Orases develops a custom time clock software solution for a warehouse staffing company. The solution will be hosted in AWS and will be a web-based portal that connects with the client's HR and payroll software.
Orases has found the right software providers for the client, and their performance during the project's discovery phase has been excellent. Orases excels in their financial planning and meets deadlines. Orases has weekly meetings on Google Meet and manages the project via Trello and Atlassian.
A Clutch analyst personally interviewed this client over the phone. Below is an edited transcript.
BACKGROUND
Introduce your business and what you do there.
I'm the systems administration manager of Luxor Staffing. Our company has a huge footprint for warehouse staffing and food production. We have offices all over the US, but our main market is Dallas and Fort Worth, Texas. Before I started working here seven years ago, the company didn't have an IT department, but I created it because I saw the need for it.
OPPORTUNITY / CHALLENGE
What challenge were you trying to address with Orases?
We needed support to develop a time clock system for our company. We had niche requirements for a lot of the timeclock capabilities because we're a staffing agency, and our customers have different configurations and requirements for their time clocks. We needed to create a system that could accommodate those needs.
SOLUTION
What was the scope of their involvement?
Orases is building a custom time clock solution from the ground up. The team has already completed the project's proof of concept (POC) and is in the middle of the entire project. In the POC, Orases has defined the solutions' hardware and API requirements. The team has identified time clock system providers and created a relationship so we could build the software on top of that.
Orases is coding the platform's backend, which consists of a web portal integrated with clock software with configurations for our needs. The system will also connect to our payroll software through an API. Orases leverages multiple development languages and will host our solution in AWS.
We want to allow customizability between different customers and be able to integrate with our HR and payroll software. One of our solution's benefits will be that when we set users up in our system, the time clock system will be able to grab the data from what we've already created and automatically recreate that infrastructure for the employees.
The system will also be able to capture more metrics and reporting about time, attendance, and the employee's payment rate. In our specific environment, we have what the employees are being paid, and then we have what we charge a customer for those employees working.
Many timeclock solutions that exist already don't have the ability to capture both of those data points. Our system will be able to drill down on our customers' invoicing and time approval process, and the solution will be centrally managed.
What is the team composition?
We work with two software developers, and Denise (Digital Project Manager) is our project manager. Those are the three core teammates we've worked with.

How did you come to work with Orases?
I found Orases through a Google search. Our previous time clock software provider was raising prices and changing the agreement, so I started looking for custom solutions and contacted multiple software development companies I found on Google. I reached out to Orases and talked to Nick (CEO), and he was great. Orases was the company we felt matched our needs the best out of everyone I talked to.
How much have you invested with them?
We've spent around $120,000–$150,000 on this project.
What is the status of this engagement?
We began working with Orases in January 2023, and our engagement is ongoing.
RESULTS & FEEDBACK
What evidence can you share that demonstrates the impact of the engagement?
Landing on the correct time clock system provider has been a huge benefit for us. Orases has been good at finding the devices that will be able to handle everything we need them to do. Orases has done an excellent job during the POC process because we ran into an issue with the initial time clock system provider we decided to use, and we had to go back and do more discovery work to get to the right service provider.
How did Orases perform from a project management standpoint?
Orases excels in their financial planning. Software development can be challenging to budget for, especially in the beginning, and Orases has pricing structures. When we presented Orases with our needs, they were ready to accommodate to ensure we felt secure in the project budget and how the money would be spent. I'm impressed by the way Orases handles our financial relationship.
I meet with Orases twice a week via Google Meet to ensure the project is on track and moving along. In these meetings, I also tell them my needs and next steps. We also use Slack and Trello to communicate. The team delivers work on time and within our budget. There have been times when we weren't ready for the next step and wanted to wait because we're not on a strict timeline.
If the schedule is starting to run behind, they let us know. We just need to launch it before our current solution is sunseted. We're the ones telling Orases to take things slowly. The team meets and exceeds deadlines. Orases uses Atlassian as a project management suite, which allows them to create pages of information for me to review.
Are there any employees from the service provider's team that you would like to give a shout-out to in this review?
I want to highlight Denise's work because project management can be difficult, especially with few technical resources. She knows when she needs to speak up and when she needs to sit back and let her teammates handle the questions. She's very good with her appointments and planning. She's also good at communicating how the project is going with the sponsors. I've been really impressed with Denise as the project manager of the project.
What did you find most impressive about them?
I'm impressed by how seriously Orases has taken the discovery phase, landed the correct time clock system, and formed a relationship with that company that will work alongside us. That is a big aspect of our project, ensuring we have the correct hardware and software providers.
Are there any areas they could improve?
I can't think of anything for Orases to improve. This is my first time working with a software development company, and as far as I'm concerned, Orases has been doing a great job, and I don't have any complaints.
Do you have any advice for future clients of theirs?
Ensure the teammate who manages the project from your company understands the technical and non-technical aspects of the project. This teammate needs to have a clear understanding of your company's needs. We've had a great relationship, and I feel like I can communicate with their team and my team. There isn't back-and-forth communication, and we've kept the project small.
When you have too many decision-makers, keeping the project on budget and schedule can become hard. Having a smaller team of highly skilled subject matter experts is better than having a large team of department heads who don't necessarily understand the technical side. We do still have meetings with those department heads, but I prepare ahead of time and ask Orases to focus less on the technical side.
What has really smoothed over this process is having a project leader who is knowledgeable about the technical and business requirements of this solution.
