wish they could have some people working in our timezone - essentially this project is being worked on during their business hours and our communications/work stop happening during north american hours.

We’re a facilities management company called Hi-spec Facilities Services Ltd. I’m the IT and systems director.

What challenge were you trying to address with Doyenhub Software Solutions?

We needed development for our internal system. We were having problems with paperwork, such as filing, tracing, looking for information, and keeping up to date with everything. We needed a system that would allow us to manage all our interactions internally and externally with our customers.

What was the scope of their involvement?

The main purpose of the system is to be online and have up-to-date reports. I’m the architect or designer of our web system, while they develop the technical side of the system. I submit requests, drawings, and examples of what I want and how I want it to work, then they execute it and deliver the results.

They started very small and then it developed from there, using PHP and MySQL for the database.

What is the team composition?

Initially, we had one developer and now we have two. Next year, we’re looking at scaling up to four developers.

How did you come to work with Doyenhub Software Solutions?

I chose them out of 20–25 companies on Guru.com. They seemed knowledgeable and very interested in this project.

How much have you invested in them?

We’ve spent roughly around $45,000.

What is the status of this engagement?

We began working with them in April 2017 and the relationship is ongoing.

What evidence can you share that demonstrates the impact of the engagement?

The system is currently used by our customers, as well as internally by our managers. It’s completely changed the way we work, and we’ve gotten really positive feedback from our customers. It seems like everyone is happy with it. Our customers appreciate having the reports there when they need them. The system itself is easy to navigate, easy to fetch information from, and easy to interact with.

Bugs and glitches are part of development, and even now we do find small bugs here and there. However, in general, the delivery of the system is good, and they spent time testing and solving problems.

How did Doyenhub Software Solutions perform from a project management standpoint?

The project management is top class. We use an online tool to communicate, so if we find a problem or a bug, we report it and they resolve it straight away. We have a project manager who is brilliant and communicate three or four times a week. They came to see us here in the U.K., and it has been great so far.

They’re always available on Skype, email, or the project management system. If there are any problems that arise, I would talk to the project manager, but I haven’t had any major problems during the engagement.

What did you find most impressive about them?

Their ability to execute exactly what I’m looking for has been impressive. When I started with them, I wasn’t sure if they were going to be able to do it—or even if it was possible. After giving them different tasks, I soon realized that everything is possible with them. Knowing that they can find solutions and deliver results is good and means I’m not hesitant when giving them any tasks. We trust that they will deliver.

Are there any areas they could improve?

They do more than other companies—I don’t think they could do any more for us.

Do you have any advice for potential customers?

Know exactly what you want. Any company can deliver a solution, but if a customer knows what they want, it’s more likely that their expectations will be met. I would always advise deciding what you need and giving very clear instructions. You will definitely get the result you expect with Doyenhub if you do that.
