What challenge were you trying to address with Avivi?
We wanted to integrate a fresh website lead generation form with Bitrix24. Bitrix is just another cloud service.
SOLUTION
What was the scope of their involvement?
We hired them to write an API [application program interface] that would connect our form with Bitrix24 and pull the data from the web page to Bitrix24. That information is further used for validating the customer prospects, and following up and just keeping them in the loop. It's a general inquiry form. It usually has personal information and a few questions about their requirements, what they're looking for, what type of railings they need, whether for inside or outside use, etc. Roughly ten questions; no more than that.
How did you come to work with Avivi?
I found them on Upwork. I was looking for a specific geographic area, and they responded to my inquiry. They were one of the first. They were adequate in responses, and that's the reason for my decision to hire them.

It was about $600.
What is the status of this engagement?
It lasted probably two weeks. If we have similar work in the future, I will hire them again.

Before, we were receiving the form [on the website] and then I would manually put it into the CRM [customer relationship management] with copy and paste. Now it's done automatically. Every lead goes into our CRM automatically. The leads are better managed, and less time is spent on filtering through the new inquiries.

It was helpful in terms of the speed of the feedback. If I wanted feedback, they would respond within an hour or under. Other freelancers usually respond within 12 hours.

They get the job done especially well. They didn't try to force something that they're experts in, and they completed the job. I would describe them as professionals in that regard.

According to the terms of the contract and between YourBuildingTeam and Avivi, as well as the terms of reference, the project can be divided into two parts:
Website development. This part includes all stages of development of a fundamentally new site: prototyping, design, frontend, backend and testing. Since we already knew how the company's business processes would be built, already at the site development stage it was necessary to lay down the ways of receiving leads through a feedback form, as well as a special custom form in which the user can specify the parameters of the design he needs. This significantly speeds up the work and makes it possible to make better plans.
Implementation of TCM and integration with the finished website. The first stage of this part was the purchase of a license and the launch of the Bitrix24 Portal. Next, the Avivi team configured the CRM and integrated custom CRM forms with the website. One of the two forms has custom fields and conditional filling. The system is also integrated with the company's email for receiving customer requests. This part also includes setting up business processes in the CRM: lead processing, deal management, reporting, internal document flow, company structure and much more.
RESULTS & FEEDBACK
What were the measurable outcomes from the project that demonstrate progress or success?
Implementation of the project greatly accelerated the work of our company. If previously the processing of orders from customers was done manually, now it is all automated. With the introduction of a three-level form, our employees immediately receive almost all the necessary information from the client: design parameters, construction site, materials. Automation in the CRM has accelerated the processing of each request by 130%, which is an incredible indicator for business.

According to Avivi`s rules, a personal manager was appointed for our company. He is responsible for communication, reporting and timely information about changes in the project. Although the contractors have an official work schedule, a personal manager was always available 24/7 and quickly resolved any questions. Communication took place mainly in the format of video conferences. If necessary, developers joined the meets. In my opinion, this is an ideal model for project management.

The most impressive things about Avivi were their professionalism and multitasking skills. We doubted that we would be able to find a single company in Canada that would carry out both the development of the site and the implementation of the CDM, but we did not lose with Avivi.
Are there any areas for improvement or something Avivi could have done differently?
Avivi fulfilled all the conditions of the technical task set by us. In the future, the project remains on technical support. We don't have plans for new developments yet, but in the long run it's really possible. For example, there is an idea of creating a chatbot integrated with a widget on a website and a CRM system. We will also address these tasks to the Avivi team when we are ready for them.

Avivi developers gave us a rough estimate of the future project and made a road map quite quickly. This confirmed our previous good impression of them from a professional point of view. The first stage was CRM work. The contractor team helped us choose the right server for our needs and did the necessary setup, including deploying Centos 7 and the required virtual machine. Next, Avivi created a backup of our CRM and installed it on a new server in test and working versions. The work of our company was not interrupted for a single minute while all the updates and adjustments took place in parallel.
After the final transition to the updated version of CRM, work on the website began. This also did not happen to the test copy at first and was only transferred to the main site after debugging and approval. The conditions for filtering goods and services were changed in accordance with our vision: the filters had to start with the parameters we needed in a strictly defined order. The developers added the necessary fields for placing SEO-texts and improved other tools. One of the most recent major updates was the addition of generating customer receipts in PDF format.

We were able to scale the company and accept more orders from clients in a shorter amount of time. The user interface was greatly improved for our clients which in return lead to closing more sales and having a more professional look.

I left a request on the Avivi website and their representative quickly contacted us. We made a call, where I told my wishes and answered questions about the business. At the next call, Avivi's manager gave us a demo of Bitrix24 and already offered us the tariff we needed, the deadlines and the cost of the work. Everything suited me, but many of my employees did not understand well the specifics of working with the program.
Therefore, in Avivi we were also offered a training course for personnel. The entire project was divided into three stages: implementation, customization and training. We made a schedule and stuck to it. The Avivi team did all the necessary work for us and presented, in fact, a finished product with different user roles and other tools. After that, we got together for training webinars several times.

The Avivi team helped me in many ways to achieve everything I had planned: now the workers keep track of time, and in Bitrix24 tasks they indicate exactly where they work. The effectiveness of the sales department has increased by 25%-30% compared to the period before implementation.
