We came into the engagement with unusually deep internal documentation and needed a partner who would actually engage with it. Apiko ran a fixed-fee Discovery phase through the summer of 2026 ahead of our V1 marketplace build: weekly working sessions, flow mapping across our customer, operator, and admin surfaces, a full work-breakdown structure for V1, and the design foundation stood up in Figma from our brand system. Key deliverables included the WBS, business-process and flow diagrams for our core booking and dispatch loops, and the Figma design workspace built from our brand assets.

What were the measurable outcomes from the project that demonstrate progress or success?

Discovery delivered what Discovery is supposed to deliver: a shared, precise picture of the product and a work-breakdown structure we could make real decisions against. Concrete markers: every weekly workshop held on schedule; our brand assets acknowledged and moving into Figma within the hour we shared them; a dedicated Slack workspace stood up before our first working session; and the CTO producing flow diagrams in week one.

Weekly Friday workshops that started on time and stayed on agenda. Slack for speed, email for the record. Responsive across time zones, usually same-day. When we sent dense pre-reads the night before a session, they arrived having read them.

Two things. First, CTO-level engagement from day one: their CTO was personally in the flows in week one and later mapped our internal requirements into the work breakdown line by line. Second, they do the reading. We hand partners a lot of documentation; Apiko engaged with all of it and pushed back where they saw it differently. Their combination of senior technical attention and genuine intellectual engagement is rarer than it should be.

Nothing material for this phase. Our feedback is based on the Discovery stage only; the main development work was still ahead at the time of this review.

I’m the co-founder of Visalaw.ai, an AI-powered software tool that helps immigration professionals with legal research, document drafting, and workflow automation.

We needed to build a website with an online database at its heart. The project had a lot of requirements and a relatively short timeframe.

What was the scope of their involvement?

Apiko managed the entire project, with close collaboration from me on the design and functionality. The team delivered a fully functional website. The site required a complicated data upload capability with an easy search and browse component for users.

The site was intended for non-technical users (mainly lawyers and students), so we had to make changes along the way to ensure users would have a good experience. Apiko quickly made changes to get to where I needed.

Once I was able to start loading content and posting it successfully and we resolved various technical problems, that was enough to determine the project was successful. I’ve been using the site regularly, and it works well consistently.

The site now has regular viewership, and the content is growing quickly. We’ve also received a number of positive reviews.

Apiko’s project management was excellent. The team delivered on time and responded well to our needs. They communicated clearly and promptly. We had WhatsApp calls and chats, as well as emails.

The quality of the suggested contractors was higher than I expected, historically I expect to have to "trade out" contractors to find a fit, and the expected skills. To this point I have only had to replace contractors that have left Apiko entirely.

The only ask I would make of Apiko is to commuincate if and when contrators under thier purview will be expected to need updates to titling and rates.

They were friendly, skillful and effective from the beginning of the project to its completion and hand off to an internal team. 

They are very detailed in planning and project management, and always very transparent on any questions or concerns raised through the life of the project. They also made accommodations for our needs above and beyond expectations.

Including automated testing and more thorough documentation are two areas I feel they could improve upon, however their skill and efficiency in software development and project management quickly and deftly handled any issues that arose.
