Introduce your business and what you do there.
I’m the general manager of a group of companies, so we do a lot of different things. Our work includes waste recycling, tree and animal farming, rock crushing, and consulting.
What challenge were you trying to address with Deltaform Technology?
We were trying to upgrade our website, move away from GoDaddy, and use Microsoft 365 directly. Additionally, we needed custom business application development for our dispatch and our drivers.
We had 16 trucks and trailers that went out every day to different sites to pick up different things. Thus, we wanted an app that integrated our scale system with our RFID (radio frequency identification) access to streamline our processes and have everything digitalized.
What was the scope of their involvement?
The first thing that Deltaform Technology did was to provide managed IT services. They set up our emails and our network, and they configured our camera system and our gate so that we could access them remotely. Basically, they ensured that everything in our business was set up and streamlined.
After that, we did a lot of data migration from our existing server to the Cloud. We were originally on Dropbox, but they helped us migrate everything to Microsoft 365.
Then, they developed the application for the drivers. This app is basically an online web portal for our dispatchers. In it, they can keep track of all the calls that come in, what truck size the client requires, and what services they want.
The dispatchers then dispatch the order to the specific driver and truck, and the drivers can use the app on their phones to see the orders assigned to them. This app also has a Google Maps integration, so drivers can go directly to the site required, and we can have real-time information about the job they’re doing for the customer.
What is the team composition?
We started our collaboration working with Greg (President & CEO), who has been involved in the project the entire time. He then brought in an additional staff member to help with different implementations and three other people to help with training, set up, and beta testing the app.
How did you come to work with Deltaform Technology?
Deltaform Technology was working with another company that I knew. At the time, I was trying to figure some things out, and I was struggling with our previous dispatch program because it was outdated and kept crashing. The person I knew from this company told me to give Greg a call, and I contacted him through LinkedIn.
After that, we set up a meeting, he came to our offices, and we went over a lot of different ideas. Within 30 days, we signed an agreement for ongoing services that included the app’s development.
How much have you invested with them?
Their initial scope, including the app’s development, cost around $250,000, and we’re currently paying about $2,000 per month for maintenance.
What is the status of this engagement?
We started working together in June 2020, and our engagement is ongoing.
What evidence can you share that demonstrates the impact of the engagement?
Right off the bat, Deltaform Technology saved us about $100 per month by migrating away from Dropbox and into Microsoft 365. Additionally, our dispatch system’s increased efficiency and tracking capabilities have allowed us to save additional money. Although it is hard to quantify an exact dollar amount, we haven’t had any wrong dispatches or errors since we began using it.
This system allows us to give our customers more information about their billing, the estimated time for the service, the truck that is going to do the service, and how the site looks before and after the service. This adds value to our company and prevents our clients from going to other companies.
How did Deltaform Technology perform from a project management standpoint?
So far, I haven’t had any issues with Deltaform Technology’s services. I can always get them on the phone, and they’re very approachable, not only for myself but also for our junior dispatch staff. Additionally, communication has been their strength.
The main tools that Deltaform Technology uses for communication are phone calls, emails, Zoom meetings, and Microsoft Teams meetings, and we have in-person meetings as well.
As we’re a family-owned business, our engagement hasn’t been the smoothest road. My brother and I had a better understanding of technology and how Deltaform Technology’s services could get us a better ROI, but it was hard to get my parents on board. However, once Greg came to our offices, he helped everyone understand what was going on.
What did you find most impressive about them?
Deltaform Technology’s ability to not treat us as just another customer is impressive. Everything has been personalized and detailed, and our communication has been effective.
Trucking and dispatching is a time-sensitive industry. We’re operating 24 hours a day, so we need access to someone that would help us solve problems in real time, and Deltaform Technology is great in that sense.
Are there any areas they could improve?
I don’t think so. Greg and his team have made us very happy to the point that we want to continue working with them in the future. I’ve also recommended them to 4–5 of my friends.
Do you have any advice for potential customers?
Plan to spend a fair amount of time initially so that they can understand your current situation related to your business’ IT systems. Additionally, listen to their recommendations because they will increase your efficiency and save you money. It is ok to research them first, but if you feel comfortable after the initial meeting, dive in headfirst and don’t do anything halfway.

The team gathered all the information they needed before starting the project. The communication was absolutely excellent; they listen and are open to discussions. We never went more than two business days without hearing back from them.
They’re very good with timeframes. I did some minor last-minute changes that caused the project to end a week after what we had negotiated, but if it weren’t for that, they would have completely met the deadline.

I’m the interim executive director at The Doorway, a small charity organization that supports homeless youth. I came into the role at the end of January when the founder retired after over 20 years.
What challenge were you trying to address with Deltaform Technology Ltd.?
We had Microsoft SharePoint and other software technologies in place, but they weren’t being used because no one knew how. We also had an IT provider that we weren’t particularly impressed with. Then COVID-19 hit, and all of our paper processes had to be converted.
In two days, we had to convert everything online because we wanted to maintain our process with our participants. But we had to figure out how to do it all remotely. Our existing provider wasn’t able to help us, so I hired Deltaform Technology Ltd. on an as-needed basis to get us going.
What was the scope of their involvement?
The team was able to help us convert everything online quickly. Since we had all of the software, we just needed assistance with setup. Our team didn’t know how to take advantage of SharePoint besides storing files. Over the last month and a half, we’ve set up workflows for invoices and tracking. Our participant process has also shifted online with their help.
They also got us set up on Microsoft Teams. All of the trainings for setup and the systems had to be done remotely.

Deltaform Technology Ltd. has become our ongoing IT provider. Now, we issue them tickets and other things. It’s complicated to train people remotely, but their team did an excellent job with that.
Compared to our previous provider, they’re very flexible. With our last provider, I would have to send a ticket, an email, and even call to get things to happen. Deltaform Technology Ltd. is responsive.
We’ve started to reopen, so participants can come in and utilize our workstations. We’re starting to develop a work strategy going forward because those workstations are lacking the proper security. I found that nothing was being backed up, not even our accounting system. I appreciate that they tried their best to understand our needs and figure out the gaps to create a strategy.
How did Deltaform Technology Ltd. perform from a project management standpoint?
We have contact with them multiple times a week, whether that’s through meetings or if we have a specific issue. We call or send a quick email, and then they’ll follow up with a status update.
Greg maps out each step, so we know what needs to be done and where we’re at. Yesterday, I just received a report about our priorities, which is helpful.

We needed help selecting a new client management system (CMS) for program registration, facility rentals, membership sales, and facility management.
What was the scope of their involvement?
Greg (President & CEO, Deltaform Technology Ltd.) helped us in putting out an RFP to find an appropriate vendor for the service we needed. He also helped us to vet the different respondents and go through our criteria to make sure we found something that was going to meet our needs.
My understanding is there were initial meetings where he went through various questions to find out what our needs were, what was working with our current system, what wasn’t, why we were looking to change, and what we were hoping to get from a new vendor that would better meet our needs. When I came on board, he had put together the RFP, and that very clearly reflected what we were looking for. There was an opportunity for us to provide further feedback before that RFP went out, helping us make sure he really knew what we were looking for before we sent it out.

To ensure the project continuity and because of the stage we were at, he very generously continued to be our point of contact for the project. He made sure all the loose ends were tied up.

We worked together from the final quarter of 2018 until the final quarter of 2019.
What evidence can you share that demonstrates the impact of the engagement?
We’re in very early stages since we just started with the new vendor but we’re very happy so far. There are areas where they’re not quite meeting our needs, but we knew those going in. We had a long wish list and we knew there would be some things that we wouldn’t necessarily get right off the bat. There are certainly no surprises, and it’s been a great process.
Some of the things that really made a difference for us was having Greg’s support to keep the project moving even when things got really busy or certain things came up that needed my attention or the facilities manager’s attention. If we hadn’t been working with him, it’s quite likely the project would have been delayed further. Greg exceeded my expectations in terms of the role he played in communicating with the different vendors and fully taking that off of my plate throughout the process. He provided all the information and content for me to be able to provide feedback to the final two potential vendors. For the vendor that wasn’t selected, it was really helpful for them to have that information.
How did Deltaform Technology Ltd. perform from a project management standpoint?
Project management was great. Greg kept things moving as quickly as possible and aided us in finding a vendor that met our budget needs. We’re a charity, and he was very mindful of that. It would have been a shorter process except for some delays that we had to request; any delays were on our end.
Communication was good as well Greg was very good at keeping everyone in the loop on where things were, what had happened since the last meeting, call, or email, and what our next steps were. I didn’t feel like I needed to co-product manage it all. I just had to show up when and where I needed to be.
What did you find most impressive about them?
He had the ability to understand our needs. The vendor not understanding things from our perspective can be one of the biggest hurdles in working with consultants, based on my experience Greg really got it, though, and knew what we were looking for. He helped us represent that to the different vendors.
Are there any areas they could improve?
No, it was a really positive experience for us.
Do you have any advice for potential customers?
Be really clear about what your needs are from the start. Solidify that and make sure that they understand it. The clarity throughout this project really helped as well. Greg did a good job of documenting that throughout. There was always something we could look back to whether it was in-scope or out of scope.
