I'm CMO at Point of Sale System. Since 2013, we have been helping businesses all over the world automate their day-to-day tasks. We have 16 000 clients in 95 countries around the world. Almost 200 employees work with us in our 2 offices.

That's why when we needed consulting for a new Philippine market we decided to ask for help from Roman's agency again.

They deeply analyzed all historical data for campaigns and actions that we did by ourselves. They found mistakes in our Meta and Google ads and prepared a list of actions that we should implement. After a previous marketing audit, we decreased CAC and increased lead quality.

Also, we got a lot of ideas on tracking our paid ads and finding new ideas on how to optimize our email marketing campaigns. During the last audit, we also found new ideas for attracting customers with not typical methods: outreach, crowd marketing, working with the local community, etc. .

Can you share any outcomes from the project that demonstrate progress or success?

After first consulting we decrease CAC and as well found some new ideas on how to work with email marketing channels. After the last audit we also already decreased CAC, due to the right work with GEO targeting.

Now we are running a/b tests with new landing pages with the structure suggested by the agency and can see increasing in lead quality. Our sales manager also really liked the new, unconventional ideas for finding leads.

We had two calls with them. During the first call we described all our problems and what result do we need in the end, during the second one we got a lot of useful information and a list of actions for implementation. This is a very good format, taking into account that we do not have much time to get a result

At the end of 2018, on the one hand, we realized that we were capturing a significant part of that digital traffic in Google Ads, but it wasn’t clear how efficiently the money was being spent. Many indirect indications showed that the same volume could be used at a certain economy level.

On the other hand, the way our Google Ads and other connected digital channels developed wasn’t systematic, i.e. it was a new function, which had been developing for the last two years, and we had a feeling that there was a lack of internal expertise and understanding of how to work with these channels. And having such factors and such aims, we started entering the project trying to find who would be able to increase our internal expertise on the one hand and, on the other hand, help us solve the task of traffic cost optimization.

It was a classic long sale. It seems to me Roman first caught my attention 7-9 years ago as a marketing specialist in Ukraine. And year after year, I had a feeling they were the team I could try and start working with within my range of tasks. And probably the last qualifying criterion was the first stage of the project when we analyzed our needs and current position, and the Roman.ua team was conducting an audit. And the way they conducted it, accompanied by their findings, was a signal that we could proceed to work on the project.

They prepared a marketing audit and found growth points, took over PPC advertising management on Google, Bing, Facebook, and LinkedIn, optimized CPA and number of conversions on a budget of more than 100 000 USD per month, and conducted training in analytics for the marketing team. It took about 3-4 months to reach the point where we could draw conclusions and say: ‘Yes, really, here’s a period, here’s a period, we see the difference.’

Initially, only two people were working on our project. , but as our requirements increased as new projects emerged, we demanded more attention on the part of the agency. For one thing, we’ve managed to cut costs significantly. Taking the average costs, we’re talking about a 35-40 % reduction with a huge budget. Before the optimization, we spent more than 100,000 USD per month on PPC. Another achievement regarding the figures that I’d like to mention is that after the optimization was done, we increased the budget with the number of leads growing correspondingly.

There were a lot of set up email chains, but even some basic settings, a basic check of whether everything works fine, was simply unnoticeable for us. What I liked in the pre-sale process was when Roman asked, ‘Are you sure that you need email marketing and audit of email marketing?’ Because the person was focused on the result, he saw that we actually have a lot more opportunities in the business, and there are things, critical things, where he could be even more helpful for our business, our company than email marketing. This immediately gave us a feeling that we could cooperate productively.

It was a 360-degree audit with the implementation of improvements with my team on the go. The audit contains such parts: funnel, deliverability, email deliverability, look and feel of emails on different platforms, database collection, email coding, sending frequency, content plan, trigger email and welcome series, the management of the channel. The only and most basic expectation was a fresh look from a professional at what was going right and wrong with us. I’m quite confident that we got quite an excellent result – we were handed a comprehensive, deep, global and elaborate report. Indeed, there are many basic and simple things that we did not do and even did not know about them, simply because, as we got used to, we thought that everything was always good and it was hard to do something better. But as it turned out, even the basics were far from being completed. That’s why we have something to work on. Based on the results of this report, a lot of changes have been made, and actually continue to be made. Even at the moment, there is still some work that hasn’t been completed yet.

Quite effective and custom-tailored for us. The communication didn’t go through me — email marketers worked on our part, and communication was set up well. They gathered for meetings, sat and analyzed each case separately, reviewed, double-checked, and such a sufficiently high-quality, lively work was going on. It was so much unlike the usual thing when you ordered something, and then after a while you received it, and that’s all.

Everything was aimed at us, at the client, and we liked it, and we received such a detailed audit. There were also a lot of tips on email marketing besides the audit, from the integrity of the database to prospecting, to checks for spam filters and everything else, and a bunch of tips on other areas where Roman managed to notice what could be improved.

They saw the big picture and dived deep into our project with great precision and data-driven decision-making.

Are there any areas for improvement or something they could have done differently?

The only thing that maybe I personally didn’t like and that I think not only Roman, but together we could do better is actually communication, because at one time we parted, trusting each other completely, and postponed the question for later. It really was a non-priority. What I can advise everyone who orders such services from Roman is to order priority things. Roman was initially right that there were things that were much more important and could help us, and at that time we were not busy with them. That’s why we postponed work with the audit and its results for later. But the audit was done well.

The guys are competent and easy to collaborate with. I liked how Roman’s team worked because they made very detailed checklists in Google Docs of what needed to be done. It is laid out so clearly to me, and probably, my grandmother would get it if she read this instruction. And I really like that we are staying connected.

I didn't really have any problems with guys. I really like the fact that the guys are very competent and easy to contact. The only thing is that we had a little delay in email marketing implementation, but it was temporary and was solved.

All tasks for the MailChimp project were performed in the best possible way. This allowed us to systematize and streamline the interaction with approximately 25,000 online retail customers through the E-mail channel. It also helped us to attract approximately 60,000 customers from our off-line retail during the year. The aggregated report was created, configured, and integrated with CRM, GA, and OWOX BI.

It was done in order to evaluate the effectiveness and optimally distribute the advertising budget by approx. 10 traffic sources based on the assessment of the main indicators for each traffic source: conversion, order value, order efficiency, average check, ROMI, etc. S

EO optimization was carried out as well:

• the work of sitemap.xml and robots.txt files was carefully checked;
• web-site was scanned using Xenu and Netpeak Spider;
• analysis of search queries was done along with about the promotion of goods to the top of the organic search.

All tasks were completed on time and in the most efficient way. The communication was prompt and effective.

We have been working with the Roman.ua team on PPC, web analytics, and email marketing since 2015. I can definitely say that the team works for us as a high-level contractor. I’d even put it this way: they fulfilled us the role of the CMO for our project with a huge amount of work done.

For example, they set up an email automation system with more than 300 trigger emails. They set up PPC and control other contractors. They always find the real bottleneck and never sell services with a low value to our business.

We’ve achieved 98.6% deliverability and not a single downgrade or hit by Mandrill filters over the whole period, with over 200,000 submissions per month

The next stage was the distribution of roles and responsible persons in the contractor and customer teams. After determining the test period of six months, cooperation was started.

According to the results, we, as a customer company, were satisfied with the results.
