Our specialty finance company operates nationally, providing liquidity to attorneys, executors, heirs, and other interested parties awaiting Inheritance money that is tied up in probate court proceedings.

For what projects/services did your company hire Callbox?

The service we offer is relatively new. Our challenge is to build awareness among advisors and professionals. Our in-houseprofessionals on staff can explain the product and evangelize for our brand. But our in-house folks require a team of outbound callers to set-up their phone appointments with probate professionals around the country. This is where CallBox’ outsourced solution has been critical in allowing us to scale fast and cost-effectively.

What were your goals for this project?

We engaged CallBox to Identify thousands of B2B phone meeting prospect; reach out to each of them using email, linked in, and outbound telemarketing; and then set phone appointments for our in-house product specialists.

We evaluated a number of appointment setting vendors. We gave CallBox a try for three months, believing that they offered tge right mix of expertise, attention, and technology at the right price.

Can you share any outcomes from the project that demonstrate progress or success?

After our initial trial, we contracted for a full year and, after reviewing performance, extended for a second year. We have a dedicated team handling our account. They are well-trained professionals offering us the service we need at the price agreed to, with good results.

With CallBox help, we are able to reach out to wide audience of professionals at much lower cost than would be the case if we tried to do it all ourselves.

How effective was the workflow between your team and theirs?

There is good daily communication between the account managers at CallBox and our own in-house people — coordinating the scheduling of any frequent changes to the appointments they set for our in-house team. 

Our account reps are accessible and responsive. On the rare occasion we encounter an issue, they address it promptly and professionally.

What did you find most impressive about this company?

They are very professional and responsive. 

Are there any areas for improvement?

They only serve the outbound B2B appointment setting market. We would consider expanding our use of them to B2C if they offered it.

How did you select Callbox?

We specialize in the outpatient surgery market and they provided references and data supporting their ability to get contacts we can follow up with.

We transitioned from a feet on the street sales operation to a virtual environment. CallBox reached out to potential customers and gained initial interest so that a Zoom meeting could be set up with one of our reps. CallBox provided all the background information on the potential client and set up the meetings for the reps. CallBox also monitors our chatbot on our website and forward informati0n to us.

What was the team composition?

We have contact with 3 people who coordinate the appointments. There have been no changes over time, but we are considering adding another person from CallBox to increase outreach.

Can you share any outcomes from the project that demonstrate progress or success?

In 2020 we had inventory issues and were unable to follow up with the new contacts. We have begun that follow up this month. The leads have all been qualified and interested in our follow up. The cost savings from outside reps and managers has been terrific. In the medical sales area, I believe the days of in-person calling on hospitals and surgery centers to be limited. A virtual team will be in the forefront.

Quality of the communications and the sincere desire on their part to help make ARC profitable.

The number of leads from LinkedIn could be added to the email and phone leads we are receiving.

Can you share any outcomes from the project that demonstrate progress or success?

The telemarketing team was very successful in providing us numerous appointments and leads to work. The team has been very responsive to all of our requests, emails, etc. That was very impressive.

The workflow between our two companies was fantastic. When we made some changes or tweaks to the process they were able to implement it right away and communicate to their team.

Their aggressiveness to bring in new business leads and extremely effective communication between us and Callbox

I really can't think of anything for areas of improvement except eventually exploring new markets such as start up businesses. And finding ways to target that area of need.

In the past, we’ve relied on word-of-mouth referrals and have never had an inbound or outbound marketing campaign. Last year, we decided we were going to target specific audiences. We brought on Callbox to act as our sales and marketing entity. In partnering with them, our goal is to schedule appointments with qualified leads.

What was the scope of their involvement?

At the beginning of the project, they spent a significant amount of time learning about our business. Then they created an outreach campaign that involves everything from LinkedIn messaging to phone calls and traditional emails.

They’re constantly sending out marketing materials to attract potential clients. They reach out to people through a wide variety of channels because they understand how different approaches resonate with different audiences.

Then they qualify leads and schedule calls with those who would be a good fit for our business. When they schedule an appointment, I get a calendar invite to a sales call.

Before I call the leads, Callbox is responsible for providing information that will help me be successful in our introduction calls. Usually, they compile 4-6 lines that summarize who the person is, what assistance they’re looking for, and what kind of organizations they have.

There’s an account manager that I work hand-in-hand with and she has a few people working for her that I don’t interact with directly.

What evidence can you share that demonstrates the impact of the engagement? 

They’re generating a few leads every week. They’re dedicated to learning about our business and have worked hard to educate themselves. They can navigate the language of our industry well, which allows them to have quality conversations that convert to scheduled appointments.

How did Callbox perform from a project management standpoint?

They’re very good at staying in touch and they follow a structured process. We meet every other week to discuss strategy, what they’ve produced, and new ideas. We also go over data to determine how many leads actually produced a quality conversation. We also communicate via phone and email.

What did you find most impressive about them?

They take the time to understand our business. Other companies I’ve worked with just dump lists of contacts into sequences and hope that it generates leads. In comparison, Callbox follows a multi-pronged approach. They don’t just make phone calls, but they’re also trying to generate traction through LinkedIn and emails at the same time.

Are there any areas they could improve?

I’d like to see a little more variety in their messaging. Right now, they’re working on making a video to include in our outreach emails. It was a great idea, and I’d love to see more of their ideas.

Do you have any advice for potential customers?

New clients have to be ready to dedicate themselves to the partnership as well. It’s not a set it and forget it experience. They need to participate and hold themselves accountable. For example, if they’re noticing a decrease in the number of scheduled appointments, it’s time to change the messaging or target audience. To do that, the client needs to be actively involved.

I’m the owner of Capital Bankcard Option. We provide an online patient payment and reporting platform that utilizes key technologies to simplify the payment process for both patients and staff, making it more convenient and efficient.

Similar systems are designed for larger health care practices and are much more expensive, while our ideal customers are small to midsize medical practices.

What was the scope of their involvement?

They provide a lead management program that includes outreach, qualifying buyers, and setting up appointments. They also manage PPC and social media marketing on LinkedIn.

There are 4–5 people on the team, including an account manager, a campaign manager, appointment qualifiers, and callers.

How did you come to work with Callbox?

I was cold-called by one of their account representatives and he was able to answer a lot of my questions. After talking to him, I felt confident that they had the resources we needed to help my business.

Healthcare isn’t an easy market, but they do an excellent job setting up appointments and qualifying potential buyers ahead of time. Once their team understood our business, they increased the number of appointments booked by 400%.

How did Callbox perform from a project management standpoint?

They use Hub Planner to manage the project.

What did you find most impressive about them?

They listen to and incorporating my feedback into their daily talk tracks and presentations. Callbox provides a comprehensive service that no other company I talked to offered.

Are there any areas they could improve?

There isn’t anything they specifically need to improve on.

Do you have any advice for potential customers?

Anybody working with Callbox should be able to provide enough information for them to do their jobs. At the beginning of the project, I could have done a better job of sharing content with them about my industry. They would have had better initial results had I been more prepared.

At the start of the engagement, I gave Callbox a list of names to call and the script, and they would reach out to the contacts. Usually, those contacts were people in the managerial level of emergency departments in hospitals.

Melissa was our account manager, and there were at least one or two other people involved.

I received a call from them in 2014, and while I didn’t have the opportunity to work with them for awhile after that, I’d always thought of them. I figured if they were able to get me on the phone, they’d certainly be able to get the prospects.

The cost was around $15,000 per month.

We worked together from June 2017–June 2018.

What evidence can you share that demonstrates the impact of the engagement? 

With Callbox, we wanted to achieve two or three appointments per week, which is what we were aiming for. We filled up our sales pipeline with that. We were pleased with the amount of prospects that were coming to us. Callbox did their job as far as getting us qualified prospects.

How did Callbox perform from a project management standpoint?

They were very good. Melisa was excellent. They did special reports for us which included the information we requested from them. If there were ever any issues they were extremely supportive. Callbox did everything they could to support us.

What did you find most impressive about them?

The most impressive thing to me is how they got me on the phone. That’s what originally generated interest in me. 

Callbox has a desire to satisfy their customers’ needs. They were always there to do all they could do and to address whatever requirements we needed.

There was a small issue with one of their reporting systems that made it a little bit tougher for me to get information.

Do you have any advice for potential customers?

You have to know who your target customers are: you’ve got to be able to tell Callbox who you want to reach. It will make the process a lot more effective.

We needed to rebuild volume after experiencing losses in our clientele related to the COVID-19 pandemic.

What was the scope of their involvement?

Callbox formulated a strategy for approaching owners of private, small businesses—our target audience. Their team developed and tested a calling approach. Their team is responsible for calling our target market. They provide a list of leads and note contact information in a database we provide. Their team then pursues those leads.

They also helped us develop a webinar series as a marketing strategy and continue to provide us with design and copy support as needed. Callbox also manages our Google Ads, LinkedIn profile, and website chatbot as well as sends outbound emails.

We have three main points of contact: a customer service relationship manager, a sales representative, and a team manager. In total, we directly work with 6–8 people.

Callbox sent us emails, and we decided to look into them during the COVID-19 pandemic. After checking their references, we ultimately decided to hire them.

Callbox keeps us on track, provides weekly progress reports, and meets all deadlines. They’re willing to do any task we request of them. We communicate via email, phone, and weekly meetings.

What was the scope of their involvement?

We’ve worked with Callbox for three separate initiatives—an initial agreement and then two more that ran concurrently. It was not difficult to introduce Callbox to our company. After the first instance, we had a better idea of what we needed to provide their team so that we can onboard them properly.

For each initiative, we provide Callbox with some target qualifications and some guidelines regarding the make-up of our audience. We worked together to develop a comprehensive list of companies that currently operate within and outside of our footprint. We’ve worked through extensive scripting processes so that we provide our team of callers with the appropriate responses to customer objections or challenges.

We work with less than a half-dozen people per campaign, and the team is different each time. We were initially assigned a talented project manager, but he, unfortunately, left the company. We are now splitting project management responsibilities between two people, which has been somewhat difficult to coordinate.
