I'm the CEO of a company that makes special portable printers for smartphones and tablets.

What challenge were you trying to address with CactusSoft?

We needed to create an iOS version of our app. Prior to hiring CactusSoft, we already had an Android app completed. We wanted to test it with new developers. Since we'd known the team beforehand, we started initial talks for this project.

SOLUTION

What was the scope of their involvement?

We provided the team with necessary information like the communication protocol from the printer to the host device. The app shows the amount of ink left in the printer and battery level, for example. We gave them the sample code and source code from the Android version, as well. 

CactusSoft designed the graphical user interface (GUI) and came up with new ideas about how to implement it. They created iOS-specific features based on the requirements, but we try to offer the same range of functionality across all four platforms we offer our product on. We're still working on two more versions besides Android and iOS with a different vendor. 

What is the team composition? 

For this development, we worked with about 5–6 people from CactusSoft. They assigned us a project manager. 

How did you come to work with CactusSoft?

I've known their CEO personally for a long time now. They gave us a good offer for this project. Since we first interacted, we've seen how much they've evolved over time. We've been very impressed by the progress they've made. They gave us a good offer for this project, so we hired them. 

How much have you invested with them?

We started working together two months ago, in January 2019. Our app is partially deployed at this point. CactusSoft has done everything on time and kept our project going according to the schedule they set. 

What is the status of this engagement?

So far, we've spent around $15,000.

What evidence can you share that demonstrates the impact of the engagement?

Even though don't use a complicated metric system, but we're evaluating the team all the time. They follow our requirements point by point. We assess CactusSoft based on how well they fulfill the specifications based on our description of the intended functionality. 

How did CactusSoft perform from a project management standpoint?

The project manager is very responsive. She usually replies within two hours and apologizes if she can't. CactusSoft has definitely been proactive and responsive at all times. 

What did you find most impressive about them?

CactusSoft is a very professional team that does everything in the correct manner. They offer competitive costs even compared to offshore vendors we've used, as well as other companies we have experience working with here in Europe. 

Are there any areas they could improve?

From a customer perspective, we always want things to be finished faster. As long as they keep following the schedule, though, it's fine. 

Do you have any advice for potential customers?

I advise future clients to be very precise about what you want to accomplish. It's useful to have well-defined specifications or a reference project to show them.

I’m the CEO of Be-Mobile, a smart mobility technology partner that’s active mostly in Western Europe. As a Big Data and data-driven company, we provide solutions for traffic management, fleet management, electronic toll collection, parking solutions, and driver navigation systems.

What challenge were you trying to address with CactusSoft? 

At the time, we had won a big government project in the Netherlands that required us to onboard at least 25 resources over a period of three years. CactusSoft joined our project to augment our development capabilities.

SOLUTION

What was the scope of their involvement? 

CactusSoft provided four major services to help us build our software: backend development, frontend development, QA testing, and digital map updates for OpenStreetMap. The latter was crucial because the digital map was the core layer in most of our applications. 

In terms of programming languages, our CTO decided to switch from .NET to Go because it could replace C++ and other languages. CactusSoft rapidly learned and trained their team in Go, which was a pleasant evolution. After finishing our Netherland project, we’ve continued to engage CactusSoft on other contracts.

What is the team composition? 

Our current team consists of about 15–20 resources who work exclusively for us.

How did you come to work with CactusSoft? 

When we first started the Netherland project, we had a hard time finding local talent because the landscape was pretty competitive. We then contacted a few Belarusian near-shoring companies, found CactusSoft, and decided to collaborate with their team.

How much have you invested with them? 

We spend roughly €800,000 (approximately $908,000 USD) per year.

What is the status of this engagement? 

We started working with them around December 2016, and the engagement is ongoing.

Our CTO and head of project often follow up with CactusSoft to review their performance, and they’ve been satisfied with what they’ve seen. The fact that we’re still working with such a large team from them speaks volumes to their success.

How did CactusSoft perform from a project management standpoint?

CactusSoft has their own project management procedures but makes sure to align their methodologies with ours. They’re also familiar with sprints and other agile approaches. As for communication, we use Slack to chat and Jira to upload software.

Despite the challenges of working remotely, their quality and speed are comparable to working with a local team.

We’re very impressed with the way they organize and manage their projects. We use Jira to maintain very close contact between the teams. Communication is on a daily basis and very direct, so we’re always well aware of timing and issues, which we discuss together.

We worked in one- or two-week sprints. We were always aware of what was going on in the project. Overall, the project management on the technical side is very fluent.

What did you find most impressive about them?

They really know what they’re doing. They know how to write a cloud platform and connect with IoT devices. Their communication is very good too.

The only issue is with the budget. They need to let us know more specifically that if something takes longer, the budget will increase.

We needed to develop an analytical application allowing us to process data and manipulate it through different user interfaces. It was not a skill set we had so we needed to partner with a technology provider.

What was the scope of their involvement?

CactusSoft has focused on developing for the web. Our application can work on mobile devices, but we don't specifically develop native apps. CactusSoft has a very talented team of designers and HTML coders that can be used for various projects. We add those resources for a couple of months per year. Currently, we are working with 6 people from CactusSoft but the size had fluctuated. Occasionally, we have used up to 10 people from CactusSoft.

How did you come to work with CactusSoft?

We were introduced to CactusSoft by a friend and former colleague who used to work with them. They have extensive project experience with a wide variety of different companies. We felt confident in their capabilities.

What is the status of this engagement?

We started working with CactusSoft in August 2013. We have a very long and tight partnership with CactusSoft.

Could you share any evidence that would demonstrate the productivity, quality of work, or the impact of the engagement?

We customize our product based on the needs of different organizations. In the past, when we received multiple requests from clients at the same time, we were able to bump up the team from CactusSoft. That allowed us to deliver everything on time, perfectly. This was a very good exercise for us.

Also, CactusSoft's management has allowed us to be picky and this reflected positively for the rest of our team. We can evaluate the CactusSoft staff and introduce the ones which are most relevant to our project. This is one of the advantages of using them. Over time, we have arranged for people from CactusSoft's side to come to the US. They help us present the technical aspects of our product to clients, doing so as if they were our own employees. Some companies may be reluctant to bring in vendors to the forefront, but we've never had this issue with CactusSoft.

How did CactusSoft perform from a project management standpoint?

Over time, we've established a certain workflow. Jira and Confluence are our knowledge management base and we also use a bug and issue tracking system. We rely heavily on modern chat tools like Slack for communicating across teams. This tool complements email nicely and brings everyone on the same page. We also have integrated it with Jira. We use Zoom.us as a conferencing tool because of its superb video capabilities. We have daily video standup meetings but we ditched Skype early on because of its glitchy nature.

What did you find most impressive about CactusSoft?

Friendliness and attentiveness are big plusses. CactusSoft is very accommodating, which speaks to their management more than development. They will oftentimes go the extra mile in order to make sure that we are happy. When there is no pressure on our side, we try to return the favor, which creates healthy relationships.

Are there any areas CactusSoft could improve?

We have a very diverse technology stack, including a Java back-end. CactusSoft cannot offer everything and we've had to compensate on other fronts. CactusSoft specializes in mobile development, but we would appreciate it if they'd be willing to grow in other areas. I haven't had any complaints so far on other matters.

Could you share any evidence that would demonstrate the productivity, quality of work, or the impact of the engagement?

CactusSoft was able to realize the scope of the project that I set forth, leading to the success of the project. I was able to bring fully-working products to the market, some of them through redevelopment and others from just an idea. CactusSoft stuck to the time and economic budgets of our agreement. They delivered a working result. The applications have been launched but are idle at this time. I've decided to change the focus of the business, so I'm not marketing the apps in any way.

How did CactusSoft perform from a project management standpoint?

I've worked with 4 different project managers from CactusSoft, all with different personalities. I found the communication to be intimate and personal; CactusSoft actually cared about what I was trying to create. We used Jira and Trello for project tracking, among other tools. As a customer, I needed the ability to brief the team directly and have them ask questions, so we held weekly meetings during which I spoke my mind. We were able to minimize misunderstandings and reinterpretations. CactusSoft did their best, based on my requirements. If I asked for something that CactusSoft didn't agree with, they let me know, and I always realized they'd been right.

What did you find most impressive about CactusSoft?

CactusSoft is big enough to get the job done but small enough to act as a personal business, providing care for individual clients and their needs. Instead of just complying with whatever the client wanted, their team asked critical questions. Whenever CactusSoft identified a wrong approach on our end, they spoke their mind. I treasure that quality.

Are there any areas CactusSoft could improve?

Once in a while, people will leave the company. Changing project managers requires additional resources. CactusSoft could improve in terms of communication. Otherwise, I have been quite content compared to what I've received from other companies.

BACKGROUND

Could you briefly describe your organization?

The organization I was with, and I’m no longer with them anymore, but when I employed CactusSoft, what we did was connected devices for the Internet. CactusSoft helped us to develop some of our cloud software and user portals. I should say that the first time we commissioned them had to do with developing a custom iOS application for the iPhone. 

What was your position?

I was one of the vice presidents.

OPPORTUNITY / CHALLENGE

Could you describe the business challenge(s) you were attempting to address when you initiated the relationship with CactusSoft?

Yes. I first began the relationship with CactusSoft about two months after the iPhone SDK was released. They were one of the very first ones to be able to build custom iPhone apps. I know everybody does it now, but back then, it was still a very new technology. That was one of the main challenges. The next challenge had to do with how to ramp up our capabilities, because we’re a relatively small company. They essentially augmented our development team. They’re very good at bringing people on and then setting them up, so I don’t have to carry them as employees of the company, which is another challenge to growing a small business. Then also finding talents. Talented developers are really hard to find here in the U.S., at least the right kind of talent. 

This iPhone application: was it a consumer application or enterprise application?

It was a consumer application. 

SOLUTION

Could you describe the scope of the project? For example, did it involve custom visual design, backend development, training, support, etc.?

They collaborated with us throughout the entire process, from conception to implementation. We'd create the wireframes and then move onto the functional development. Once we had a Minimum Viable Product [MVP], we'd begin the testing phase, and then return to the drawing board to make necessary adjustments and enhancements. The process was very smooth, much more so than I had originally anticipated. They were very good with UI/UX & QA/QC testing. 

How did you select CactusSoft as your solution partner?

I found them through LinkedIn. We submitted our RFP and they responded with a very reasonable and compelling proposal. I then conducted a phone interview with them and had them describe their development capabilities and methodology. I felt confident that they'd be able to deliver high quality solutions.

Were they the only vendor that received a request for proposal from you?

No. I also worked with an Indian company, and it was an absolute mess. I ended up pulling the Indian company’s work and just giving it to CactusSoft. There wasn’t even a comparison in the quality of work, the straightforwardness, the transparency, etc. 

Could you provide a sense of the size of this initiative in monetary terms?

We worked closely with them from 2008 to 2012. It ranged from one full-time developer to five developers, depending on the complexity of the project. We've build some pretty large applications with them, definitely within the six-figure range. 

When was this mobile application completed?

The first application was completed and posted to the iPhone app within four months. The very first launch was probably in January of 2009, or perhaps February.

RESULTS & FEEDBACK

In terms of results, could you share any statistics, metrics, or user feedback that would demonstrate the effectiveness of the work they've delivered?

They dealt with the majority of the UI/UX design and testing, and our users have been very impressed. There are rarely user-facing defects and flaws. They also helped us build cloud applications. I did have that work evaluated afterward by a 3rd party, and they said that all the cloud work was superb, well done, and well documented. 

When working with CactusSoft, is there anything you would consider unique or special about them compared to other vendors you’ve worked with?

Everything. I mean, they offered much, much more than previous vendors. They had much greater technical knowledge.They have deep technical knowledge and a fantastic work ethic. If I needed something done, they would work hard and turn the task around within 24 hours. They would consistently work overtime. They would even work on weekends. I remember calling them on New Year’s Eve to get ready for the consumer electronics show. [They were] more than willing to understand our schedule constraints, and our funding constraints, and they worked extremely hard within those stringent parameters. 

In terms of constructive feedback, are there areas that you think they could improve upon, or are there things you'd do differently as the client before approaching this type of project?

Every so often, I think that the only thing that I should have done differently is probably specified that part more clearly for them. There was a little bit of a language thing that goes on because they’re Russian. It isn't the same exact experience with the Indian firms, but there is still some friction in terms of work culture and idea exchange. If we'd been more crystal about our specifications and requirements, we'd probably have begun working together more smoothly in less time. That's really the only takeaway.

BACKGROUND

Could you briefly describe your company?

It’s a small software engineering company. It’s a relatively small IT [information technology] shop that specializes in proprietary Microsoft products and solutions.

OPPORTUNITY / CHALLENGE

Could you describe the business challenges you were attempting to address when you initiated the relationship with CactusSoft?

The main business challenge was to be able to scale our capabilities quickly based on the project requirements. We initially tried hiring part-time developers to augment our team but, in the end, it wasn’t a viable solution. It was actually quite difficult to hire developers with any semblance of efficiency.   

SOLUTION

Could you describe the scope of the projects? For example, did it involve custom visual design, backend development, training, or support?

I involved them in several different projects, from conception to delivery, and even maintenance. They do a lot of the design work as well as software implementation and development.

I’ve also involved them in quality assurance and quality control. It all depends on the project budget and whether we have sufficient resources to allocate to quality assurance.  

How did you select CactusSoft as your solution partner?

We first tried an offshore development approach. It’s not Asia. It’s Europe, and in the Euro zone. I tried out a couple of companies, and finally settled with CactusSoft. I believe I discovered them through an article about East European software companies. The article described the high graduation rates and advanced engineering degrees that the candidates have there, due to their command market economy. It was then that I decided to test a few companies there. CactusSoft really had the right mix of proficient developers and their services were reasonably affordable. At this point, our partnership is eight years old.  

For what platforms did you require development services?

We’ve done a lot of work with the Microsoft Stack, .NET, Internet information services, and SQL servers. They’ve also developed mobile applications for us using iOS.

Could you provide a sense of the size of this initiative in monetary terms?

The projects have ranged anywhere between $50,000 each year to $150,000, depending on the scope.

When was the most recent project completed?

We have several ongoing projects. The recent project that we completed was two years ago, which was an electronic medical product.

RESULTS & FEEDBACK

In terms of results, could you share any statistics or metrics that would demonstrate the effectiveness of the work they’ve delivered?

It’s been going great with them so far. I think some of them may be covered by NDAs [non-disclosure agreements], so I probably can’t disclose exact figures. In terms of delivering quality work based on project requirements, they’ve been fantastic. Our customers have expressed great satisfaction with the work delivered. We rarely have malfunctions and bugs emerge. They’ve been a pleasure to work with.

When working with CactusSoft, is there anything you would consider unique or special about them compared to other vendors with which you’ve worked?

What’s special is the amount of competent developers they’re able to throw at a task or problem. If and when a resource of theirs is preoccupied with something else, we usually end up with someone equally as good if not better. They have a considerable pool of talent.  

Consistent delivery is another great quality of theirs. Quality is definitely important, but from my standpoint, having consistent delivery is almost equally as important. They’re always able to deliver a solution within budget and on time.
