Project Overview

Chavez Capital is implementing Zoho to build an integrated CRM, loan management system, marketing automation, and employee tracking platform. This document outlines all required features, their purpose, and the Zoho tools necessary for implementation.

 
1. Marketing & Social Media (Email & Text Blasts)

Purpose:

Automate lead nurturing, client follow-ups, and social media campaigns using email and SMS marketing.

Features Required:

✅ Zoho Campaigns – Create and schedule email marketing campaigns.
✅ Zoho Social – Schedule, publish, and track social media posts on LinkedIn, Facebook, Instagram, etc.
✅ Text API Integration – Automate SMS & text blasts for borrower updates, lead nurturing, and event promotions.
✅ Zoho Flow Automation – Send reminder emails & texts when clients don’t respond.

2. Intake Forms & Borrower Profiles

Purpose:

Streamline borrower onboarding by collecting applications, tracking multiple loan applications per borrower, and linking them to one profile.

Features Required:

✅ Zoho Forms – Create a custom intake form for new loan applications.
✅ Zoho CRM – Store all borrower profiles, loan data, and financial details.
✅ Zoho Creator – Allow borrowers to submit multiple loan applications under their same profile.
✅ Custom Workflows – Notify internal teams when a borrower submits a new application.

3. Education Portal for Training

Purpose:

Create an internal and external training platform for employees and borrowers.

Purpose:

Automate email follow-ups for missing documents, loan status updates, and borrower engagement.

If a borrower has not submitted a document → Auto-send an email/SMS.

6. AI Chatbot for Customer Service (Website & SMS)

Purpose:

Provide automated, AI-driven support for borrowers via website chat & SMS.

Features Required:

✅ Zoho SalesIQ AI Chatbot – Implement a live chatbot on the website.
✅ Twilio or other Autopilot API – AI bot that answers borrower questions via text messages.
✅ Integration with Zoho CRM – Logs all chat interactions into the borrower’s profile.
✅ Lead Capture Feature – Collects user details and sends leads to the CRM.

7. Track Communication Between Employees & Clients

Purpose:

Log and track all calls, emails, and SMS between employees and borrowers in one place.

Features Required:

✅ Zoho CRM + Zoho PhoneBridge or other – Sync all calls, texts, and emails per borrower profile.
✅ Zoho Cliq – Internal team communication & borrower updates.
✅ Call & Email Recording:

Log all conversations inside the borrower’s CRM profile.

Auto-generate branded PDF Proof of Funds (POF) letters for borrowers.

9. Auto-Call Borrowers & Connect to RingCentral

Purpose:

Auto-call leads, borrowers, and clients from the CRM while tracking conversations.

Features Required:

✅ Zoho PhoneBridge + RingCentral API – Click-to-call directly from Zoho CRM.
✅ Call Recording & Logs – Store all call recordings & notes per borrower profile.
✅ Automated Follow-Ups:

If borrower doesn’t answer → Send auto-text asking for a call-back.
 

10. Employee Management (Payroll, Timesheets, PTO)

Purpose:

To automate payroll processing, time tracking, and PTO requests.

What did you find most impressive or unique about this company?

Their deep expertise in the Zoho ecosystem and ability to deliver complex, integrated solutions with minimal oversight was especially impressive. My project turned out to be more complex and longer than I anticipated, but CRM Xperts made time to complete it to the exact details. He was very exact in meeting my requirements and had excellent communication and follow-up.

Are there any areas for improvement or something CRM Xperts could have done differently?

While their overall performance was strong, clearer initial documentation and more proactive progress updates could further enhance transparency and client confidence.
