I'm the CEO of MD Connected Ltd, a telehealth service provider and parent company of Ask Winston, a discrete men health platform located in Toronto, Canada.

We reached out to Pentabay to help us with developing our website.

SOLUTION

What was the scope of their engagement?

Pentabay was in charge of developing our platform and the backend that supports our operations. Initially, they took over the site a previous vendor had developed — they didn’d developed it from scratch. This site had many bugs, so they solved them and did a complete redesign, doing a lot of work to meet our requirements. Although the development project has already ended, Pentabay provides us with maintenance and hosting.

Our platform includes a patient portal, a pharmacy portal, and a doctor portal to complete a discrete visit, and the patient portal is one of its core features. On it, patients can renew prescriptions and book doctor appointments.

Additionally, the patient portal is connected with the pharmacy portal, which works as an e-commerce site. On it, patients can order prescription drugs and receive a tracking number to know where their order is at all times.

What is the team composition?

We worked directly with two people from Pentabay, including the owner, who also acted as the project manager, and a QA engineer. Still, I know that they had a much bigger team working behind the scenes.

How did you come to work with Pentabay Softwares Inc?

Before working with Pentabay, we were working with a different team, but we didn’t like what they were doing. Thus, we posted a job offer looking for a new development partner, and we interviewed various providers. Ultimately, we decided to work with Pentabay because they were extremely responsive, and we also liked their expertise and the depth of their team.

How much have you invested with them?

We spent between $40,000–$50,000 CAD (approximately $29,000–$37,000 USD) on the entire project.

What is the status of the engagement?

We began our project in November 2020, and Pentabay delivered the portal in February 2021.

What evidence can you share that demonstrates the impact of the engagement?

After revamping our platform, its performance improved significantly, and a lot of people loved the new design. It is very user-friendly and aesthetically pleasing.

How did Pentabay Softwares Inc perform from a project management standpoint?

Throughout the project, we always knew where we stood in the timeline and what was needed from us. Pentabay was also very transparent in their billing and performed well overall. Additionally, they were very responsive to issues, solving bugs quickly. We used Jira for project management and Slack for communication.

What did you find most impressive about them?

Pentabay was incredibly responsive, and their technical skills were great.

Are there any areas they could improve?

We had no complaints about their work.

Any advice for potential customers?

Schedule regular touchpoints and make sure you're always in sync on what is happening. It's also important to have a clear vision of what you want.

I’m a co-founder and director of Turning Point Children’s Therapy and Development Centre, an autism treatment center. We offer behavioral therapy, predominantly to children aged 2–12.

Our website was aging, and we wanted a new, more dynamic one with interactive capabilities and a more colorful, vibrant design. Also, we were looking for SEO support.

What was the scope of their involvement?

Pentabay Softwares Inc designed and developed the website on WordPress. We supplied the content, which is very specific and clinical. In turn, the team provided keywords based on their SEO research to supplement the content. 

The website itself is simple and straightforward in terms of information but has dynamic, interactive capabilities. We focused specifically on tailoring the content so as to not overwhelm parents who come to our site for resources.

There were three people from the team involved in the project. Vijay (Founder, Pentabay Softwares Inc) was my main point of contact.

I reached out to several website developers and met the owner of Pentabay Softwares Inc through LinkedIn. We’d attended the same university, so we built a relationship from there. He was able to address all of our requirements.

The project cost $5,000.

What is the status of this engagement?

We started working with Pentabay Softwares Inc in early December 2019. The website is scheduled to launch in the coming weeks.

What evidence can you share that demonstrates the impact of the engagement?

As the site has yet to launch, we don’t have any metrics that reflect the team’s SEO efforts. However, throughout the project I’ve been pleased with Pentabay Software Inc’s willingness to make timely edits, sometimes following through on between 10–15 edit requests per day. 

The team was always available to make adjustments as they arose, which I appreciated as a visual person. 

How did Pentabay Softwares Inc perform from a project management standpoint?

They performed very well, taking an active approach to project management. Often, Pentabay Softwares Inc were the ones who prompted me to stay on deadline. We kept in touch primarily via Slack. 

What did you find most impressive about them?

The team was dedicated to the project, thinking through every task and offering their own perspective. They went beyond what we’d asked for to make sure we were completely satisfied. I was very pleased with Pentabay Softwares Inc.

Are there any areas they could improve?

As autism treatment providers, our product is very niche. Because of that, I had to make a lot of edits to content, as the developers weren’t totally knowledgeable in our field. Other than that, we had absolutely no problems with Pentabay Softares Inc. 

Do you have any advice for future clients of theirs?

Clients should connect with Vijay, who took everything into his own hands. If the product isn’t as technical as ours was, I’m sure they can provide great content development as well.

They looked at our code, learned it, and were able to start implementing our modifications in very short time. They just asked a few questions and started working quickly on an environment that was new to them, and within a week and a half, they understood what we needed and started setting it up. Since then, we’ve expanded the project and are utilizing their services for additional features.

They’ve convinced me that they deliver value. They’ve become a very important resource for us. They weren’t afraid of a challenge. They impressed me because they were able to jump on the project with very little information. They were proactive and started learning about our system right away and did it on their own time. Now, they’re fully conversant in our tech’s functions and can easily implement expansions. Obviously, they deliver quality work and we plan to continue working with them.

They recommended a system to communicate. They met all our target dates and even work weekends. It’s rare to find a company so driven to meet their targets that they’re willing to work overtime. It has been pleasant working with them.

Their attitude and work ethic really impressed me. They’re in another time zone, but that hasn’t been an issue. They don’t just quit at 5 o’clock—they go home when the work is done.

As the project continued, problems began to arise with numerous bugs and issues, and Vijay disconnected from overseeing the quality of his team's work. He then pressured me to release milestones payments saying he did not have enough money to pay his team. I was sympathetic and made the payments even though the work was not completed, trusting that he would be honorable and fix the problems with the website. 
As soon as I make the payment, he started denying the issues or blaming it on previous developers, even when I showed him that the problems were entirely in the functions Pentabay build. Vijay then started pressuring me to pay him more or he would not fix the issues created by his developers. At that point I gave up and ended the project.
