Clavax has been very accommodating with their time and they’ve been really easy to schedule calls with. The people we’re working with from Clavax are fantastic. They understand gambling apps and they took it upon themselves to add a little bit of functionality or design to each iteration. They’ve been really helpful and are good working partners.
Developers will always make suggestions, but Clavax is always correct in theirs. This doesn’t happen all the time, especially when there are cultural differences between two countries. However, the suggestions they made regarding the functionality, look, and feel of the gambling aspect are all spot on.
How did Clavax perform from a project management standpoint?
They’re fantastic when it comes to project management. We usually communicate through Zoom, Skype, Teams, and phone.
What did you find most impressive about them?
Hearing people’s reservations prior to picking a design firm, I would say that they’ve lived up to my expectations. We avoided a lot of the hiccups that people said should expect from offshore developers.
Are there any areas they could improve?
If I had to give an opportunity for improvement, I would say they need to be pushier to move things faster. I need a fire lit under me to really move the project to the top of the pot. I would also say that they should get a real lawyer on staff because their contract was abominable.
The fact that they didn’t have a clear and concise functioning contract caused a little pause. Fortunately, they’ve lived up to everything they said, and hopefully, they’ll use our contract as the new template moving forward.
Do you have any advice for potential customers?
We treat them like they’re a part of our team, because they really are — without them, there would be no app. I wouldn’t treat them as a standard outsourced developer, you have to treat them like a team. You can rely on them, which you can’t always do with consultants or contractors.

We needed help in developing an app and a website.

What was the scope of their involvement?
Clavax designed and developed an app that integrated the curriculum we have for our second language parents who are trying to learn English. Additionally, they also built our website.
The first phase of our engagement involved signing a contract and negotiating our scope of work. After that, we sent our curriculum to Clavax and spent a great period of time developing digital components. They then developed the app using the assets we created.
Clavax launched the app and marketed it online to see if there were people interested in using it on an individual basis. They conducted research and planning before executing the marketing campaign.
We have an ongoing maintenance agreement with Clavax.
What is the team composition?
We’ve worked with Sumant (Assistant VP - Technology), who designed the app and has also been our contact person when we have problems. Additionally, we’ve had some interaction with Deepak (CEO). We’ve also worked with other teammates on a very limited basis, particularly their marketers and technicians.

I'm very happy with Clavax’s performance. They respond quickly, and they resolve any issues we have in a timely manner. They do what they say they're going to do, and it's been very positive on our end.

I'm the CEO and co-founder of a multi-service software company. Our application caters to the different utility needs of users, ranging from laundry to automotive services.
OPPORTUNITY / CHALLENGE
What challenge were you trying to address with Clavax?
We needed our services to be automated and made accessible through a web platform.
SOLUTION
What was the scope of their involvement?
We've worked with Clavax since we've decided to expand our business by making our services available online. Clavax creates products not only for our customers but also for our service providers. They're involved in the planning, development, and implementation stages of each project, providing strategies that we can use as solutions. They've helped us create Android- and iOS-enabled applications for our clients, and in addition to those mobile platforms, their team has also created a CRM software that has allowed one of our providers to monitor their finances and business operations.
Some of the features they've integrated into our platforms include a service category picker that has a dropdown list of all our providers, a vendor credibility page, and a detailed service booking page that highlights customer details and the vendors' scope of work. Customers are also able to trace their requested services through the tracking panel on our menu.
What is the team composition?
Our main point of contact from Clavax is their project manager, while there are also 8–10 resources working for us to develop products and manage deliveries.
How did you come to work with Clavax?
We found their team online after looking for qualified agencies that could provide the tech services that our company needed. Out of all our options, we decided to go with Clavax because we saw their willingness to collaborate with us — we felt that they were in it for the long run.

What evidence can you share that demonstrates the impact of the engagement?
From a qualitative perspective, the platform created by Clavax works seamlessly and is user-friendly, both for our customers and providers. We don't encounter any technical issues as they quickly fix bugs once these are detected. In terms of quantitative metrics, we regularly get over 500 orders through our app — these orders are from our 6,000 customers who select which services they need to be done by our 50–70 providers. We've been processing all orders smoothly because of our new automated system as well. Clavax really elevated our business by simplifying these operations for us.
How did Clavax perform from a project management standpoint?
We used Zoom, WhatsApp, Microsoft Teams, and Skype as our main communication channels. I can say that they've been handling the project well despite the challenges brought about by the pandemic. We have regular meetings with their developers, and they've been very keen on providing updates and answering our questions.
While there are timeline restrictions we've had to deal with because of COVID-19, we still manage to make it work as Clavax is a very cooperative and understanding team. They're always willing to apply each modification that I relay to them without any extra charges.
What did you find most impressive about them?
Clavax is a very client-oriented team — they're willing to help us out in any way possible, and I think that's the most critical thing. We don't see them as a team that does a project just for the sake of doing it. They really care about our business and our working relationship with them.
Are there any areas they could improve?
If I were to point out an area for improvement, it might be the speed of their work. I'm not saying they're slow, but we could benefit more from quicker turnarounds.
Do you have any advice for potential customers?
Communicate your needs clearly before letting them work on their own. It's also helpful to schedule frequent calls, so you can track the progress better and be updated with the scope of work. Be open to Clavax's team, and they'll deliver what you need.

My husband and I started a small company to help amateur PodiumArts companies gain more publicity. We both are enthusiastic about theater, although neither of us works in that field. We didn’t create our company because we wanted to make a lot of money, but because we wanted to have a forum where performing artists (professional and amateur) could meet and interact with the audience.
OPPORTUNITY / CHALLENGE
What challenge were you trying to address with Clavax?
We had the idea to create a platform that would be a mixture of Wikipedia, Facebook, and LinkedIn, geared especially for performing artists. We partnered with Clavax because we didn't have the expertise or time to build the platform ourselves. The idea behind the platform was to have an interactive place where actors can interact with their audience, actors, and artists, basically, anyone who does anything on the stage or behind the stage. We wanted a place where we could appreciate each other’s work. Say, for example, you perform as an amateur actor in a play. Using PodiumSpot, I can put information about who wrote the play, who participated in it, and who attended it on the platform.
We wanted to make sure it integrated with popular social media platforms. Our idea was that you could go to the theater and give the production a review, say 8 out of 10 points, which I could then share on Facebook: “On PodiumSpot, I rated this production with 8 clapping hands,” (we have clapping hands instead of stars). That might trigger other people to think that they should have a look at PodiumSpot. Basically, what you did on the platform was also shared through Twitter, Facebook, LinkedIn, etc.
SOLUTION
What was the scope of their involvement?
I’m an IT person, and so I decided what UI we wanted to use. I designed the screens and wireframes but not the layout because I’m not a design person. For instance, I knew that on one screen I would need to have a username, a password, and a button for signing in to the platform.We started off with rudimentary wireframes like that. We asked Clavax to correct me when my ideas were not correct or not feasible. They were then going to provide the designs and layout. I also expected Clavax to design the database. They were supposed to use the Agile method for project management. We had prepared rather a lot in terms of wireframes and written requirements upfront. Clavax created a nice logo and some nice screen layouts, but then the project fell apart.
Clavax didn't finish the project because at a certain point we told them to stop. At one point they said, “We are 90% done. We’re going to finish up the rest, and then we will invoice you for everything.” We were in shock, because we thought, “Yes, we have something, but what you built is only the beginning of what was really important for us: the interaction and integration with social media.” Because for us, having a platform without any interaction with the outside world — Facebook, Twitter — was not functional. If you can't make your activity on the platform visible to the rest of the world, then the project stops. It has no life expectancy. It does nothing. At that point, we said we were absolutely not finished, and we were only 60% or 70% done. Then we had a conversation with Clavax that didn't conclude well. We ended up telling them that we’d pay them whatever we thought we owed them, and then we would stop working with them.
How did you come to work with Clavax?
We found Clavax through a Google search. We liked Clavax mainly because of their tagline ‘We Understand your Dreams Personally’ - ‘Bridging the gap between ideas and reality with our state-of-the art solutions. Let’s work together to make your app!’ So we asked Clavax for an estimate through their online contact form. The estimate was OK; it was around €20,000. Then we had our first phone call with them, which also went OK. At that time, we felt confident that they understood what we hoped to build. They came back with a more detailed estimate, which was more around the €40,000 or €50,000 figure, I can't remember. We understood the difference between the initial quote and the more detailed quote, and that was still fine for us because we believed at that point in time that they understood what the project was about.
Unfortunately, when we started developing, it became clear that they didn't have a clue what we wanted. They didn't have any knowledge of theatre, let alone amateur theater or small companies. That became difficult, but we had already signed the agreements and it was too late. We tried to work with them for several months after that, but it only got worse. In the end, we stopped work on the project, because we didn't want to invest in space on their database or their hosting, because the idea we had had hadn’t been realized. They did not understand our dreams!
How much have you invested with them?
We decided to stop the project, and take the loss of what we invested so far because the project was not going where we had envisaged. They told us that if we wanted interaction with social media, that would be a ‘new requirement’ and an extra cost. When asking for the final invoice, they told us to pay for 98% of the project, because that was what they believed they had developed. This was absolute proof that they did not understand the project at all. We thought were at 70% of completion, at best. In the end, we lost €40,000 ($47,600) and ended up with nothing, which is rather frustrating.
RESULTS & FEEDBACK
What evidence can you share that demonstrates the impact of the engagement?
We stopped development before completion. The fact that Clavax didn’t understand what the major goal of the application was, lead to an application that was far from what we had in mind. It was so far from our dream that it would need a lot of reworking to get where we wanted to be.
How did Clavax perform from a project management standpoint?
We had kick-off meetings where our requirements were discussed. During the project, we were asked to test what they had developed. After the first round of testing, we provided feedback. We were told all our feedback was understood and would be fixed. But when we checked again, it was not fixed. Later we heard ‘It is fixed in our development environment and not yet on your QA server,’ so it was difficult for us to even know what they had understood from our feedback.
Where was the disconnect between you and Clavax on this project?
As I stated above, they didn’t understand that the social media integration was a key aspect of the platform. They had not foreseen any interaction with social media (except from ‘login with Facebook’) which was our main goal from the start. There were several other things that the Clavax team didn’t seem to understand. For example, they did not understand that content was more important than ownership. We tried to explain how we’d like to manage the content for deceased artists’ pages (no, Shakespeare will really not manage his own account). After 4 months they still thought that a ‘company’ was a tax-paying legal entity, they did not understand that the forum was about interaction (rather than just being a list of events). Clavax focused on creating events and showing overviews of what was on show for a given place or date. That was not what we had in mind. We wanted interaction! Not a static calendar. Explaining all these matters became difficult when Clavax proved to be very headstrong on certain topics, while not understanding what the application was meant to do.
Could we have picked up on this earlier in the process, before Clavax claimed to have completed 98% of the project? The answer would probably be ‘yes’ if we had not gotten lost in back-and-forth discussions about the format of a phone number, explaining the difference between Dutch and Deutsch, characteristics of European addresses, and so on.
Are there any areas they could improve?
When communicating with people from India, or anywhere farther east, it might be good to have an in-between person, someone who really understands the cultural differences and who could more or less translate things, for us and for the developers. Technically the platform works — there’s absolutely nothing wrong with their skills on that front — but the cultural difference was a major issue. If you have a project that requires real knowledge of European or Western culture, you shouldn't try to do that with people who don’t also have that knowledge. If I spoke of someone who worked behind the scenes, they didn't understand what that meant. It took us hours and hours of teleconferences to explain things that are basic knowledge for people situated in Western Europe.
They also could work more to improve their own communication and understanding what their clients are saying. While we sat devastated looking at our screens during the project, Clavax was pushing us with nice ideas for version 2.0 and creating the forum into a smartphone app, all while we were still looking at some web pages that didn’t do what we wanted them to do. That made us feel that we weren’t being listened to. Everything with the project went as promised, but the problem was that what Clavax promised was not what we wanted. We were a bit disappointed, and they were rather surprised that we were disappointed because they thought they were working well for us. That was a big problem.
What tips or recommendations could you share that might increase the likelihood of success with Clavax?
Our lesson learned is that when contracting development to Clavax, you need to have every little detail of the requirements written on paper upfront. For them, all things not on paper are extra features and thus extra cost. Saying that interaction on social media is part of your app, apparently, doesn’t imply that you would like to share photos on Instagram or let your friends know on Facebook that you went to a certain event.

What is your position?
I was the CEO of Recomonk.

What business challenge were you trying to address with Clavax Technologies?
I was involved with different outsourcing companies before Clavax and faced many challenges including technical quality and timing among others. When I started working with Clavax, I actually stuck with them for more than a year because I found all these challenges were resolved. In time, I got to know the people personally, too. I went to their office back in Delhi a couple of times and met the team out there. Everyone was very friendly. I didn't have any problems after that.

Please describe the scope of their involvement in detail.
This project is a web service for bloggers. Some of the web services was buried, but many features were missing. The way I worked with them was I used to give them tasks for either two weeks or a month, depending on how big is the task, and either have daily calls or calls dependent on the progress. It was not a completely scoped out task that I gave to them, but more like in chunks depending on the features I wanted, depending on the feedback that I was getting from bloggers, things like that. We worked in chunks, and I worked with them for around a year. They created many features for the website. I even had to create Facebook stores. I think most of that application was done in PHP and MySQL, so this is what they worked in, JavaScript, PHP, and MySQL.
How did you come to work with Clavax Technologies?
I found them through Elance [now Upwork]. They had good reviews. My idea was I give them a small task and see how they perform and then go from there. I give them the task and they performed really well. The communication was very clear. I found them to be better than many of the other outsourcing providers that I'd worked with in the past, so I decided to continue with them and for the better.
Could you provide a sense of the size of this initiative in financial terms?
It was between $10,000 and $50,000.
What is the status of this engagement?
The project is completed.

How did Clavax Technologies perform from a project management standpoint?
Clavax were good, which is why I stuck with them. I have worked with many providers in the past on Elance, but their work stood out. qI could rely on Clavax, and I could call them at any time. That was important to me.
What distinguishes Clavax Technologies from other providers?
I think Clavax understands the challenges of the product, and they did understand my point of view, which is why sometimes they even worked during weekends, if needed. I would say one is the fact that they were technically capable. Second: they were willing to do whatever it takes to make the project successful. Their communication skills were good.
Is there anything Clavax Technologies could have improved or done differently?
I wanted to create Android application. I wasn't very satisfied with that on the technical front and the cost front, but that was just for a very small time. Maybe some improvements out there on the mobile Android front cost wise but, apart from that technical-wise, it was fine.

Clavax helped us unify all of our data into one database. We are trying to move from the RDBMS SQL [relational database management system structured query language] server to MongoDB. That's the reason why we need some resources that understand both SQL Server and MongoDB. Not many people may know MongoDB, and Clavax was a knowledgeable resource to make this project work well.

They were recommended to us.

Clavax's work was really beneficial for us. The most important result is the unification of different data sources. We can now look at all of our data from a single database.

The only concern that I had was due of the time zones. Occasionally, there would be a one-day lag because of it. It also would have been great to be able to have more face-to-face interactions.

We needed a development team that would be able to take our requirements, wireframe, and back-end functionality, and make it all come together, both the back-end and the front-end. [This gave us] the ability to be able to look at chapters of your life, repost questions, answer that question in detail, capture that, store it, share it with others, and cherry pick what chapters you want to share with others. They also built an admin feature to let us go in and look at traffic.

Clavax built our platform on a PHP platform. They were responsible for the back-end and front-end of the site. They also put together a WordPress site for us so we could, on our own, be able to swap out marketing content or to be able to put blog posts and things like that together.

The first phase of the project is done. There's some additional functionality that we're going to add to the platform, but we are not currently working on them.

I'm not going to have a whole lot to share with you because it's still in beta. We haven't even rolled out a marketing plan yet. Whatever little traffic we get is organic. They haven't even tried to publish it and haven't even worked with SEO [search engine optimization] to try to get more users using it just yet. The very little usage has been down. We didn't want to keep it trying to work out before we're ready to spend the money and time to make it.
How did Clavax Technologies perform from a project management standpoint?
Clavax was great. I had a single point of contact who served as the application coordinator and project manager. He was very communicative. We Skyped a lot.
What distinguishes Clavax Technologies from other providers?
I have a project management background. I worked for Travelocity for a number of years. I've been very fortunate to work with teams and to visit teams all around the world. Clavax was at the top of the list as far as getting the requirements right without having to do a lot of back and forth. There is some back and forth always. It's the nature of the beast, but these guys were quick to learn. They were quick to understand it. It was a pleasure working with them.
Is there anything Clavax Technologies could have improved or done differently?
We had a requirement about this one feature about being able to record your voice and, unfortunately, trying to record your voice through a browser, it supports in IE [Internet Explorer] and Chrome, but it didn't support in Safari. We didn't know that getting into it, so they hit a brick wall. They thought they'd be able to pull it off and, as they did further research, they're like, "No, sorry. It's a limitation that Apple doesn't allow you to actually record your voice." The point is, had we known that in the beginning, we would have been a little less frustrated.

Then, we have a follow-up process in place, so the buyer can see the status of his or her purchase order, and the seller can update the sales orders. We also have a review system for buyers and suppliers.
