What challenge were you trying to address with CapActix Business Solutions?

We lost countless bids due to our inaccurate cost estimations, so we wanted to outsource our accounting services to prevent future losses.

What was the scope of their involvement?

CapActix Business Solutions is providing a wide range of financial services for our business. After winning a project with their accurate bidding, we expanded their scope to include accounting, budgeting, and tax compliance services. They are responsible for all of our account books and payroll management. Their team also compiles regular management reports which show our budget vs. actual analysis.

What is the team composition?

They assigned an accountant, a supervisor, and a manager to our account. We mostly interact with the supervisor for daily tasks, but the manager comes into action once a month to complete the budget reports.

How did you come to work with CapActix Business Solutions?

Several of our peers gave them glowing recommendations, including my daughter who trained under their founder.

How much have you invested with them?

To date, we have spent less than $50,000 for their services. They offer hourly rates, but we opted for the fixed price model.

What evidence can you share that demonstrates the impact of the engagement?

As a relatively small business, we didn’t have the time or resources to hire, train, and support a full accounting department. CapActix Business Solutions gives all the benefits of a finance team at a fraction of the cost.

In addition to their time and cost-effectiveness, their management reporting is much more accurate than the analytics would generate in-house. We’re now able to view a project’s profitability and make appropriate bids on the jobs that we want.

How did CapActix Business Solutions perform from a project management standpoint?

Our management staff has peace of mind because we’re finally able to track the progress of our business and make timely decisions. However, we did face a few obstacles during the onboarding stage; adopting their software proved to be a slightly difficult task.

What did you find most impressive about them?

CapActix Business Solutions is extremely knowledgeable about finance and all of its related topics, which was refreshing to experience. Their management reports have been very insightful, but the additional guidance that they provide has been the most helpful for our business.

Are there any areas they could improve?

We are satisfied with their services, but we would like to see them capitalize more on their CFO services.

Please describe your company and your position there.

I’m the finance manager of MOI International. We do wholesale trading of confectionery fats, specially formulated deep-frying oils and compounds, and cocoa butter alternatives.

We lacked the in-house accounting resources to do periodical reconciliation and management information system (MIS) reports. We engaged CapActix Business Solutions to act as an independent party and free our internal team to pursue core business objectives.

What were your goals for this engagement?

We had an array of requirements and objectives for the engagement. These included proper charts for accounts, cost centers, and profit centers. Our team wanted internal controls via a reporting system. They needed to post all business transactions and prepare management reports in a timely manner. The team also needed to liaise with auditors during external audits and provide additional consulting services.

SOLUTION

How did you select this vendor?

We solicited references and then shortlisted a number of vendors. Our team sent out inquiries and asked for responses from those companies. During our meeting with CapActix Business Solutions, the team demonstrated their domain expertise and attention to detail. Their demonstration on workflows, responsibility matrixes, and process standardization impressed us as well. They also presented a clear road map for the engagement.

Describe the engagement in detail.

We divided the project into implementation and post-implementation phases. Work focused on creating an integrated accounting software that set controls for documentation and management reporting. First, the team checked our charts, process documents, authorization matrix, and business conversions. They then identified potential gaps in the system and prepared a revised business master that included account charts, process tracking documents, profit centers, and cost centers. Once we reviewed and finalized the business master, the team configured it into the integrated accounting software. Subsequently, the team ran parallel systems—the new and legacy ones—for a month. We recently stopped maintain accounting data internally and handed responsibility over to CapActix Business Solutions.

We use a monthly billing plan.

The team includes three people. The account manager is in charge and is supported by the account executive and account assistant.

RESULTS & FEEDBACK

Can you share any outcomes from the engagement that demonstrate progress or success?

The six-week implementation process was complex and time-consuming. After that stage, we started posting transactions in the integrated accounting software while doing additional tests on our legacy system. We now rely completely on CapActix Business Solutions’ accounting and reporting services.

How effective was the workflow between your team and theirs?

Initially, our team had difficulty understanding their exact requirements. We also experienced a few communication gaps that created some challenges. However, the project manager provided crucial support. Their weekly meetings enabled us to stay on target and schedule.

What did you find most impressive about this company?

The team is knowledgeable and responsive. They are always on time.

Are there any areas for improvement?

They should simplify their reporting formats to make the information accessible to people without technical expertise. I have already suggested this to them.
