The system developed by Leanware should save us 50% of manual intervention on the receipt and sending of work and give our clients a simple, intuitive system to use to send work to us and the ability for them to monitor costs which is invaluable to them. The system will also upgrade our ability to market to potential new clients and keep in regular with current clients without impacting on the general day to day business excessively.

The project management was great. The team were patient with our non-technological knowledge and brought great ideas to the table going beyond what we originally had in mind. What challenge were you trying to address with Leanware?
We contacted Leanware to create a specific sales tool for one of our clients. They created a frontend that then sits between our site and the eventual payment page.
SOLUTION
What was the scope of their involvement?
Our client uses our software platform as their CRM, and they want to be able to sell their clients memberships and take balance payments. The client has it set up, so they are able to quickly choose the membership level and payment method.
I did a Balsamiq mock-up for Leanware. Then, they provided us with a written document explaining their understanding of what it is we wanted. After we agreed on that, they went on to build what we needed.
They created a frontend tool on our Instant Wholesale Service (IWS) environment with AWS Lambda functions, where they added a dedicated URL and an admin section in the backend. They did all the development for that based on our requirements. The actual deliverable is a tool that the client uses to set up new products and payment pages. Not only that, but they are also providing 90 days of ongoing support.

We are working closely with two members of Leanware: Carlos (CEO) and Jarvy (Co-Founder).
How did you come to work with Leanware?
This is not the first project we've done with Leanware — it’s just the most recent. We decided to work with Leanware because they are very easy to contact and work with. They’re also very professional and very clear on deliverables and deadlines.

What evidence can you share that demonstrates the impact of the engagement?
The quality of the work and the ease of making changes where we need to have them are excellent. From a general customer satisfaction perspective, our client wouldn't be able to run that aspect of their business at the moment if it wasn't for the work that Leanware did.

We communicate through Zulip, which is an open-source version; it’s a bit like Slack. Whenever we need to have calls, we have them on Google Meet or Zoom. In general, they are fantastic with project management.

We are impressed by their ability to stick to the budget, provided that we stick to the requirements. There's no sudden increase in the budget, and they're very clear on what will be needed to be paid for extra.

From the experience that we had with them, there is none at the moment.

I’m VP of marketing at Canadian Orthodontic Partners. We’re a network of orthodontic clinics focused here in Canada. We represent over 50 practices across the country. I work in a support service organization so we support the efforts of finance, marketing, and HR. We lend support services to those clinics across the country.

The project was a mild integration between my consumer-facing website and our CRM system as well as other databases. They were instrumental in understanding my problem and building a solution.
We use HubSpot mostly for email campaigns, but we do use it as an integration point. Our practice management software is in our clinics. Most of them don’t have open API, so we bridged some gaps with our CRM to allow us to more easily communicate with our patients.

We had a primitive version of our payment calculator tool on our website and as a result, we got just south of two million dollars’ worth of revenue for the company. We can directly attribute it to patients coming through that tool. With this heightened experience and enhanced UX from a data point perspective, I have no doubt that the million-dollar figure will increase in the future.
Leanware is incredibly responsive. Their team is quick to reply and fantastic at tackling problems. I like their approach. When I presented them with a challenge, they took it on personally. It makes it fun for them, and I can sense that they enjoy digging into figuring out a solution.

We communicated through email and Fiverr chat. The projects they’ve taken on have been quite small to date, so we haven’t needed true project management touchpoints.

I had already built an MVP myself, so I hired Leanware to build out a new feature set I thought was necessary to commercialize my product.

What was the scope of their involvement?
Leanware has developed a fully functional email outreach sequencing feature. I came to them with designs, so we built it according to the specifications, both frontend and backend, taking into consideration a desire to move fast and stick to the MVP, not enterprise level. As I'm a hands-on CTO, we worked together — daily standups, architecture decisions — but that's the feature they developed.

We found them through ChatGPT research. We chose them over other options because they were a great culture fit, had good value for the cost, and were open to an in-person engagement in which I relocated to work alongside the team.

RESULTS & FEEDBACK
What evidence can you share that demonstrates the impact of the engagement?
We broke up the feature into different sprints, each sprint having a deliverable that matched the Figma designs. I approved all code reviews to ensure code quality, which was maintained. We also tested each feature branch for functionality upon merging.
How did Leanware perform from a project management standpoint?
We mapped out the whole project according to a fixed scope and sought to make sure that we remained on target based on how much was left to do and how much time was left. We were very transparent about the scope the entire time. If something wasn't clearly indicated in Figma (from which the scope was priced) but revealed itself in engineering, we were collaborative in ensuring not to create scope creep or slow us down but resolve what came up. A vacation came up where we paused for some time, but that ended up allowing me some time to address other things.Overall, their project management is good. I'm very happy with my lead engineer. Furthermore, the executive team has reached out to me a couple of times to check in on how I was feeling or to see where they could provide help.
What did you find most impressive or unique about them?
They stuck to a schedule that I originally thought was a bit aggressive when I estimated it myself. Since I relocated to Bogotá to ensure the success of a hopefully long-term partnership, they were very generous in inviting me to a company event that showcased a fun and collaborative culture.
Are there any areas they could improve?
We lost a little bit of time in the beginning due to making sure that one aspect of the feature was built up to standard, but the team took a hands-on approach to rectify it, and we got back on course. That type of thing is to be expected, so I'd say they handled it well.
