Assabet Dental Group, P.C. is a dental provider, and I am the Office Manager. I am also responsible for all end to end operations, including finance and IT.
For what projects/services did your company hire Boston Byte?
We hired Boston Byte to build a custom Patient Engagement Software to better interact with our patients.
What were your goals for this project?
The goal of the project was to increase patient engagement, create patient loyalty, be able to provide better treatment scenarios to the doctors and be able to generate analytics on patient visits.
How did you select this vendor?
We have been working with them for IT services for the past several years.
Describe the project and the services they provided in detail.
The project was to develop a Customized Patient Engagement Software which will help provide a snapshot view of all our patients or appointments of that day or any given time period.
It facilitates communication between the care coordinator and the patient, and further facilitates post-care communication between the doctor and the patient. It also has other complementary features like analytics of visits, reminders, alerts etc.
What was the team composition?
The main point of contact for us was the Project Manager of the Boston Byte team who initially conducted interview to determine the workflow and created a high level architecture for our understanding.
The project manager led a team of developers, with whom we had a couple meetings to conduct user testing and to iron out some requirements. From our side, I was leading the project and coordinating any internal requirements.
Can you share any information that demonstrates the impact that this project has had on your business?
The system that Boston Byte created for us made a big difference to our business & our lives. We could not select a 'off-the-shelf' product that suited our needs, so we went with a customized software.
It has significantly increased patient satisfaction and also streamlined communication with the patient. We never have any issues with the system and the support received from the Boston Byte team has been phenomenal.
How was project management arranged and how effective was it?
The Project manager was the main point of contact for us and we felt like were in good hands. After the initial couple in-person meetings to understand requirement, we only had one weekly online meeting for updates.
The project manager also summed up everyday's activity and progress to us via email so we felt like we were always in the loop and the project was proceeding steadily.
What did you find most impressive about this company?
The Boston Byte team has always been very supportive, and we can trust them to get the job done. They are also transparent and communicative. So overall I would say I love the people and their dedication.
Are there any areas for improvement?

Introduce your business and what you do there.
We’re a digital agency that performs strategy, design, and development for websites. We do a lot of work for nonprofits, foundations, educational institutions, governments, and healthcare.
What challenge were you trying to address with Boston Byte?
We primarily leverage them as a QA resource. We do a lot of software development on our website, and the team does the day-to-day QA for many of our projects.
What was the scope of their involvement?
We work with them on a variety of projects as part of a long-term engagement. We have both an internal QA team and an offshore QA team, and they represent our offshore QA team.
They’re often balancing many different projects at once. They’ll attend daily standups meetings to give a status. Once they understand the requirements of our software, they’ll build test cases. Then, they’ll execute the test cases once the software is ready. They’ll also create bug tickets or call out any issues during testing. Once the software is ready to be delivered, they’ll run regression testing.
Much of their work has been on websites for our healthcare clients. They’ll make sure that the functionalities on the homepage (e.g. finding which hospitals are in their area) meet the outlined specifications.
Technologies used include TestRail, which helps them capture test cases, build out our test suites, and manage regression tests. They also use a cross-browser testing tool to ensure that we’re testing a website in all the relevant browsers and devices.
What is the team composition?
We’ve worked with two resources before, we’re working with four resources now, and at times we’ve needed to ramp it up to as many as eight resources.
How did you come to work with Boston Byte?
We already had a business relationship with one of the founders of the company, Mustapha (CEO). It was also key that they were familiar with the technologies we work with (we use Sitecore primarily, but we also use Drupal and Adobe Experience Manager).
It was important that they knew how our CMS was structured from an authoring perspective. This way, they could reproduce the experience of creating webpages and put components together.
How much have you invested with them?
It’s in the ballpark of about $100,000 to $200,000.
What is the status of this engagement?
We’ve been working with them since 2010, and the work is ongoing. We work with them on yearly contracts, which we typically renew each year.
What evidence can you share that demonstrates the impact of the engagement?
Their work has definitely impacted our client’s level of satisfaction as well as their perception of the quality of our work.
How did Boston Byte perform from a project management standpoint?
They’re very reliable and responsive to feedback; we don’t really have any issues. They’re very good at completing scheduled work on time. Otherwise, they’ll be realistic with us to say that there might be a delivery challenge. They’re very proactive about bringing potential issues up and making adjustments as needed. They’ve also been able to scale up when things get busy.
What did you find most impressive about them?
I know each of the QA testers pretty well. We have really good, open lines of communication and feedback. We’re really comfortable working with them.
They’ve always been very flexible with us. We’ll come to them with crazy deadlines or needs. They think creatively and put together resources to meet any goal or timeline we put in front of them.
Are there any areas they could improve?
We’re really happy working with them.
Do you have any advice for potential customers?
We’ve maintained weekly meetings with their QA team to review their projects and talk through any challenges. In addition, I meet with their management once a month. I would recommend following a similar pattern as this has helped us keep up a positive relationship.
