I was overseeing our website refresh. Our site was quite dated, so we wanted to revamp it to reflect the brand and character of our firm. We wanted to redesign our platform so that it would differentiate us from other sustainability-focused investing companies.

What was the scope of their involvement?

They re-designed our website and delivered the copy on it. The team handled everything related to the UX/UI of the platform. They produced the non-photograph graphics on the site — like diagrams and icons. They also executed SEO-mapping for the platform. In addition to web development, they refreshed our PowerPoint deck format.

We had a main point of contact, but the team size fluctuated around ten people.

What evidence can you share that demonstrates the impact of the engagement? 

Our team loved the new website. I work for a subset of a larger organization and was asked to present the new website to the entire firm. It received phenomenal internal feedback because there was the consensus that it really distinguishes us from other companies. It successfully communicates our values to our clients.

How did RainCastle Communications Inc. perform from a project management standpoint?

They were great. They were communicative, and even Paul (Owner) checked in with us at numerous points. They met deadlines no problem and were very flexible throughout the engagement. I know they used SmartSheet as a project management tool.

What did you find most impressive about them?

Their customer service is excellent. They really understand the client, and they’re great at addressing the client’s specific needs. We’re a little old-school in how we operate, and they were very accommodating of that.

No, not really. The team is very receptive to feedback.

Do you have any advice for potential customers?

Don’t be afraid to give feedback. Be vocal about what you want, and tell them what constraints you’re working with. They’re very flexible and will give you a great result.

Our site looks cleaner and has gotten more compliments from clients who appreciate the update. We’re a traditional institution, so it was nice to see people respond positively and change their perception of us as being set in our ways or maybe a bit out of touch with the digital era.

They reply promptly to emails. When it came to calls or in-person meetings, they were consistently on schedule. We had a great working relationship.

What did you find most impressive about them?

They make a point to get to know you and adapt to be the right fit for your organization. For us, that meant they were able to work within our comfort zone as far as the site’s look and feel, while at the same time making our brand come across as current and in touch with a modern audience. I think it’s a bit atypical for web developers to embrace a company’s culture so thoroughly, make time to understand who we are and work within our comfort zone.

We had a short runway to get the work done, but RainCastle delivered on time and was communicative each step of the way. We worked as one united team - checking in on each other's deliverables at least once a week and providing updates on variables that inevitably come up that shifted the timeline. Copywriting, design, and development was done efficiently and we were able to meet all of our deadlines with the help of Jill, our project manager who kept timing and budget on track throughout the process.

RainCastle has been an essential partner to the Betsy Lehman Center, providing design, copywriting, video, web development and other communications support for a number of projects. Every person we work with at RainCastle is great at what they do - when we bring them into a project, it feels like we are all on one team and work together seamlessly. I know when we start a project with RainCastle, I will get what we asked for, on time and on budget. I don't have to keep track of every deliverable because they have it handled. R1: They’ve worked on a number of projects for us, including building our website. We’re a relatively new organization and needed help in this area. RainCastle has been our only visual design and web development contractor.

SOLUTION

What was the scope of their involvement?

R1: RainCastle built our first website and are currently redesigning parts of it. They’ve also developed a number of online applications for our constituency. Our first project involved design work for a large event including a website, posters, and other materials.

R2: We also contracted with them for visual design services in the form of communication tools. These include infographics, newsletter templates, and a patient safety navigator aimed at helping providers learn about response situations.

We had a training session to learn about the functionality of the CMS.

R1: They created all our visual design and branding—everything except the written content on the site. The patient safety navigator was a novel tool for helping healthcare providers report adverse events to various state and federal agencies and figure out their reporting obligations using a decision tree. There are other supporting materials that go along with this.

R2: They’ve also provided SEO services for the site. We let them know what kinds of keywords we were looking at to make our site more visible.

R1: RainCastle created content for video production and made the three animations on our site.

R2: They also made an infographic related to a cataracts expert panel. The team translated information into visual aids meant to help people follow best practices.

The website is powered by Craft CMS, based on the requirements we had for the patient safety navigator tool. Our target audience is healthcare providers, not patients. The aim of the tool is to guide them through reporting requirements for medical errors and other adverse events.

R1: We’ve worked with around five of their members, three of which we’ve met with regularly—the president, a project manager, and a database expert. We’ve also collaborated with the head designer and a scriptwriter for the video production work.

R2: We’ve also worked with the two backend coders.

How did you come to work with RainCastle?

R1: I had worked with them on various projects over the last 10 years. We had other companies bid on the project, but we were pleased to have the opportunity to work with RainCastle again. Two differentiating factors were their good interpersonal communication and project management skills. They’re also a creative team, which was important because we were building a fairly novel product. RainCastle was willing to work with us as a creative partner.

How much have you invested with them?

R1: The total cost of their work has been around $300,000.

What is the status of this engagement?

R1: We started working with RainCastle in September or October 2014 on some design work. The main site launched in May 2016. Development for it started six months earlier.

What evidence can you share that demonstrates the impact of the engagement?

R2: The users of the navigator report that they like the tool’s concept and the visual design used for presenting its process flows and information.

R1: Stakeholders have called our website and newsletter template fresh, professional, and engaging. They convey an appropriate look-and-feel for our particular area. As a non-regulatory state agency, we’re somewhere in between a nonprofit and a regular business so our materials have to look professional and give us credibility while also remaining readable and not overly-technical. The anecdotal feedback we’ve heard confirms that we’ve achieved that goal.

How did RainCastle perform from a project management standpoint?

R2: We met regularly to discuss the website requirements. We had final sessions for the validation and testing of the website’s functionalities and content. We’ve always had a good communication rapport with them.

R1: They’re exacting and well-organized. Our project manager keeps us on track and is good at communicating expectations upfront. We have a mutual understanding that each party needs to deliver. They’re good at running meetings and make sure that we get the right outputs during them.

R2: RainCastle has been very flexible with us. We can be demanding in requiring high-quality outputs, but they’ve usually met our demands. We have deviated from the scope of work at times but they’ve worked with us.

What did you find most impressive about them?

R1: Our field is a bit obscure and technical, but we’ve been impressed by RainCastle’s ability to come to speed with what we’re doing. Designing our patient navigator involved understanding a complex regulatory system and simplifying it for end-users. We’ve done research and organized the material, but turning that into a usable tool for others required a level of understanding. They quickly developed a fluency in some very obscure material.

Are there any areas they could improve?

R1: We don’t have a large budget, so it can be harder for them to deliver smaller work products within our budget. RainCastle has high standards for the work they deliver, which makes it harder for them to give us lower budget alternatives at times.

Do you have any advice for future clients of theirs?

R1: Overall, we would highly recommend RainCastle for all of the reasons stated above, with the caveat that they may not be a good fit for small, low budget clients/projects.

They were transparent and easy to work with. Whenever I mentioned concerns, they addressed them immediately. Near the end, we had to speed up the project, and they were more than willing to accommodate.

We could’ve been better at scheduling regular check-ins.

We initially met them in person, and that helped us start the relationship off well. If possible, meet face-to-face at the onset of the project.

RainCastle Communications, Inc.'s entire team was awesome. We just launched our website in January 2024 and had our highest web traffic that month. Our traffic grew by around 40% from previous months.

RainCastle Communications, Inc. communicated well and delivered work on time and within scope. The team didn't ask for any additional or hidden fees. RainCastle Communications, Inc. was very flexible to meet our requirements since we had to change a few things along the way. We shared files via Googe Docs. 

What did you find most impressive about them?

RainCastle Communications, Inc.'s design skills were next level. The team understood our industry well and got up to speed quickly, creating a unique positioning in the market. Overall, I was impressed with the team's use of best practices. RainCastle Communications, Inc. delivered a site that was easy for us to edit on the backend after the project concluded.

We changed our name about three years ago to reflect all our services. We needed to build a completely new website to reflect our company as it is today.

What was the scope of their involvement?

Our first engagement with RainCastle Communications, Inc. was for rebranding. We had been around for 75 years, and our goal was to educate clients, potential hires, and our own people about our services. We conducted focus groups on our end and had a pretty straightforward picture of what we wanted to do. RainCastle Communications, Inc. helped us to put that into words to grab people’s attention.

About a year ago, we had an initial conversation about how we could update our website. Jill (Director of Client Service) and Paul (Owner) were on the call. We discussed our goals and how we wanted to be seen. They quickly started talking about what we could do, and it became clear that we needed a new website.

RainCastle Communications, Inc. completely restructured our website, created new materials and copy, and leveraged three videos and company photos. They built the new architecture and structure from the ground up and used WordPress and Adobe XD. Additionally, they continued our branding throughout the website and copy, keeping our colors and image front and center.

About five teammates were regularly involved; there were different people for different stages, not everybody at once.

We began working with them in August 2021. The rebranding was quick; it lasted about four weeks. The website redesign and redevelopment was launched in early December 2023.

We saw a lot of engagement from LinkedIn. We used the website for advertising and highlighted it on several posts on social media, so we got a lot of traffic that way. Moreover, there was a lot of activity; people contacted us and asked about our videos and website.

In general, RainCastle Communications, Inc. exceeded our expectations on everything they delivered.

How did RainCastle Communications, Inc. perform from a project management standpoint?

RainCastle Communications, Inc. was supposed to do the website redevelopment in 3–4 months, but we slowed it down. We made changes because we wanted different things. For example, we brought on our videographer to shoot videos. Also, we didn’t have a finished product in mind; we wanted more feedback from friends, employees, and stakeholders. RainCastle Communications, Inc. was flexible with that and easy to work with.

We used Google Docs and OneDrive on our side. Additionally, we had regular Zoom meetings and phone calls to communicate.

What did you find most impressive about them?

They understood our company and gave us advice. The team asked questions and took time to understand our brand's meaning, values, and what we want people to see. Overall, they made our job easier because we didn’t have to think about our company message and branding constantly.

Are there any areas they could improve?

We usually don’t use Google Docs; we have a whole ecosystem in Microsoft Teams and OneDrive. RainCastle Communications, Inc. worked on a Google-based system, so we had to switch off. However, it’s a minor suggestion.

Tell them your story, how you operate as a firm, and what you want to be known for. If you give them insight into how you operate, they can serve you better and provide new ideas to be more efficient.

We needed help with web design and development for our company to get more visibility of our brands and be able to capture leads through better online search results.

What was the scope of their involvement?

RainCastle Communications, Inc. has designed and developed a WordPress site for us. The team has started the process by agreeing with the project’s scope after establishing what we’re looking to accomplish for results and the direction we want to go. Moreover, we’ve had meetings with both teams to talk about us, who we are, our customers, and what we want people to know about us.

For the second phase of the process, the team has started to create 3–4 different iterations of mock-up designs so we can choose the one we like the most and add extra elements to it. This has been very helpful because we get an idea of how everything would look, and they can apply it to the site’s UI/UX.

Regarding the third step of the process, RainCastle Communications, Inc.’s team has helped us write many pages of content for the site, including taglines, header lines, and other marketing-related things. Creating content has taken us a long time for this step, and the team has been very helpful in moving the project forward by keeping us on track.

Once we’ve given them the content, RainCastle Communications, Inc.’s team has started loading everything into the staging site and helping us with custom icons and images through their very creative design person. After that, the team takes care of the development work, which they also test to ensure everything works correctly.

We’re currently in the post-launch phase of the process, and the team is providing ongoing maintenance for it.
