As with any complex, innovative project, there were a few areas where additional clarity or proactivity would have strengthened the experience. At times, we would have benefited from more upfront guidance on when they would need our involvement, input, or decision-making, simply to streamline coordination. Additionally, while we fully understand the need to manage scope carefully, we would have welcomed even more imagination and proactive ideation around what might be possible within the constraints. That said, these are refinements rather than criticisms. BotsCrew showed a clear willingness to engage in open dialogue, adapt with us, and work toward creative solutions, and we deeply appreciate the partnership they brought to this project.

They also build dynamic, AI-powered knowledge base with over 2,000 Q&A entries, that continuously evolves and learns from each new RFI. They also added, a manual editing tool that allows our team to update or refine answers directly in the system. 

Also, they build two intelligent tabs:

Questions & Answers: automatically fills in RFI templates with precise, context-aware answers.

RFI History: stores all completed responses and Q&A pairs for easy reference, traceability, and compliance.

I’m an organizational development director at ProSteer Group. We’re an e-commerce company involved in different e-commerce platforms worldwide.

What challenge were you trying to address with BotsCrew?

We needed to develop a chatbot to automatize some of our company’s processes since our operational costs were rising.

SOLUTION

What was the scope of their involvement?

BotsCrew developed a customized chatbot for our company. We had a long discovery phase where BotsCrew interviewed us to find our project’s goals and which processes could be replaced by the chatbot. 

BotsCrew found that more than 50% of the dialogues our contact managers had could be held by algorithms. Moreover, BotsCrew also found that 30% of our client’s inquiries were about their order status, and this answer could be given by a bot. 

Some functionalities that BotsCrew integrated into the final product were the tracking and calculation of customers’ deliveries, answering FAQs, and redirection to our catalog for product information and purchase.

We worked with BotsCrew’s project manager, designer, and software representative.

How did you come to work with BotsCrew?

We found BotsCrew through online advertisement. We were looking for providers located in Ukraine since we prefer to work with local service providers.

We interviewed a total of three companies for six months. We were looking for top leaders in the industry and compared their prices, services, and timelines.

What is the status of this engagement?

The discovery phase started in November 2020, and our development project with BotsCrew took place from March–July 2021.

What evidence can you share that demonstrates the impact of the engagement? 

The chatbot developed by BotsCrew works excellently. We haven’t needed any support from BotsCrew, and the product is sustainable. We’re happy with this functionality.  

Overall, BotsCrew took a really deep look at our business. They were really involved and proposed great ideas. 

How did BotsCrew perform from a project management standpoint?

BotsCrew’s project management was efficient and transparent. We had a backlog system where we shared documents and updated every budget change. BotsCrew met deadlines and had a good pace of implementation; they gave us a good push. 

We had weekly meetings, and BotsCrew was always prepared — they were quick and efficient. Moreover, BotsCrew was responsive, and their written communication was precise.

BotsCrew sent us letters for approval, so we didn’t have any surprises. Our weekly meetings only lasted 30 minutes because BotsCrew's project manager was so prepared that she covered every item for the next sprint in that time. 

What did you find most impressive about them?

I was most impressed with BotsCrew’s speed and flexibility to work. They constantly asked us for feedback, and our remarks were taken into consideration. Whenever there was an issue with something, BotsCrew was quick to fix it. We just had to communicate it.

BotsCrew has a lot of experience developing chatbots for the e-commerce industry, and this was really helpful because they’ve had similar challenges to us. The engagement can be more impactful when the service provider has experience in the same industry as the client.

We needed to rapidly build an eCommerce tool for cannabis dispensaries that was both cost effective for a startup, and also scalable as we grew rapidly since we had already presold some customers prior to launch.

We had some initial meetings to set up the scope of the project and the migration, we were sent over clear timelines and project milestones. The migration proved to be more difficult that any of us had anticipated however it was ultimately successful. Moreover after being impressed with BotsCrew's work we extended the scope of work to improve the UI/UX of the bot, work on NLP trainings phrases and improved the navigation.

The main point of contact that Nataliia who oversaw the entire project, I was also in touch with Max and Christina (during the scoping period) and Mykhailo was the conversational designer. Everyone has been a pleasure to work with.

We have seen more accurate and reliable data and insights on our chatbot after working with BotsCrew. Our work requires us to be any to make constant edits to content and resources and BotsCrew have facilitated this.

I work for a communication company called Leo Burnett. Leo Burnett is part of the Publicis Groupe, which is one of the biggest communication businesses in the world. I'm the Client Director for Digital Solutions in Australia.

What challenge were you trying to address with BotsCrew?

We hired them to develop the backend and learning capabilities of a chatbot for a car company. 

SOLUTION

What was the scope of their involvement?

We developed a chatbot with AI components that was accessible via Facebook messenger, our website, and Google Assistant platforms. BotsCrew built the backend side and the natural language processing (NLP) part of the chatbot. They also integrated it to an AI voice, which we generated, creating a unique experience for a specific car model. 

Additionally, they created the flow of conversation and the follow-up topics, in addition to training the bot to understand and ask follow-up questions. If you ask the bot a question, it understands the next topic and continues the conversation.

BotsCrew worked like a partner with us in that they came to client meetings. We had no problem letting them face the clients.

They have a big team of about 6–7 people, but I mainly dealt with the lead technical resource.

We spent about two months finding the right partner and briefed about 4–5 different companies, including BotsCrew. they came back with the best solution.

What is the status of this engagement?

We started working together around February of this year. The engagement is still ongoing because they do a bit of maintenance every month. They're still looking after the project part from the backend point of view as well.

What evidence can you share that demonstrates the impact of the engagement?

The campaign launched about three weeks ago, and even though it's still in the early stages, the client is extremely happy. The quality of work is amazing, and BotsCrew is really smart. The solution is great. They're simply awesome people to deal with.

One of the biggest challenges that we gave them in terms of success of the campaign was latency, as there were a few different integration points that could have spurred latency. They smashed all those expectations.

How did BotsCrew perform from a project management standpoint?

They're phenomenal and have never messed a beat with either their professionalism or ability to deliver. We've never had We had a really tight timeline, and BotsCrew delivered against every single major milestone that we set. 

We use Slack for all communication, as well as Jira, Confluence, and other project management tools. 

What did you find most impressive about them?

Their professionalism and constant responsiveness stand out. Whenever we need urgent answers, they always respond within the timeframe we agreed on.

Are there any areas they could improve?

No, there are not. Our experience with BotsCrew has been great.

Any advice for potential customers?

Give them a clear briefing. If you're clear on what your product is and what your objectives are, then they will respond well. The more you give them, the better the solution will be.
