Caplan Artificial built a secure, private LLM over our company knowledge so teams can finally use what we have. Before this, technical sheets, IFUs, certificates, tender annexes, price lists, service tickets, and emails were scattered across our ERP, CRM, SharePoint, and network drives. Their solution ingested and indexed these sources, added multilingual search (Bosnian/Croatian/Serbian and English), and now answers in plain language with citations back to the original files. Sales can assemble tender responses, compare specs, and generate compliant cover letters. Service engineers pull troubleshooting steps from manuals and past cases at the bedside. Supply chain checks stock, alternates, and delivery lead times in one place. The system runs in our environment with SSO, role-based access, encryption, and audit logs, and we excluded PHI by design. Quote turnaround moved from days to hours, tender errors dropped, and after-hours escalations are down. Training was role based and adoption stuck.

What were the measurable outcomes from the project that demonstrate progress or success?

In the first three months after go-live, quote turnaround dropped from a median ~2 days to under 6 hours (≈75% faster), tender rework due to missing/incorrect documents fell 40%, and our public tender win rate improved by 11 percentage points. On the service side, mean time to resolution decreased 32% and first-time-fix rose 18%, while after-hours escalations declined 27%. Inventory planners now save ~8 hours per week by checking stock, alternates, and lead times directly in the LLM. Overall, 7 in 10 knowledge requests are resolved self-serve with cited sources,  that indexed decades of specs, IFUs, tenders, and service logs with source citations, multilingual search, and clean ERP/CRM integration exactly as scoped. and the project reached payback in under six months,

Project management was disciplined and transparent. Caplan AI ran the build in two-week sprints with a shared dashboard, weekly check-ins, and clear owners for every task. They hit or beat every milestone: data connectors live in week 3, first model demo in week 4, pilot in week 8, and production go-live in week 12, all on budget. Security reviews and change requests were handled quickly, usually within one business day, and urgent items the same day. They adapted to our procurement and service calendars, scheduled role-based training around field teams, and documented each decision so there were no surprises. Overall, they were responsive, proactive, and consistently delivered what they promised.

What did you find most impressive or unique about this company?

What impressed us most was the mix of “hospital-grade” governance with real, on-the-ground practicality. Caplan AI didn’t just stand up an LLM—they aligned it to our world: MDR/IVDR documentation, IFUs, CE certificates, tender annexes, and service logs, all searchable with source citations and multilingual support (B/C/S + English). Their privacy-by-design approach excluded PHI, enforced role-based access, and kept everything inside our environment without compromising speed. They also handled messy legacy systems—OCR for old PDFs, connectors to ERP/CRM—and made the results usable for sales, service, and supply chain on day one. That blend of security, domain fluency, and fast time-to-value is rare.

Are there any areas for improvement or something CAPLAN ARTIFICIAL could have done differently?

Minor areas to improve: earlier planning for legacy data would have helped, especially OCR of old PDFs and mapping of long-tail product codes; a few more prebuilt connectors for older DMS/ERP systems would reduce custom work; field teams would benefit from a lighter mobile UI and limited offline access for hospitals with weak connectivity; role-specific prompt playbooks and multilingual quick-start cards could have been delivered sooner to accelerate adoption; and an admin dashboard with clearer usage, cost, and accuracy trends plus automated alerts on data drift would make ongoing governance even easier. None of these were blockers, but addressing them upfront would make a great rollout even smoother.
