I am the senior manager at an e-learning company and platform that produces video content to teach a variety of business skills. Our content can be accessed directly from the website, as well as distributed through resellers.

Our company was previously a department at a different company. When we branched off into our own organization, we needed a learning management system that acted as both a customer-facing website and a platform for our distributors.

What was the scope of their involvement?

Galaxy helped us build our platform from scratch. We started working together on a contract basis, where we provided the inputs, they submitted an estimate, then they did that specific task. As we moved forward, the relationship has evolved into a retainer agreement. We have daily calls to discuss the project and their team is collaborating with our internal developers to update the platform. Currently, we are working to optimize some of the existing features.

The team built the website using PHP, Java, and CSS code on a CodeIgniter framework. The platform itself functions for both individual users and our distributors. Custom branded portals and specific URLs allow both groups to manage the e-learning content for their specific needs. For individual users, we operate under a subscription-based model. We have also sold the system to other companies to help them manage their content.

We work with a team of 5–15 employees at any given time. The team size and composition vary depending on the task we are working on. When I first started working with their team, we went through a phase of experimenting with different teams. Galaxy moved a senior developer to our project manager and she has remained in that position for over two years, but other positions continue to rotate.

What evidence can you share that demonstrates the impact of the engagement?

A large part of our business relies on our website functioning properly, so I would say about a quarter of our revenue is a result of Galaxy’s development efforts. Their work has been consistent throughout my relationship with them. We really appreciate their proactive development approach. The team brainstorms scenarios and examples, then provides us with additional suggestions and solutions to improve our product.

How did Galaxy Weblinks perform from a project management standpoint?

I have no issues with Galaxy’s project management. In general, the team gets their work done on time and within the established estimates. They will occasionally miss deadlines, but they will go above and beyond to assure that the task is completed. The team will even work extra hours at no charge.

What did you find most impressive about them?

I feel like Galaxy is part of my internal team. Their input, feedback, and dedicated work ethic make our team better.

Are there any areas they could improve?

They could work on their ability to estimate projects. Sometimes they underestimate the scope of a task, which is good on the monetary side, but causes issues for our scheduling efforts. Generally, we’ll miss a deadline by a week or so. It is not a consistent problem, but it has happened a few times.

Any advice for potential customers?

Their ultimate goal is to make sure their clients are happy, and they will do whatever they can to make that happen. I’ve never had such a balanced, communicative, and positive experience with an outside vendor as I have with Galaxy.

Right now, they're in the process of redoing our solutions page, to make it better looking. They also did immense work in helping us make it easier to add things to the cart.

I deal with two people directly: the project manager on an off-and-on basis when I need more detailed stuff done, and a coder that looks after the site on a daily basis. There’s also a backend resource that we don't see who's doing QA and making sure that everything works properly. We only seldom talk to them though.

This is what matters: they’ve increased sales and kept the site usable and functional. Their cart improvements brought us a huge increase in sales.

They do internal follow-up to make sure that the site's actually working, instead of stopping after the coding is done. They're flexible in the sense that if they're not doing it the way we want it done then they'll do it the way we want.

Are there any areas they could improve?

I’d like them to challenge our ideas more and tell us if they don’t agree with what we’re planning. They do what we tell them to do, and that can be both good and bad. I’ve only seen one company in 30 years do this, so I understand how hard it is.

Any advice for potential customers?

They have a great website communication portal that helps with communication on a day to day basis. If that isn't enough, they'll do phone calls and whatever they need to make sure it works.

What was the scope of their involvement?

I’ve worked on about 20 projects with Galaxy Weblinks, each one with unique frameworks and requirements. I design the projects, compile build instructions, and create prototypes. Once that’s done, Galaxy Weblinks and I review the project requirements and confirm their understanding. After they give me a bid, we normally start development. During a normal scope of work, they handle backend development, database configuration, and architecture. We build from my existing schematic or process flow, making sure that everything works properly and that all the information to be processed or captured is integrated properly.

We normally collaborate on platforms or apps, which require a lot of backend integration. If we build an app, we develop for both Android and iOS. We also write apps in React Native and others frameworks that allow us to write code once and use it on multiple devices.

If the project requires any APIs or integrations, they get a mandate and perform research to ensure that the API is integrated properly. If it isn’t, then they create a custom script that captures the information and moves it to the correct database.

What is the team composition?

I work directly with three people. My primary contact is always their COO, who is based in Boston. The second is a gentleman who travels between India and the U.S. They also have a project manager based in India. That’s the standard setup for any project.

I first got in touch with them when Facebook apps were extremely popular. My client needed one, so I looked for someone to handle the development and landed on Galaxy Weblinks. I decided on them because of our natural chemistry.

Although we didn’t build the Facebook app, the relationship grew and we worked on other projects. For our first project, I was building a video platform to compete with a popular humor website. They handled the backend video streaming integration and made the solution responsive.

We don’t measure against a benchmark. We base our success on whether the client company stays around, and on how their marketing team supports the product we developed. Both the client and I are happy with the process and results of every project, so we’re 100% successful. I’ve never needed to walk away from a project. They never drop the ball, and they focus on ensuring we’re happy.

They’re responsive. If we post a ticket, they finish it within 24 hours; if we need to figure something out, we have a collaborative call with everyone involved in that portion of the project. Everyone has input and makes sure that we meet the goal. If we encounter an obstacle, they figure out how to overcome our constraints.

Their internal system allows us to post tickets for the project. If a client doesn’t want to use that system, they can use Slack, Confluence, Jira, or anything else that’s standard in the U.S. They adapt to our workflow rather than forcing us to adapt to theirs.

What did you find most impressive about them?

I appreciate their willingness to adapt. Galaxy Weblinks is an agile, malleable group. Once I worked with them, I knew that they were capable and knowledgeable. That’s comforting.

They never try to extract money from the client, and they care about their projects. Some providers overpromise and underdeliver. With Galaxy Weblinks, I never ask “Can they get it done?” or “Are they going to overcharge me?”

What evidence can you share that demonstrates the impact of the engagement?

We are a very agile company and plan out sprints each week. We determine how many story points the team can handle, based on their historical track record. They are very consistent and make our planning easy. We couldn’t ask for a better partner. We can anticipate the number of bugs, their cycle time, velocity, and other metrics. They contribute to the platform that captures all that information, deliver what we ask, and document the story within our agile system.

Bugs are minimal and they understand what we’re trying to do. They ask questions when they don’t understand and provide alternative suggestions when we don’t know how to solve a problem.

We use Pivotal Tracker and have daily video calls. We have 15-minute standup meetings each morning where we touch on what they’ve completed and on new action items. Communication is stellar.

What did you find most impressive about them?

They ensure great customer satisfaction. If we ever disagree, they are willing to see our point of view so we can come to a mutually beneficial conclusion. We have a great relationship and they work with us to understand us.

I can’t think of anything they could do better. We always work through our problems and are constantly discussing ways to resolve issues. They go above and beyond regarding what we ask for and make great suggestions for new technologies and solutions.

At the time, we were working with people with an IT background but little design background. Our original programmers were not very creative. They were able to do the technically necessary aspects of the website to integrate it with our point of sale system. However, from a consumer standpoint, it didn’t really look the way we wanted it to look. There was no flow to our site. We operate with a point of sale called Windward which integrates through Magento through our website. Magento was already set up by the two people that we work with, but there were some glitches on the site.

What was the scope of their involvement?

I contacted Galaxy Weblinks to assist us with cosmetically revamping the design elements of the website. Just to give them an overview of what I was trying to achieve, I sent them a couple of screenshots of what I was looking for from other websites. Because of social media, I wanted to make sure that our website had easy access links. These would connect people to our Facebook and Instagram pages as well as our mailing address for future contact.

Galaxy Weblinks mostly did surface-level design. The only thing they really got into was my inventory, which is uploaded every month. Every evening, it would update the website. When the original website was done, people couldn’t clearly see the detail of what sizes were available. Galaxy got the Magento code and worked within Magento itself to change things and make sure that everything updated in a way that was visible to the consumer.

I found them through a design website where you put your job up for bidding. You state your budget, and they either agree or not to do the task for that price. I had three or four offers along with Galaxy Weblinks. We had a good rapport with Galaxy Weblinks. They were clear on what they were able to achieve and could speak my language in terms of what I was looking for. This made it an easy choice to select them.

Could you share any evidence that would demonstrate the productivity, quality of work, or the impact of the engagement?

Galaxy was able to assist us quickly and efficiently, much more so than the local people. They put the new design together and fixed it so that the site would work well. They were able to do that in no time. In contrast, the people I was working with originally had to research about how it was done. It seemed like Galaxy was much more fluent in that language and programming language.

This was a basic revamping of my existing site, so nothing significantly changed because of the work. The IT people that I worked with previously in designing the site were really impressed with this kind of work being done so quickly.

How did Galaxy Weblinks perform from a project management standpoint?

The communication was phenomenal. What I really loved about Galaxy was that they understood what I was looking for, and we did all this by email. You often wonder if something will be lost in translation, but in fact, it wasn’t. They were able to put my ideas right into place on the website, and then immediately asked me for my feedback. The job got done so quickly and for such a reasonable price that I was extremely surprised.

Our time difference would normally be prohibitive. However, the developer would respond to me within 24 hours even with the time difference. We would communicate late nights and early mornings, and it was no problem at all. They were always on schedule.

Since I’m a consumer and not a web designer, it was nice was that they took the time to explain in writing how my request related to what they needed to do. That meant I understood the limitations and procedures involved in the process. It was amazing how well-versed they were. They must have done this many times before because they could encapsulate exactly how long it was going to take them and how much it was going to cost to do exactly what I wanted. Their knowledge was extremely high in the area, making it a lot simpler. Plus, they could explain exactly what they were going to do in terms of access to the site, passwords, and so on.

Are there any areas Galaxy Weblinks could improve?

In a situation like this, where I was asking them for specific changes, probably not. If I had given them a blank slate and said come to me with an idea, I have no idea how they would have fared in that respect. I suspect that they have the knowledge, and they would’ve come up with perhaps a better website than I originally have.What I really loved about Galaxy was that they understood what I was looking for.

Payroll, invoices, expenses, approvals—most of that is automated now. It’s saved us a ton of time and reduced mistakes. They also hooked it up to our student transportation platform so everything talks to each other
